1 Adaptive Grants Reporting Guide

2 What is Adaptive? Adaptive Insights is a budget planning and reporting tool overseen by the Office of Budget and Planning All data in Adaptive comes directly from PeopleSoft FMS or Workday. For this project, Adaptive is used for reporting only. Data is updated weekly from PeopleSoft (available Tuesday morning for data through prior Friday) and bi-weekly (with the payroll cycle) from Workday. Additional details about any transaction included in an Adaptive report can be found within the source system (PeopleSoft or Workday).

4 Accessing The Reports Menu
From the Adaptive Home page, select the main menu button in the upper left corner: Click “Reports”

5 Navigating to the Grants Reporting Folder
Click the plus sign next to “Shared Reports” to open the Shared Reports folder Select “Grants Reporting”

6 Available Reports Project Budget Report – an on-screen, interactive report that allows the user to select an individual project and see Budget, Actuals, Pre- Encumbrances, and Encumbrances. Allows for drill-down to transaction details. Project Budget Report Excel – a formatted Excel version of the Project Budget Report. Recommended for printing. Does not allow for drill-down to transaction details. Summary Project Budgets – a summary of all projects overseen by the user, with PI name and budget information Note: all reports include data for the entire project period, which can include multiple fiscal years

7 Project Budget Report – Select Project
Click on “Project Budget Report” From the “Select Project” menu, select desired project from list Click “Run Report”

8 Project Budget Report - Columns
Report includes columns for Budget, Actual Expense, Pre-Encumbrance, Encumbrance, and Remaining Balance (pool budget minus actuals, pre- encumbrance, and encumbrance)

9 Project Budget Report – Drill to Child Account
Click on the plus or minus sign next to a parent pool account number to expand the pool to see activity on the child account level, if desired Click the minus sign next to an account number to collapse that account again Note: Project budgets are entered at the parent pool level, but expenses will appear on the child account. The Remaining Balance column should only be consulted on the pool level

10 Project Budget Report – Drill to Transaction
Click on any amount in the report to see transaction details A new window will pop up (ensure pop ups are enabled) Select the “Drill Into Transactions” link in the upper right corner

A new window will appear with the Transaction Report

12 Project Budget Report – Transaction Report Notes
Transaction types included in transaction drill down report are based on the column that was selected for drill down. For example, clicking on a number in the Encumbrance column will provide encumbrance transactions only. Transaction report will provide transactions for all fiscal years with project activity. Fiscal year and period are noted. Converted data from FRS will not have same detail as more recent PeopleSoft FMS based transactions. The Transaction ID column provides the Journal / Voucher / PO / Requisition ID, depending on transaction type, which can be used to retrieve additional details from PeopleSoft

13 Project Budget Report – Transaction Report Export and Filter
Transaction Report can be exported to Excel by selecting the Export icon and Export to Excel option Clicking a column heading will sort the transaction report by that column Transaction report can also be filtered within the browser by selecting the filter icon The default page size is 50 rows. Options to page forward or expand page size are located at the bottom of the screen.

14 Project Budget Report – Personnel Transactions
Personnel transaction detail is available by drilling into the actuals column on personnel accounts. Personnel transaction details are only available for FY 2017 expenses processed through Workday.

15 Project Budget Report - Excel
Provides a formatted, printable Excel version of the Project Budget Report. Drill down functionality is not available.

16 Summary Report Provides a summary list of all projects available to the user. Drill down functionality is available, but report is at summary, not account level
