Introduction The Hospital Management System is an efficient and easy to understand application aimed mainly at Hospitals, providing them with the proper functions to manage their activities. It is powerful, flexible, and easy to use and is designed and developed to deliver real conceivable benefits to Hospitals and Clinics. It is designed for multispecialty hospitals, to cover a wide range of hospital administration and management processes. It is an integrated end-to-end Hospital Management System that provides relevant information across the hospital to support effective decision making for patient care, Hospital administration and critical financial accounting, in a seamless flow.

Preamble It is a software product suite designed to improve the quality and management of Hospital management in the areas of clinical process analysis and activity-based costing. It enables you to develop your organization and improve its effectiveness and quality of work. Managing the key processes efficiently is critical to the success of the Hospital; it helps hospitals manage their processes.

Features Of The Hospital Management Application
The Application consist of different Interfaces to aid the user in navigating through the application easily. They include: The Startup Page, The Main Login, Application Interface (Home Page), which consist of the Main Menu and Channeling Menu. The Main Menu consist of all the various Login Interfaces which include: Reception, Nurse, Doctor, Lab, Pharmacy, Admin/Accounts and even Staff all have their respective Logins. From the Channeling Menu, all Patient Treatment information is Channeled to the Doctor.

Hospital Management Software Startup Page
The Hospital Management Software comes with a Startup Page. Here the User Clicks the Connect button to connect to the Login Page as illustrated below:

Login Page – Main Login From the Startup Page, you are redirected to the Main Login. Enter the Username and Password and Click Ok to Connect to the Hospital Management Software Application Interface as shown below:

APPLICATION INTERFACE – HOME PAGE
From the Main Login, you are then redirected to the Application Interface (Home Page). Click the Main Menu button marked with red asterisk (*) to display the Main Menu as shown below: *

MAIN MENU The Main Menu consist of different Logins which include: Reception, Nurse, Doctor, Lab, Pharmacy, Admin/Accounts and Staff Login. Lets start with the Reception. Click the Reception button marked with red asterisk (*) to display the Reception Login Interface as shown below: *

Enter the Reception Username and Password and click the Login button to connect to the Patient Registration Module.

Reception Module – Patient Registration Form
The Patient Registration Module include Registration for Private, Family, NHIS, HMOs and Retainership. Here, the user have to click on each of the Patient Registration Module to enter Patient Registration Respectively as shown below:

Patient Registration Report Module - Private
As shown in the previous slide, By clicking the Private button redirects the user to the Patient Registration form as shown below. Here you fill in the Patient Registration details by clicking the New Entry button and click the Save Record button after entering all the Patient’s details to Save Patient’s Record.

Patient Examination Report Module - Nurse
Once the Patient Registration is completed by the Reception, then the Nurse Logs in and administer the Patient Examination Report e.g. Weight, BP, Temperature etc. *

Here the Nurse enters the Patient ‘s Weight, BP and Temperature marked with red asterisk (*) as shown below, clicks the Save Record button to Save Patient Record, then click the Next Record button to enter record for the next Patient. * * *

Same process of adding Patient Examination Report as illustrated from the previous slide is repeated for Family, NHIS, HMOs and Retainership. For each of them, the Nurse clicks on it and add the Patient Examination Report i.e. for Family, NHIS, HMO and Retainership respectively.

Patient Treatment – Doctor Login
Once the Nurse is done adding the Patient Examination Report (Weight, BP, Temperature etc.), the Patient will then be channeled to the Doctor for proper medical treatment. The Doctor Logs In by clicking the Doctor button on the Main Menu to display the Doctor Login interface and administers the Patient treatment respectively. The Doctor can also Log In from the Channeling Menu on the Home Page as well. *

Here the Doctor enters the Username and Password and clicks the Login button to connect to the Patient Treatment Module

Doctor Management Module
From the Login Interface, the Doctor is redirected to the Doctor Management Module Application Interface. Here the Doctor has all the Privileges to access all the Hospital Services ranging from Patient Treatment, Billing, Medicines, Patient Treatment Reports, Patient Records etc.

Patient Treatment – Waiting List
Once the Doctor clicks on Treatment from the Previous slide, the Patient Treatment waiting list will be displayed as shown below. The Doctor can Sort the list by Arrival Date/Time of the Patient so Patient Treatment can be administered based on Arrival Date/Time then click Ok. *

Patient Treatment Report Module
The is where the Doctor enters all the treatment for the patient i.e. after Sorting which include Lab investigation (Sent to Lab), Drug prescription (Sent to Pharmacy) etc. The Doctor then clicks on the Create Patient Treatment Report as indicated by the arrow:

The Doctor clicks Ok, to display the Patient Treatment Report Input Box which prompts the Doctor to enter various treatment reports for the patient respectively.

The Application prompts the Doctor to enter all the necessary Patient Treatment Report until it’s done then clicks Ok.

N/B: Once Doctor is done filling the Patient Treatment Report Module through the Input Box as displayed in the previous slide, the Patient would be sent to the Lab for Laboratory Test and thereafter the Pharmacy for drug prescription etc. Also N/B that the Lab investigation Report coming from the Doctor will show in the Laboratory Report Module once the Lab Scientist Logs in. The Lab Result would automatically be displayed on the Doctor’s Treatment Module as well Same would be applicable to the Pharmacist as well. The Drugs that would be prescribed by the Doctor, would also show when the Pharmacist Logs in to administer Drugs for the Patient. The Pharmacist will see the Dugs prescribed by the Doctor respectively.

