13 6 KPAs for new Library Strategy
Student Experience Staffing, Equality and Diversity Finance, Management Information, Value for Money Systems and Processes Sustainable Estate Communications, Outreach and Open Access A Box of Useful Knowledge (Brougham Papers, UCL Library Services)

14 Workshop 7 User Experience Staffing, Equality and Diversity
Want to offer same level of service to ALL communities regardless Staffing, Equality and Diversity BME and ethnic minority representation? Finance, Management Information, Value for Money Ensuring continuity for NHS services Systems and Processes Systems which spring out of the blue are bad How scaleable things are Sustainable Estate Hub-type development

15 Workshop 7 Comms, Outreach, Open Access
Blog more useful, embedded in Outlook REF 2020 is a challenge OA Team is essential

16 Workshop 6 Student Experience
Library’s role in co-ordinating student/learning skills across UCL Issue for Professional Services as a whole? Distance learners Do we support this adequately? Can we learn from IOE, who have many Distance Learners? Induction Needs to be less ad-hoc More co-ordination between subject librarians? Engage with Transitions Programme to engage with students before they arrive Contact students before they arrive, and then on their first assignment - better than relying simply on a tour

17 Workshop 6 Communications, Outreach and Open Access
How does REF policy fit in with UCL mandate? Altmetrics How to get academic engagement? Systems and Processes Difficult to find rare material/specific editions in Explore Easier in COPAC Need to identify UCL-specific copies Need for Special Collections rep. on Explore Group?!

18 Workshop 6 Lack of access to adequate hardware/software
e.g. for developing multimedia tools IPADs (personal) are used by staff; can Library provide these? Increased access to IPADs for staff use is desirable

19 Workshop 5 Student Experience Sustainable Estate
Extend SCONUL offer beyond Band A But problems re space if more external users come into UCL Sustainable Estate New buildings? Change existing spaces Maximise existing space, especially in sites More group study spaces, not at the expense of quiet space Trainer-led learning space needed Allows presentations to groups of 20 at a time

20 Workshop 5 Finance, Management Information, Value for Money
Green issues – optimise all library sites for climate, heating issues, energy use, eco-lighting – liaison with Estates. Focussed on Library’s Estates team Space – more small meeting rooms for staff needed Finance, Management Information, Value for Money VFM. Constrained by UCL procurement activities. Too bureaucratic and restrictive More specialist suppliers needed to meet library needs

21 Workshop 5 Staffing, Equality and Diversity Systems and Processes
Staffing – Look at temporary and Acting Up roles again Staff development for teaching skills Systems and Processes IT support in the evenings inadequate More access to IT equipment for induction, also IPADs, also software licensing Library staff and student don’t have access to the same desktop

22 Your Ideas: Workshop 4 Student Experience
New expanded name for KPA needed to embrace NHS Measure user experience via surveys; include NHS in Library Surveys Extension of opening hours would require staffing presence RFID – could be implemented at any time (not just during the Summer). Staffing, Equality and Diversity Enhanced staff training and development, allowing staff to take on new tasks they are interested in – creating more flexible opportunities – would be welcomed Opportunities for work shadowing would be welcomed More opportunities to sit on interview panels would be welcomed

23 Your Ideas: Workshop 4 UCL Library Staff Survey in years when UCL Staff Survey is not run? Focus would be on service improvement and service development Issue for Staff Development and Training Committee More detailed information about SMT business (agenda and Minutes). Consultation on issues where appropriate. Links to SMT Minutes on LibNet sent after Workshop

24 Your Ideas: Workshop 4 Finance, Management Information and Value for Money Offering library management services to new NHS sites for fee noted as possible development Offering new services to NHS users .e,g, OA repository services (not fee-based) Monitoring requires better KPIs Distribute NSS and SB/ISB results around all library sites Systems & Processes UCL desktops not adequate for all needs WTS problematic How much leeway is there to run ‘unmanaged’ machines? Alma in Implementation needs to allow sufficient time for testing

25 Your Ideas: Workshop 4 Sustainable Estate
650 extra learning spaces noted as being provided for Bloomsbury estate Greater transparency in decision making needed when site requirements for estates development identified Better long-term planning needed. Construct a rolling 3-year plan? Communications, Outreach and Open Access More visits by senior staff to site libraries needed. Set a target of at least one visit per year More opportunities for feedback on developments would be valuable More team meetings/exchange of experience sessions would be helpful For Open Access to succeed, interaction with academics essential

26 Your Ideas: Workshop 3 Student Experience
Make Student Experience more equitable across sites Resources, Money, Space No social space for students on this site ‘Student Experience’ does not embrace NHS users Opening Times – extensions require staffing and security presence and some form of IT support Staffing, Equality and Diversity Library is generous in training provision, but central UCL provision of training is relatively poor Time for staff training is difficult in smaller sites Backup for evening cover difficult. Solve by using Security staff? Create opportunities for work shadowing across the Library

27 Your Ideas: Workshop 3 Systems & Processes Sustainable Estate
Automate ingest of membership records in Aleph for Hospital staff? Recruitment processes and workflows not transparent enough Sustainable Estate Need to define more explicitly responsibilities for NHS/HE sites on who is responsible for estate management Communications, Outreach and Open Access Generic Library Finance id helpful Working Groups need to communicate outputs better Make more use of LibNet Health and Safety comms well developed

28 Your Ideas: Workshop 2 Student Experience
24-hr opening everywhere Upgrading computers Information skills – more staff involvement Staffing, Equality and Diversity More comms re training More permanent staff Finance, Management Information, Value for Money Sell stuff – USB sticks, bags Give away USBs to promote Library’s service Systems & Processes Staff and student desktops are different; should be the same

29 Your Ideas: Workshop 2 Sustainable Estate
Plans for Special Collections in UCL East and Bloomsbury 650 extra learning spaces in library footprint Communications, Outreach and Open Access Marketing and promotion of library services Marketing internally and externally Work with students between A-level and arriving at UCL Communication in the Library More consistent communication

30 Your ideas: Workshop 1 Communication More detailed communication
is best (blog is storehouse) Twitter – used mainly by students S: drive and LibNet. Not everything is open. S: drive should be open Group plans should be available to all staff

31 Your Ideas: Workshop 1 Outreach Student Experience
Communications timetable for external communication required Finding useful images difficult. Ask Library’s IT team to organise library images so they are easier to find and use Outreach Need an Outreach budget. Exhibitions budget exists We need a Public Engagement Strategy More staff for Public Engagement Don’t use Public Engagement. Better name is Outreach Student Experience Lack of space a problem; but 650 new learning spaces coming into library footprint Research-based learning. Library has already developed modules with 2 new Departments. These can be used as prototype for further work

32 Your ideas: Workshop 1 We record hours for teaching and get paid for it?? UCL Museums do this already Radical review of subject librarian timetable for training needed Overseas (postgrad.) students – some lack basic information and research skills? In IoO, some staff do teaching in these areas 75% of the time Finance, Management Information, Value for Money Special Collections set up a Friends network? Imperial War Museum have gone down commercial route – a model for UCL Library Services?
