5 Conference Room Booking
Over the past years, there was an increasing trend that conference rooms have been booked very much in advance but then were never used, without cancelation of the booking Hence, stricter booking rules have been gradually introduced by the departments which makes it more and more difficult for Users, but also for Staff, to find empty rooms at convenient places Keys are often at Secretariats at remote places, which are usually closed over lunchtime, such that quite some effort has to be spent, even for short meetings Some of the rooms are equipped with e-locks, not requiring a physical key, but just the CERN access card More rooms with e-locks would be needed However, the main problem of not cancelling unused bookings remains and is extremely difficult to correct People receive already booking reminders a few days before ACCU Delegates should also remind their community of cancelling any bookings that are not needed anymore. The system shall not be abused A more general presentation on the booking of conference rooms will be given at one of the next ACCU meetings.