The Doctor can also click on Reports to access the various Patient Treatment Reports e.g. Cardiology Report, Radiology Report, Ophthalmology Report, Obstetrics/Gynecology Report, Neurology Report, Pathology Report etc. marked by red asterisk (*) as shown below: *

Laboratory Login Once the Patient Treatment is completed by the Doctor, the Patient is sent to the Laboratory for further Test based on Doctor’s Investigation. So the Lab Scientist Logs in by clicking on the Lab button to display the Lab Login Interface. *

Just like the Reception (Patient Registration) and Nurse (Patient Medical Examination), the Patients’ Laboratory Test Report is administered for All Patients, including Private Patients, Family, NHIS, HMOs and Retainership respectively. Click the All Patients button to conduct Test Reports for all Patients and so on and so forth.

Pharmacy Login Just like the Reception, Nurse, Doctor, Lab etc. the Pharmacy Logs in as well by clicking the Pharmacy button on the Main Menu. *

Just like the Reception (Patient Registration) and Nurse (Patient Medical Examination), Patients’ Laboratory Test Report, the Pharmacy Report Module also includes Private Patients, Family, NHIS, HMOs and Retainership respectively. Click the All Patients button to create drug prescription reports for all Patients respectively.

Click the Next button and enter Account/Billing information for existing Patients or Add Bill for New patients etc. then enter the Patient billing details

Staff Login The Application also include Staff Login where staff information can be recorded for future references. Click the Staff Info button to display the Staff Login interface *

Click the New Entry button to add Staff details then Click the Save Page button to save staff details. Always Click the Next Record button to view staff details.

Menu Bar Options The Application comes with different Menu Bar Options which include: File, Edit, View, Data, Settings and Help Menu. These Menu Bar options also comes with Sub Menus as show in the diagram below… The File Sub Menu include New, Save, Print and Exit.

The File Menu From the File Menu, you create New Patient Registration Entry by clicking File - New or press (Ctrl N), Save Record by clicking File – Save or press (Ctrl S), Print Record(s) by clicking File – Print or press (Ctrl P), then exit Application by clicking File – Exit (Ctrl Q).

The Edit Menu From the Edit Menu, you can Add New Record by clicking Edit - Add Record or press (Ctrl A), Delete Record by clicking Edit-Delete Record or press (Ctrl D).

The View Menu From the View Menu, you can access the Main Menu, Home Page and the Navigation Page. Click View – Main Menu (Ctrl M) to display the Main Menu, View – Home Page (Ctrl H) to go back to the Home Page or View - Navigation Buttons to display the Navigation Page.

The Record Menu From the Record Menu, you can navigate within the pages to view different records of the registered Patients. Click Record – Next Record (Ctrl T) to navigate to the next record, Record – First Record (Ctrl F) to view the first record or Record – Previous Record (Ctrl R) to view previous record and Record – Last Record (Ctrl L) to view the last record.

Printing Current Record
You can also Print Patient Record with the current Form Interface by clicking Record - Print Record marked with red asterisk (*) as shown below. Click the Next button to Print the Next Record and so on and so forth. *

The Data Menu The Data Menu comes with two Powerful Sub Menus which include Sort and Search. Sorting Records and Searching for Patient Records is the most important part of the Hospital Management Software Application because it helps users to Sort Patient Records and Search for Patient Records fast using different criteria and index.

How to Sort Patient Records
You can Sort Patient Records using different Sort criteria. Records can be Sorted by Patient No, Patient Surname, Arrival Date/Time, Date Of Registration, Gender etc. Click Data – Sort – Sort By Patient No, Surname, Arrival Date, Date Of Registration etc. marked with red asterisk (*) as shown below: *

How to Search for Patient Records
You can Search Patient Records using different Search criteria. Records can be Searched by Patient No, Patient Surname, Gender etc. Enter the Patient No on the Text Search Box, click the Search Record button or Click Data – Search Record – Search By Patient No, Surname etc. marked with red asterisk (*) as shown below: * * *

Search result as illustrated from the previous slide is displayed below. You can either print the record using the format to the left by clicking File – Print or click Record – Print Record to print the format to the right of the slide as shown below: *

Printing Record Click Record – Print Record to display the Print dialog box as shown below, select the Printer Name connected to your PC, select No. of Pages – Click Print. *

Printing Record in PDF Format
You can convert any record from the Hospital Management Software Application to PDF. If you don’t want users to edit or temper with sensitive Hospital information, you can convert the record to PDF. Click Record – Print Record, select doPDF from the options, click Print to display the PDF location dialog box…. *

You can use the Picture Box to view Patient Pix by clicking the View Patient Pix button as shown below, select the Patient Pix from the picture dialog box then click open to upload the Patient Picture into the Application: *

Using the Help Menu – Tips Of The Day
The Help Menu consist of two features: Tips Of the Day (F2) and About Us (F1). The Tips Of the Day allows users to get different tips as regards the application by clicking Help - Tips Of The Day, select the Date from the dropdown, then click View Tips of The Day. *
