Spring Field Test Summative and CoAlt Security Requirements
As with current Colorado Assessments, the Colorado procedures must adhere to manual requirements. Limit access to testing rooms and computer labs during testing sessions. Ensure that students who have completed the assessment remain separate from those who have yet to test during the school day. Avoid breaches of secure test materials: Discussing, memorizing, photocopying, photographing, scanning, encoding, ing, Morse code, note taking, text messaging, blogging and other forms of social networking, or any other reproduction methodology that would violate the security of the test Failing to secure test materials and/or Student Authorization Tickets Breaking the chain of custody of CoAlt test materials Misusing, mishandling, or losing any state test materials Student remain separated from other students who will be taking the field test, not from all academic activities.

Summative Participants
Considerations: There will be online tools available for all students (ex. line reader and highlighter). The Summative assessment is not a timed test. Expectation: Due to increased accessibility for all students, fewer students will require accommodations. Accommodations information: Setting accommodations should be provided to the extent practical. With that said, some students will require accommodations that are not available during the Spring 2013 field test. In future administrations, online accommodations will be available to students (ex. text-to-speech). These accommodations will be identified for individual students prior to testing. In addition, paper-based and braille forms will be available. All students who are able to engage effectively with the practice ePAT should be considered for participation in the field test.

Schedule Planning The field test may take approximately one hour
Plan for an hour and half to two hours per group (this includes transition time) Plan for as few groups and days as possible Approximately three groups of students per day To the extent possible, students who have taken the field test should remain separate from those who have yet to complete the field test during school hours

Coordinator Manuals Paper versions of the combined Summative and CoAlt Coordinators Manual were shipped with CoAlt materials (4/8/2013) Online pdf versions of the combined Summative and CoAlt Coordinators Manual are available for Summative DACs and SACs on PearsonAccess > Support (available now) Summative Proctor’s Manuals Paper versions of the Summative Proctor’s Manuals, by grade and subject will be shipped to districts/schools who were selected to participate in the field test Online pdf versions of the Summative Proctor’s Manuals, by grade and subject, will be available for additional schools who opted to participate in the field test. Password Maintenance Proper password management prevents unauthorized access to testing data. Your password will expire every 90 days and will need to be reset; however, if you have the need to change your password before the 90 days, you can do so from the Your Account link. If you forget your password or your password expires, you can click on the Reset your password link located on the login screen to reset your password. NOTE: Passwords must be 8–32 characters in length and must not include the following special characters: ^&*(><"'`+= | Use link for resetting password – update is sent immediately to the DAC, SAC, or user’s address on file No need to call or the Customer Service Center

PearsonAccess DTC User Role
District Technology Coordinators (DTCs) are responsible for: Attending CDE training events. Finalizing system readiness. By April 23, DTCs must ensure that systems are properly set up. Checking student workstations. By April 23, DTCs must confirm that proper computer space is available for students. DTCs must verify that all workstations meet minimum requirements for test delivery and that all third party software dependencies and the updated versions of software have been installed. Configuring TestNav. By April 23, DTCs must set up student response file backup locations and complete the proctor caching configuration. Responding to technology questions. During the testing period from April 25 to May 10, DTCs must respond to technology questions and/or inquiries.

PearsonAccess DAC User Role
District Assessment Coordinators (DACs) are responsible for: Reviewing manuals. DACs must carefully read the Coordinator’s Manual to review proper field test administration procedures. Receiving and distributing materials. DACs and SACs must distribute the Proctor’s Manuals to Test Proctors and CoAlt field test materials to Test Examiners. Test Proctors and Test Examiners must receive the manuals in time to review test administration procedures. Setting testing dates. DACs must determine and communicate the testing dates within the testing window for all building sites within the district. Creating user IDs. DACs must create PearsonAccess user IDs for SACs. Checking test sessions and teacher assignments. At least two days before testing, DACs must log in to PearsonAccess to complete and verify Summative test sessions and CoAlt teacher assignments created by SACs.

