1 The Book Port Plus Menu System
Unit Two

2 Introduction In this unit you will explore the Book Port Plus’s menu system. The menu system is where you will find many of the devices more advanced features as well as a number of housekeeping and personal customization options. Setting the system date and time; creating, moving and deleting files and folders; adjusting voice options and modifying certain system behaviors are all accessed through the menu system. Familiarity with the options available within the menus, as well as how to adjust them, will greatly enhance the student’s experience while using this very versatile device. Note: The menus and menu items described in this unit are based on the firmware version The menus and menu items on devices running older or newer versions of the firmware may differ slightly from those described herein.

4 Overview of the Menu System
The menu system is accessed by pressing the Menu key, the key immediately below the Power key and to the right of the Right-Arrow key. Pressing this key results in the device announcing, “Menu. Edit. Use right or left arrow to choose item. Press down arrow to select or up arrow to cancel.” This announcement is followed by the waiting chimes being sounded, indicating that the device is waiting for user input. The announcement indicates that you have entered the main menu and that the “Edit” menu is currently highlighted.

The main menu is a horizontal list of submenus, very similar to the titles list described in the previous module. Pressing the Left-Arrow or Right-Arrow keys allows you to scroll through the list of submenus available from the main menu. Just like the titles list, when you reach the end of the list in either direction, the selection will wrap back to the starting point. Pressing the Down-Arrow or Enter (#) key will select a submenu or menu item. Pressing the Up-Arrow or Cancel (*) key will close a submenu or cancel a selection. Pressing these keys while in the main menu will exit the menu system altogether.

Using the Right-Arrow key to scroll through the main menu will result in the following ten options: Edit (default selection) Recording Playback Bookmark Voice Memo Podcast Backup Media Management System Network Settings A subsequent press of the Right-Arrow key once you have reached the “Network Settings” item will wrap back to the “Edit” submenu.

8 Explore the Main Menu Turn on the Book Port Plus.
Press the Menu key, located immediately below the Power key. The announcement previously described should play followed by the waiting chimes. Use the Left-Arrow and/or Right-Arrow keys to scroll through the main menu. The results should be identical or similar to the list of options on the last Overview slide. Note that when you reach the end of the menu in either direction, the selection wraps back to the beginning. When you have finished exploring the main menu, press the Menu key or Up-Arrow key to exit the menu system.

9 The System Submenus The following sections will describe some of the submenus and the options available therein. Some of the menus provide access to very advanced or specialized features or functions which are beyond the scope of this unit and may be covered in future modules in this series. For information regarding the menus and functions not discussed here, please refer to the user’s guide.

10 The System Submenu The System submenu provides a number of customization options as well as provides some information including the device’s serial number and firmware version. This submenu’s options are as follows: System Properties (default selection) Date and Time Text Input Mode Text-To-Speech Voice Delete Authorization Keys Waiting Sound Restore Factory Defaults Key Press Confirmation Sound

The “System Properties” option provides some useful information about the player including the version of firmware currently installed on the device, the device’s serial number and which, if any, authorization keys are installed. Authorization keys are small data files, obtained from certain agencies such as the National Library Service for the Blind and Physically Handicapped (NLS) or Learning Ally which allow the device to play digital materials in the proprietary formats used by these and similar organizations.

The “Text-To-Speech Voice” item allows you to choose between a male (Tom) or a female (Samantha) voice for reading text-based documents. The factory default is Samantha. The “Waiting Sound” item allows you to choose between two different chime patterns or turn the waiting sound off entirely. The waiting sound is played continuously while the device is waiting for some form of user input.

The “Key Press Confirmation Sound” item allows you to turn on or off the chime tone which is played after each key press. The factory default is on. The “Date and Time” item allows you to set the system date and time. The date and time are announced when you press and hold the Information key (five on the numeric keypad). The time is announced each time you turn the player on.

The “Text Input Mode” item allows you to choose between “ABC,” “thumb braille” and “reverse thumb braille” for text input. ABC mode is similar to how you would use a numeric keypad on a cellular phone to send a text message. Thumb braille and reverse thumb Braille are methods in which the numeric keypad is converted to a Braille keyboard. For a full explanation of all three methods, please refer to the User’s Guide.

