Using Data to Inform Practice
Brent Garrett, PhD Garrett Consulting, LLC
3
Making Data Useful Challenges Importance of data visualization
NERTs Peoples’ capacity to process data Peoples’ time to read reports Creativity of those of us developing these tools Importance of data visualization Importance of reviewing the data/results to inform practice
4
NH SPDG – Next Steps NH Increasing the capacity of NH LEAs and high schools to improve graduation and drop-out rates, and post-school outcomes for students with IEPs Sustainability is a crucial component A Leadership Team of project partners meets monthly. The primary group of professional development providers meet monthly. A comprehensive report (NERT) and an InfoGraphic/Fact Sheet/One- Pager are developed annually to report on key outcomes and for all trainings
5
Next Steps NH Sustainability Training InfoGraphic
Provide a brief into to the training series Who was there? Were adult learning needs addressed? Do participants think they know more about sustainability? Do participants know more about sustainability based on pre/post training assessment? Was the training accessible? Summary
6
Use of InfoGraphic Next Steps NH does a comprehensive review of the training data after each series to improve the training Importance of disseminating these reports Within the NH Department of Education With partner and prospective schools With OSEP Project Officer Feedback on the data collection and reporting process leads to improvement in evaluation processes
7
Poll Question How has your SPDG/SSIP used data visualization and reporting to inform and improve your professional development?

Graphics Improve Your Story
Students Educators and Parents Community Partners NH SPDG is focused on transition. Going to show you some things we’ve done with graphics to better communicate. 130 page site. Biggest users are educators/parents Betsy Street, Keene State College Presentation for SPDG Directors’ Webinar Feb 2, 2017

Next Steps NH website nextsteps-nh.org/
From the beginning we’ve focused on usability and clear communication. The Attention F. News changes, Video changes, Website tour for overview. Site map farther below. Navigation at the top and the portals. Lots of ways in. nextsteps-nh.org/

Beyond Classroom website
2nd site. Extended Learning Opportunities. Cousin to NextSteps in look and feel. Lots of attention to image selection. Color and white space. beyondclassroom.org/
11
Materials for Families
Lots of attention to design in our family materials too. Distributed in person and available on website.
12
Highly Recommended! Quick reads. Invaluable insights.
So, we have good-looking websites and materials. But, are we meeting our performance goals? Google Analytics is a powerful tool. Every few months I sit down and pull numbers.
13
Nice chart. Clear, not too crowded. Good labels
Nice chart. Clear, not too crowded. Good labels. You can glean interesting information. (Highlight through some numbers with the cursor)

Next Steps NH Website Metrics Report Mar 1, 2016 – Dec 31, 2016
Let’s look at a part of the report. A report can tell a story. An infographic can usually do it better. Our story summary: Next Steps is a successful new resource for educators, students and families for planning for life after high school.
16
The Story We built a transition website. People come and they keep coming back. They find us different ways. They stay awhile. They visit popular pages. A story has a beginning, middle and an end. We built a website. People came. They find us different ways. They stay awhile. They visit popular pages. That story is here (tell it with animations)

Here’s the same story. It’s the same data but it communicates so much more. Can present online and scroll through it. Piktochart but there are others. We have used this in several arenas: APR, website, COP presentations. Our State COP is an advisory group to the project. Remember accessibility.
19
Distribution of NH Visits
Two more examples. Where are people coming from in NH? This is a Google Analytics table. You can see cities, and number of users from each, plus lots more. A side note: know what you want before you start roaming around your data. You can get lost.
20
Google Analytics graphics of the same data
Google Analytics graphics of the same data. Need to provide context clues – what is size and darkness of bubble?
21
Nationwide Visits Mar 1 – Dec 31, 2016
Our website is used beyond NH. Where? Pie chart in concert with table tells a lot more.
22
Try it! Find a story in your data.
Tell it out loud – illustrate it in your mind. Who What When Where Why The contents of this presentation were developed under a grant from the US Department of Education, H323A However, those contents do not necessarily represent the policy of the US Department of Education, and you should not assume endorsement by the Federal Government. Working with SEAs Questions?
25
What is CIID? The Center for the Integration of IDEA Data is a technical assistance data center funded by the Office of Special Education Programs (OSEP) MISSION Help states integrate IDEA Part B Sections 616 and 618 data with their statewide longitudinal data system (SLDS) SUPPORTS Develop resources and provide direct support to states to improve their data integration efforts
26
CIID Creates Connections
People Processes Systems CIID staff bring expertise in each of these areas Focus on connecting different, sometimes siloed offices, data collections, and reporting processes Create efficiency for SEAs in reporting Connecting data across programs Identifying barriers to collection and reporting Supporting integration, including DBA expertise
27
Expected Impacts and Outcomes
Enhance SEA skills to create change Improve data management procedures and data system architecture Increase access to high quality and integrated IDEA data Step – 1 in the toolkit, CO example
28
Poll Question In your work do you use student or staff data to inform your decisions? Yes\No
29
Benefits of Data Integration
30
Benefits of Data Integration
Reduces SEA staff burden LEAs eliminate duplicate data entry SEAs minimize efforts for reconciling inconsistent data Increases data quality Expands data use
31
Benefits of Data Integration
Improves communication, collaboration, and relationships between program areas and IT Reduces security risks Reduces system costs
32
Link to SPDG SPDG priority:
assist SEAs in reforming and improving their systems for personnel preparation . . .and professional development of individuals providing early intervention, educational, and transition services in order to improve results for children with disabilities. Integrated data is higher quality data and makes a wider array of data available for improving systems

CIID Data Integration Toolkit
A sample road map for SEA-level data integration Help understand the core requirements of data integration Focused on SEA-level integration of data The CIID Data Integration Toolkit supports SEA efforts to integrate Individuals with Disabilities Education Act (IDEA) data with their statewide longitudinal data systems (SLDSs), and includes: A sample road map articulating typical steps and tasks required for integration A sequential process for integrating data Specific activities and resources to support integration including checklists, templates, sample process documents, and state examples
35
How is the Toolkit Used? Describes the specific activities, timing and recommended staffing required for each step of integration Provides templates, SEA examples and additional resources associated with each step