PearsonAccess DAC User Role
District Assessment Coordinators (DACs) are responsible for: Checking student registration. DACs must register or add new students. Selecting proctor caching servers (Summative only). DACs or SACs must select the proctor caching server for Summative test sessions. Distributing electronic CoAlt test items. Upon request and approval from CDE, DACs may retrieve and distribute PDF versions of the CoAlt student-facing pages of test items. Sending signed certification forms (CoAlt only). DACs must verify, and scan signed certification forms. More on Distributing electronic CoAlt test items: The PDFs may be downloaded from the SFTP site and saved on a memory stick for ease in distribution, but may not be sent via or electronically to the field. DACs are responsible for ensuring that all electronic CoAlt test items are removed from electronic devices, and that the memory sticks used for distribution are erased or destroyed.

District Assessment Coordinators (DACs) are responsible for: Monitoring field test administration. Destroying secure test materials. After testing, DACs must securely destroy CoAlt accommodated materials and Summative Student Authorization Tickets. Checking CoAlt test materials and Security Form. After testing, DACs or SACs must verify that all task manipulatives and used score recording forms are in the secure return envelope. DACs or SACs must also check that the envelope contains a signed and dated Security Form. After the check, DACs or SACs must seal the secure return envelope. Returning test materials (CoAlt only). After testing, DACs must package and ship test materials for return to Pearson by May 17. Pickup of the materials must be scheduled with UPS by May 10. More on Distributing electronic CoAlt test items: The PDFs may be downloaded from the SFTP site and saved on a memory stick for ease in distribution, but may not be sent via or electronically to the field. DACs are responsible for ensuring that all electronic CoAlt test items are removed from electronic devices, and that the memory sticks used for distribution are erased or destroyed.

SACs must provide Test Proctors and Test Examiners with PearsonAccess accounts. Creating test sessions and teacher assignments. SACs must create Summative test sessions and CoAlt teacher assignments in PearsonAccess. Selecting proctor caching servers (Summative only). DACs or SACs must select the proctor caching server for test sessions. Distributing materials. Distribute the Proctor’s Manuals to Test Proctors and CoAlt field test materials to Test Examiners. Printing Student Authorization Tickets (Summative only). SACs must print Student Authorization Tickets for each test session, and distribute the Tickets to the Test Proctors.

School Assessment Coordinators (SACs) are responsible for: Collecting signed certification forms (CoAlt only). SACs must collect signed certification forms from all personnel handling CoAlt field test materials. Signed forms must be delivered to DACs by a date to be determined by the district. Supporting Test Proctors and Test Examiners. SACs must support Test Proctors and Test Examiners with policies and schedules. Checking the test environment. SACs must finalize the testing rooms and schedules in accordance with CDE policies. Maintaining a chain of custody (CoAlt only). SACs must follow the security procedures outlined in the CoAlt Examiner’s Manual for secure test materials. Monitoring field test administration.

After testing, DACs or SACs must verify that all task manipulatives and used score recording forms are in the secure return envelope. DACs or SACs must also check that the envelope contains a signed and dated Security Form. After the check, DACs or SACs must seal the secure return envelope. Returning CoAlt test materials to the DAC. SACs must ensure all testing materials—including test books, individualized adaptations, and task manipulatives—are returned to the DAC at the end of testing.

PearsonAccess Summative Test Proctor User Role
Summative Test Proctors are responsible for: Reviewing manuals. Test Proctors must carefully read the Summative Assessment Field Test Proctor’s Manuals. Viewing the Summative TestNav and Practice Test Training. Test Proctors must attend a live WebEx during the week of April 9–12, or view the recorded training. Administering practice tests. Test Proctors should ensure that students have accessed practice items prior to taking the field test through the ePATs. It is recommended that this occur April 22–23. Proctor caching. Before starting the test session, Test Proctors must download test content (proctor cache). Maintaining security of Student Authorization Tickets. During the Summative testing window from April 25 to May 10, Test Proctors must follow security procedures for Student Authorization Tickets, from receipt on the day of testing to collection after each test session.