The “Delete Authorization Keys” item allows you to remove any authorization keys that have been installed on the player. This should always be done before selling or giving the player to another person. Authorization keys are assigned to individuals, not to players. The next person using the player must apply for his or her own authorization key(s) from the organizations from which they are eligible to receive and use digital materials in proprietary formats. The “Restore Factory Defaults” item allows you to quickly restore all settings to their default values. This function should also be performed prior to selling or giving the Book Port to another person.

Press the Menu key to enter the main menu. Use the Left- or Right-Arrow key to navigate to the “System” menu. Press the Down-Arrow to enter the “System” menu. The default menu item should be “System Properties.” If it is not, use the Left- or Right-Arrow keys to navigate to it. Press the Down-Arrow or Enter key to begin playback of the system properties. When the information begins to repeat, press the Up-Arrow or Cancel Key to stop playback and return to the “System” menu.

Use the Left- or Right-Arrow keys to navigate to other options within the “System” menu. Use the Down-Arrow to select an option. Use the Left- or Right-Arrow keys to cycle through the settings available for that particular item. Use the Down-Arrow or Enter key to change a setting or the Up-Arrow or Cancel key to exit without changing the setting. Note that if you choose to change a setting, you will automatically exit the menu system and return to the current title. Continue exploring the “System” menu to familiarize yourself with the available options and how to change or customize settings. If you change a setting, you must reenter the menu system as described in steps one and two above. When you are finished, press the Menu key or repeatedly press the Up-Arrow or Cancel key until you exit the menu system and return to the current title.

Press the Menu key to enter the Main Menu. Use the Left- or Right-Arrow key to navigate to the “System” menu and select it with either the Down-Arrow or Enter key. Use the Left- or Right-Arrow Key to navigate to the “Date and Time” item. Select it with either the Down-Arrow or Enter key. The player will announce “Enter month.” At this point, the numeric keypad will be used for data entry rather than navigation. Use the keypad to enter the month, e.g., 1 for January, 2 for February, etc. followed by the Enter (#) key. If you make a mistake the Cancel (*) key will clear the entry.

The player will announce “Enter date.” Enter the one- or two-digit day of the month followed by the Enter key. The player will announce “Enter year.” Enter the four digits of the current year followed by the Enter key. The player will then announce “Enter time with four digits. Press left- or right-arrow to select am or pm.” Enter the current time in the format HHMM and use either the Left- or Right-Arrow keys to toggle between AM and PM. When you have finished, press the Enter Key. At this point you will exit the menu system and return to the current title. To verify that the system date and time is set correctly, press and hold the Information key until the player announces the time followed by the date.

The “Media Management” submenu provides a number of file and folder management options as well as a few recording options. The items available from this submenu are as follows: Media and Title Information Erase SD Card Erase USB Create New Title Create New Text File Delete Title Delete File Prepare for Editing Build Book Network Folder

The “Media and Title Information” item provides some useful information regarding the currently selected storage media and title as follows: Media Type (USB, SD card, or voice memo) Card Lock Status (locked or unlocked) Free Space (on selected storage media in Megabytes or Gigabytes) Total Size (of selected storage media in Megabytes or Gigabytes) Type of Title (DAISY, text, audio or audio book) Size of Title (in Megabytes or Gigabytes)

Note: Most SD cards have a “locking” switch located along the left edge near the front left corner. When in the “locked” position, data cannot be written to or erased from the card. This switch should always be in the “unlocked” position (pushed forward toward the left front corner) when the card is being used with the Book Port.

The next two menu items, “Erase SD Card,” “Erase USB” and “Erase Internal Memory” allow you to erase one of these two forms of storage media. Select the appropriate menu option for the type of media you would like to erase and confirm your selection with a press of the Enter key. The media will be completely erased and the menu will be closed.

The “Create New Title,” “Prepare for Editing” and “Build Book” items are functions used in the creation of DAISY audio books which is a topic beyond the scope of this module. The “Create New Text File” item allows you to create a new, empty file on the device. The file will have the .TXT extension and will be stored in a folder titled “Text” on the currently active storage media. Text input is achieved through one of the three methods briefly described above. For a full explanation of how to create and edit a text-based document, please refer to the User’s Guide.

The “Delete Title” item allows you to erase the selected title. If the title is a DAISY text or DAISY audio document, all of the associated files and folders will be removed. Any bookmarks set within that document, however, will not be erased and will remain available if the document should be put back on the player at a future time. The “Delete File” item is primarily used to erase audio files (recordings made on the device, prerecorded music, etc.) The “Network Folder” item is used in conjunction with the “Book Transfer” software bundled with the device which allows you to wirelessly transfer files between the Book Port and a computer using the Wi-Fi network communications protocol.

