1 COMPASS Program Presentation to Graduate Coordinators workshop series, July 12, 2016

2 Today’s session Purpose Picture Plan Part Why are we doing this?
What is it? Plan How will we get this done? When will it happen? Part What is my role?

3 Purpose UF needs agile and modernized student services systems.
Our existing platforms are increasingly difficult to support as technology advances and changes. Constant and increasing threats to data security create a critical need for the institution. UF is demonstrating its commitment to updating and supporting sustainable technical solutions to maintain and manage these university needs.

4

5 Student Information System(SIS)
Replace the current student system (ISIS) with a third-party vendor product (Oracle Campus Solutions) that will be better suited to meet the needs of the university’s undergraduate, graduate and professional students, faculty, and staff. Three year project which started in January 2016 Two Ways to enter an application: College Net(Graduate) and the Coalition Application(for Undergraduate and Transfer) Some colleges use specialized applications such as CAS for the College of Nursing. These will be uploaded into the systems of record.

6 Constituent Relationship Management(CRM)
Replace the existing systems that are used to: 1) Prospecting and recruiting activities. 2) Retention 3) Alumni(future) Streamline processes that are managed in different systems. Centralize data and consolidate processing for each prospective student throughout the prospect to admission cycle. Replace systems that are used to manage communication Focus on retention. Some areas are using Salesforce in different capacities today. Coincide with admissions application

7 Learning Eco-System Content Development
LMS – Learning Management System Data and Analytics Content – Faculty, Quizzes, Linkages LMS – CANVAS Integrations Video – Enable adaptive learning Data and Analytics – Tagging Content UFIT is piloting different software/vendors for potential solutions Use Lightboard to make this attractive to students

8 ONE.UF Replace current student and faculty self- service in ISIS with a consistent, integrated, and intuitive user experience. ONE.UF will aggregate commonly used functions into one site accessible by mobile, tablet, or desktop devices. One.uf.edu – Schedule of courses currently in Beta

9 Reporting/Analytics Customizable user interface that is designed to be mobile first Easy to use interface that exposes functionality in-context, as needed Self-Service analytics through ease of accessibility Advanced data visualization capabilities

10 Student Data Governance & Master Data Management(MDM)
Enable the business stakeholders of the university to take active responsibility for governing and stewarding data, with support from UFIT. Focus on data consistency and quality Implement systems to manage the university’s master data Master data is core to unifying systems and data based decision making Managed risk – master data tends to be heavily protected restricted data

11 Plan Five year timeline to implement
Campus Solutions SIS will have a Fall 2018 go live term Staged go live of modules and processes based on when functionality needs to be available for fall 2018

12 What’s first Campus Solutions
Interactive Design and Prototype (IDP) sessions Admissions, Student Records, Financial Aid, Bursar, Graduate and Professional, Advising Journey mapping sessions with Colleges Requirements gathering Examine current state Review external systems and reporting needs

13 What’s first (continued)
CRM Started Spring 2016 with first rollout Aug 2016 Salesforce platform with Enrollment Rx partner CollegeNet Application Freshman – currently configuring for Aug 2016 Graduate, professional and other groups Aug 2017 COMPASS Timeline

14 GIMS Review of functionality to determine the best home for the functionality Data structure changes make retrofitting current system unappealing Concerns we have heard Need to have a usable interface to Graduate information Can’t lose functionality that is currently in GIMS Do not want to log in to multiple systems Want real-time data integrations with student information, including thesis/dissertation submission Not just student data but faculty

15 Graduate Recruiting and Admissions
CRM will allow for recruiting efforts even down to the program level Importing name lists Information forms for students to complete Mass- and marketing capabilities Ability to generate interest scores Admissions application development begins after freshman application goes live Routing to graduate departments Allow for committee decision making Decisions will flow into student information system