PearsonAccess Summative Test Proctor User Role
Summative Test Proctors are responsible for: Preparing the testing environment. Test Proctors must prepare the room and work space. Administering the Summative Field Test and managing test sessions. Test Proctors will administer the online test and manage online test sessions in PearsonAccess. Checking student test status. After testing, Test Proctors must ensure student tests have been submitted. Reporting test incidents. Test Proctors will need to report test incidents to SACs. SACs may then require Test Proctors to enter invalidation codes in PearsonAccess. Completing the survey. Test Proctors must complete a survey providing feedback on the field test experience.

PearsonAccess User CoAlt Examiner Role
CoAlt Test Examiners are responsible for: Reviewing manuals. Test Examiners must carefully read the CoAlt Examiner’s Manual. Viewing the CoAlt Scorer Entry and Administration training. Test Examiners must attend a live WebEx, during the week of April 15–19, or view the recorded training. Reviewing field test materials. Test Examiners must receive CoAlt field test books and task manipulatives from SACs and review them at least one week before testing. Test Examiners must cut apart task manipulatives for Supported Performance items. Preparing accommodations. Before testing, Test Examiners must determine if any accommodations are needed for students. Scripts are available for use with students with Visual Impairments including blindness for items that are picture-based. If adaptations need to be prepared, Test Examiners must contact their SACs. Accommodations for students must be indicated in PearsonAccess. Preparing accommodations may include cutting apart student answer options or adaptations based on individual student needs. PearsonAccess User CoAlt Examiner Role
CoAlt Test Examiners are responsible for: Preparing the testing environment. Test Examiners must prepare the room and work space for CoAlt field test administration. Signing the Certification Form. Test Examiners must sign the certification form and deliver the form to the SAC. Maintaining a chain of custody. Test Examiners must follow the security procedures outlined in the CoAlt Examiner’s Manual for secure test materials. Signing the secure return envelope. Test Examiners will place all task manipulatives in the secure return envelope, sign it, and return the envelope to the SAC at the completion of student testing. Recording student scores. After the testing period, Test Examiners must enter student scores in PearsonAccess using the Online Score Entry system. Collecting field test materials. All used and unused field test materials must be returned to the SAC.

Viewing and Managing Student Data
Students will be preloaded into PearsonAccess from a file from CDE Managing Student Data Go to Student Data > Student Data Information. Select an option button. If you select the Students option button, you will be prompted to search. To view all students, select the Show All Students check box and then click Search. To search for an individual student, enter search criteria and then click Search. You must enter or select at least one search field; the more specific the criteria, the more focused the search will be. If you select the Schools option button, you see a list of schools with the number of students per grade. If you click on a school, you see additional school information. New Student Wizard Adding a New Student
Students will be preloaded into PearsonAccess from a file from CDE – based on the TCAP/CoAlt Pre-ID file With the new student wizard you can: - add a new student to the database (DAC) - enroll the student in a test (DAC or SAC) - register the student for a test (SAC) To add a new student, follow the step by step instructions. In four steps you can quickly add the required student data to the system so that the student is ready to test. If you exit the wizard before completing all four steps, the wizard will walk you through the remaining steps when you are ready. You can exit the wizard at any time, and the system will retain the last saved activity.

Go to Student Data > Student Data Information. Select the Students option button. Click New Student. Enter the required information to create the student, and then click Save and Next. Enter the required information to register the student for a test administration, and then click Save and Next. The student is now registered for testing in the selected test administration. To register the student in a group, select the group or create a new group, and then click Save and Next. The student is added to the group. Select the test the student will take and then click Save and Exit. The student is now successfully enrolled and registered to test.

PearsonAccess Student Data Upload (SDU) Process
The SDU process may be desirable for large districts that may need to update many students. The Reverse Student Data Upload (RSDU) file pulled from PearsonAccess is the same layout as the SDU. Pulling a RSDU file from PearsonAccess allows users to see all of the registered test assignments for a particular administration. - The RSDU should only be completed at the district level. Demographic information can be updated in the Reverse Student Data Upload (RSDU) file and submitted as an SDU. For detailed directions regarding the Student Data Upload process, please see the PearsonAccess User’s Guide and the Student Data Upload PowerPoint slides on the Support tab within PearsonAccess. We also encourage you to contact the help desk and the Pearson team may assist you directly.
