Customer Service Standards Revised August 17, 2017 VALUE STATEMENT As an extension of our community, the Franklin-Essex-Hamilton BOCES provides easily accessible resources in a timely manner to meet customer needs. Our aim is to provide exceptional quality service to students, parents, staff and community members through promotion of a positive, welcoming environment that respects confidentiality. Phone and Communications PURPOSE: To provide consistency in telephone calls, s and voic practices throughout the Franklin-Essex-Hamilton BOCES. USE: As a reference when answering telephones and s. Telephone: Live Delivery Telephone: Voic Messages s Ensure that all calls are answered by the third ring. Always answer with a friendly greeting using your name and work location. Listen and repeat the caller’s request. Allow callers to express themselves without interrupting. When transferring a call, first inform the caller of the extension and contact person’s name. Avoid or limit hold time. Take messages when needed and be sure to note the date and time of the call, the caller’s contact information and nature of call. Always ask callers if there is anything else you can assist them with and thank them for calling before hanging up. Ensure that voic is updated, informative and functional (able to receive messages). Your voic greeting should include your name and title, the school and /or office you work in, your hours of employment and the name and number of another person to contact if the caller needs immediate assistance. Return calls within one business day. If you will be out of the office, update your message to indicate the duration of your absence and a number to call if assistance is needed prior to your return. Respond to messages within one to two business days. Personalize responses by referencing the author’s question and using their name in the response. When referencing the district website, provide a link to the page where the specific information the author is seeking can be found. Proofread all responses for clarity, completeness, comprehension and spelling. Make sure your signature line includes your name, title, phone number with area code, mailing address and work hours. When absent or on vacation, enable the “Out of Office” feature.

STUDENTS, Coworkers and colleagues
Walk-Ins & Visitors Difficult situations PURPOSE: To ensure a welcoming environment for all visitors. USE: As a reference any time a guest enters the workplace. PURPOSE: To help work through difficult situations with parents, students. USE: As a reference when dealing with upset individuals over the phone and face-to-face. Greet everyone with a smile and a positive, friendly salutation. Treat all visitors with respect and remain courteous throughout your interaction. Maintain eye contact and speak clearly and in plain English (don’t use slang or abbreviations that only district insiders would understand). Give visitors specific directions when referring them to other locations and possibly escort them to their destination if needed. Ensure that your school or office hours are clearly posted so people know when they can return if you are not there. Allow customers to express their concerns by listening before speaking. Empathize with the individual; don’t argue. Maintain a professional demeanor. Repeat and rephrase what the individual is saying to make sure you understand the situation. Refrain from assigning blame. Focus on providing options and alternatives. If you can’t reach a resolution with the individual, refer them to a person with a higher level of authority. Thank the individual for bringing the situation to your attention. STUDENTS, Coworkers and colleagues PURPOSE: To ensure appropriate communication between colleagues and all internal customers. USE: As a reference to establish and promote a spirit of teamwork within the workplace. Always remember that students and FEH BOCES employees are customers, too. The above stated telephone and standards apply to employee communications as well. Always remain courteous and respectful during interactions with employees and internal customers. Technology Upgrades New Linstar security camera system at both NFEC and AEC Updated workstations & laptops for many of the staff ( 55 workstations, 20 laptops, 2 smartboards, 25 Chromebooks) WiFi Access points covering most instructional spaces at NFEC and AEC Augmented server storage giving us over 3 times more storage Updated phone gateways for both NFEC and AEC Most workstations updated from Windows 7 to Windows 10 Improvements in the wiring closets. New switches added ServiceNow implemented Beginning of internet connectivity from NFEC to the Civic Center Cooperative Technology Services (CTS) from NERIC added P-TECH – Tanberg Unit Lighting the Way to the Future
