Designing Policies, Processes, and Procedures (or Let Them Eat Cake) Who has processes you have to follow to do your job? How many know the difference between policies, processes, and procedures? Terms often used interchangeably, but they’re actually distinct types of documentation. Address related subject matter, but at different levels and with different types of content. What I do. Going to explain the difference between policies, processes, and procedures and give examples of each.

Policy Process Procedure
Representation of the relationship between policies, processes, and procedures. Policies are very high level statements Processes support policies and provide a little more detail about the policy statements Procedures are the most detailed of the three

Policy Formally documented management expectations and intentions.
A set of guiding principles or rules intended to influence decisions and actions. Why We Do It Policies are the business rules of a company that ensure consistency and compliance with a company’s strategic direction. Include purpose, scope, governance, ownership, policy statements, and key definitions

Policy Fun Company, Inc. will have a celebration each month to acknowledge all employees born in that month Employees may choose to not participate in birthday celebrations A team of two to three people will be designated to plan the birthday celebration for each month

Process A structured set of activities designed to accomplish a specific objective A series of actions that you take in order to achieve a result What We Do Majority of processes cross departments or functional areas Documentation represents the total process Processes address who is responsible (department, division), what major functions are performed, and when the function is triggered

Process One week before party:
Reserve a conference room for the designated day and time Send a meeting invitation to all Fun Company employees Decide on decorations, beverages, cake, and card If cake will be purchased, call bakery to place order If cake will be homemade, purchase ingredients Purchase beverages

Process Purchase decorations Purchase birthday card
Circulate card among Fun Company employees for signatures On day of party: Decorate conference room Arrange cake, beverages, and card on conference table Clean conference room after party

Procedure A document containing steps that specify how to achieve an activity The method and order followed in doing something How We Do It When We Do It With Whom Procedures define the specific instructions necessary to perform a task or part of a process. Usually address only a single task Detail who performs the procedure, what steps are performed, when the steps are performed, how the procedure is performed

Pistachio Whipped Cream Cake
Procedure Pistachio Whipped Cream Cake Cake 1 pkg. yellow cake mix 1 pkg. pistachio instant pudding mix 3 eggs 1 cup club soda 1 cup oil ½ cup nuts Filling 1 ½ cups cold milk 1 envelope Dream Whip 1 pkg. pistachio instant pudding mix

Procedure Preheat oven to 350°.
Blend all cake ingredients in a large bowl. Beat 2 minutes on medium speed. Pour into greased and floured 10-inch bundt pan. Bake at 350° for 50 minutes. Cool 15 minutes. Remove from pan and place on rack until completely cool. Split into 2 or 3 layers. Beat all filling ingredients in a medium bowl until filling thickens and forms peaks. Spread filling between layers and into center of cake. Chill before serving.