Press the Menu key to enter the main menu. Use the Left- or Right-Arrow key to navigate to the “Media Management” submenu. Press the Down-Arrow to enter the “Media Management” submenu. The default menu item should be “Media and Title Information.” If it is not, use the Left- or Right-Arrow keys to navigate to it. Press the Down-Arrow or Enter key to begin playback of the media and title properties. When the information begins to repeat, press the Up-Arrow or Cancel Key to stop playback and return to the “Media Management” menu.

Use the Left- or Right-Arrow keys to navigate to other options within the “Media Management” menu. Use the Down-Arrow to select an option. Use the Up-Arrow or Cancel key to cancel the item. Continue exploring the “Media Management” menu to familiarize yourself with the available options and how to work with them. When you are finished, press the Menu key or repeatedly press the Up-Arrow or Cancel key until you exit the menu system and return to the current title.

33 The Bookmark Menu The “Bookmark” menu contains only two options which are as follows: Play Back Voice Bookmarks (default option) Clear All Bookmarks in Current Title The “Play Back Voice Bookmarks” item allows you to decide how the player handles voice bookmarks while reading a document. As you learned in a previous module, the default behavior is to stop reading the document at the bookmark, play the voice bookmark and then resume reading the document. Changing this setting to “Off” will result in voice bookmarks being ignored during document playback. To hear a voice bookmark while in this mode (voice bookmarks turned “Off”), you must invoke the “Go To Bookmark” function with the Bookmark key and enter its number. The reading point will be moved to that position in the document and the voice bookmark will be played.

The “Clear All Bookmarks in Current Title” item does just what it says. Selecting this option will result in the warning: “You are about to clear all bookmarks in the current title. Are you sure?” Press the Down-Arrow or Enter key to confirm or the Up-Arrow or Cancel key to cancel the operation. If you confirm, all bookmarks, including voice bookmarks associated with the title will be erased.

Select and begin playback of a text or DAISY audio document. Stop playback and set a voice bookmark as described in the previous module. Use either the One key on the numeric keypad or Left-Arrow to move back slightly in the document and press the Play key to resume playback. Note that when your voice bookmark is reached, reading of the document will pause, your voice bookmark will be played and reading will resume.

Pause playback of the document and use the Menu key to enter the main menu. Use the Left- or Right-Arrow key to navigate to the “Bookmark” submenu. Press the Down-Arrow to enter the “Bookmark” submenu. The default menu item should be “Play Back Voice Bookmarks.” If it is not, use the Left- or Right-Arrow keys to navigate to it. Use the Down-Arrow or Enter key to select the item and the Right-Arrow to change the setting from “On” to “Off.” Use the Down-Arrow or Enter key to make the change and exit the menu system.

Move back slightly in the document as described in step two above and begin playback. Note that playback is uninterrupted when you reach the position of the voice bookmark. Pause playback. Press the Bookmark key to invoke the “Go To Bookmark” function. Enter the number of the voice bookmark on the numeric keypad and press the Enter key. The voice bookmark will be played. Restart playback of the document and note that the reading position has been moved to the location of the voice bookmark. Pause playback of the document and use the Menu key to enter the main menu. Use the Left- or Right-Arrow key to navigate to the “Bookmark” submenu.

Press the Down-Arrow to enter the “Bookmark” submenu and use the Left- or Right-Arrow key to navigate to the “Clear All Bookmarks in Current Title” item. Use the Down-Arrow or Enter key to select this option. If you have no further need for the bookmarks set in the document, use the Down-Arrow or Enter key to erase them all. Otherwise, use the Up-Arrow or Cancel key to cancel the operation. If necessary, press the Menu key to exit the menu system. If you deleted the bookmarks, use the “Go To Bookmark” function to verify that there are no longer any bookmarks associated with the document. If you would like to turn the Voice Bookmark feature back on, return to steps three - five and follow the same steps, but choose “On.”

41 Summary The intent of this unit is not to provide a comprehensive discussion of all of the submenus and menu options available from within the Book Port’s menu system. Instead, it is designed to provide an overview of the menu system and describe some of the more commonly used functions and settings available therein. Refer to the Book Port Plus’s User’s Guide for explanations of submenus and menu options not described here.
