SGG Project Update October, 2016

2 Phase-1 & Snapshot History
SIRIS Projects / Phases Total Budget Actuals to Date Notes SIRIS Phase-1 SIRIS Phase-1+ $ 911,168 $ 877,114 Completed Snapshot History Reporting n/a Developed with internal resources

3 Phase-1 Status Phase-1+ production / rollout, where we are
Excellent new trainer/analyst, Sara Cina, fully on board as of mid-June Authority Grantors identified, confirmed in all 7 schools and 6 other areas SIRIS website is up at: siris.stanford.edu Monthly newsletter converted to HTML format starting in July Custom training delivered to 28 participants: 8 in the School of Earth, Energy & Environmental Science, 20 in the School of Engineering SIRIS training now also available on a sign-up basis, in STARS (IRDS-0100) Sample of training feedback: “The Dashboards are FANTASTIC. And they seem so much more accurate than what we've had in the past.” "Everything was useful. We work on all the stats for the department and this is really helpful! Thanks." 3

4 Phase-1 Business Questions Addressed
EARTH: Providing data for the dean of the School of Earth, Energy & Environmental Sciences on program enrollments broken down by gender and URM status EARTH: Providing a report for the Earth Systems program comparing the diversity of their undergraduate population with their co-terminal masters population. ENGINEERING: Providing data to the dean of the School of Engineering on major enrollments over time LAND USE: Responding to a request from Land Use and Environmental Planning for a breakdown of the undergraduate census numbers by class (for a parking analysis) POLICY & PLANNING BOARD: Analyzing student choices around majors for the Policy and Planning Board, including how often students change majors and when they declare. VPGE: Providing a projection of graduate enrollment in Fall 2016 for VPGE VPUE: Provided demographic data for VPUE report on the OpenXChange initiative. LAW: Requested: a report on joint program enrollments over time (Law School) 4

5 Snapshot History Integration
Completed activities since last report Initial snapshot solution development completed; this includes: Merging two different sources of census data, plus linking in additional PeopleSoft attributes and other derived information Significant vetting and cleaning of historical data, including (but not limited to): corrections of acad plan type, coterm flag, schools 1 dashboard with 5 report tabs, including new “drill-through” linked reports Simplified ad hoc reporting, parallel to regular enrollment ad hoc Snapshot solution deployed to UAT, currently being tested Next steps UAT completion & production deployment - September Key benefits of this project Meet the need for most commonly requested data – from both campus and external organizations (Federal, State, Consortium, Financial rating agencies) Exponentially improve/automate roughly 80% of routine reporting for IR&DS, allow self-serve for constituents. 5

9 Value-Added Enhancements in Phase 2
2A and 2B should address very discrete questions about courses and classes, while also supporting analyses of much larger questions about course-taking patterns and student course outcomes. GROUPING & TAGGING Courses can be rolled up along org hierarchies by academic group, course owner, class owner. Crosslisted courses are more visible; users can view them combined or in their separate listings. All the different components of a course will be visible, so that non-enrollment sections can still be counted as part of instruction effort. Letter grades will be optionally grouped together, so that A+/A/A- can be viewed as an A grade to simplify grade distribution analysis. STUDENT INFO Students’ plan/program choices at the time they took the course will be easily available and comparable to their current plans/programs. Student biodemo information from SIRIS1 will be brought in and expanded to allow for much finer analysis of the course taking patterns of distinct groups of students (coterms, athletes, by cohort, etc.). MERGING IN DATA NOT READILY COMBINED Undergraduate requirements will be tagged and mapped out to courses; analysis of Ways and earlier UG requirements will be much easier. Course tags (from Explore Courses) can be combined with Peoplesoft data, so that you can, for example, ask how many freshmen and sophomores are taking Hass Center (community service) courses. Inclusion of add/drop and waitlist data will allow for analysis not just of courses completed but also courses attempted by students. 8

10 Phase-2: Course Enrollment & Instruction
Business Questions 2B: How many units were earned by graduating seniors? In the department of their program of study? 2B: How many undergraduates are enrolled in graduate level courses? 2B: How many undergraduate majors can I expect in the fall, and how will that impact course enrollments? 2A: How many courses are cross- listed? Who gets credit for these courses? 2C: How many courses are taught by tenure-line faculty; how many taught by lecturers? 2C 2A 2B Includes student Acad Plan, Study Field & other student attributes 7
