January Conference Calls - Course Master Data File (CMDF) and Sampling
Census date Include for credit classes only in CMDF Exclude from your CMDF non-credit classes dual-enrollment courses offered entirely to high school students distance learning classes including practicums, clinicals, internships and co-ops lower-level ESL classes lab sections associated with a lecture individual instruction individual study or self-paced classes from the data file This call only provides an overview and the January call will go into much greater detail Census date – says 12 days after start of classes but it is whenever your add/drop period ends; need solid enrollment figures for the sampling process For credit classes only (exclude non-credit classes , dual-enrollment courses offered entirely to high school students, distance learning classes including practicums, clinicals, internships and co-ops, lower-level ESL classes, lab sections associated with a lecture, individual instruction, individual study or self-paced classes from the data file) Note on remedial/developmental courses: Please include these classes when they are offered for institutional credit (e.g., financial aid) even if the credit is not applicable towards a degree. Target sample size – 160% Stratified random sampling – morning, afternoon, and evening courses 160% -to anticipate situations in which there are large numbers of drops or in which classes can’t be surveyed for some reason Community College Survey of Student Engagement

Survey Packet Materials
Each sampled course will have an envelope that contains Class Information Sheet (Appendix L, Page 26 in P.G.) Survey Administration Script (Appendix A, Page 14 in P.G.) CCSSE Program Code Sheet (Appendix M, Page 28 in P.G.) CCSSE Additional Questions Sheet or combination CCSSE Additional Questions and Individual College/Consortium Questions Sheet Surveys You will also receive pencils, 100 extra surveys, UPS return shipping labels, and neon labels Survey packet preparation – first come, first serve basis Class Information Sheet – pre-printed information at the top (e.g., class name, start/end time, survey number range) CCSSE Program Code Sheet - if you do not find the codes useful, you can design/use your own sheet but codes will have to be from 00 – 39 only CCSSE Special Focus Questions Sheet -The questions were chosen because of the importance of these activities for community college students. Each year in the future, we will select a different topic for the special item set, based on interest among CCSSE colleges and the research community, and we will share national results in CCSSE's annual report. This strategy will help to keep the survey fresh -- addressing issues of importance to community colleges and their Pre-sharpened pencils distributed based on institutional size; additional pencils are available for purchase – contact CCSSE liaison for details 100 Extra surveys - when actual class size exceeds the number reported to CCSSE, please supplement with these (DO NOT USE LEFT-OVER SURVEYS FROM OTHER CLASSES) UPS return shipping labels – distribution based on institutional size Neon labels – distribution based on institutional size ; place on side of box and serves as back-up if regular UPS label somehow is removed Appendix N provides a breakdown of the survey material distribution based on institutional size. Survey Administration Process
Survey takes between minutes to complete Survey must be completed in #2 pencil Deadline for receiving surveys: MAY 21 Surveys takes longer in developmental and higher level ESL courses Community College Survey of Student Engagement

Post Administration Return completed surveys and corresponding Community College Student Report Information Sheet to CCSSE in envelopes in which they arrived to you. You do not need to return unused surveys, Program Code Sheets, pencils, or Supplemental Questions Sheets to CCSSE. UPS shipping labels-if you lose them or need more, contact your liaison Please make sure that surveys are returned in either their original envelope or if it was destroyed some other envelope. Our scanner scans surveys by course so the Class Information Sheet and surveys being returned as they were sent is CRITICAL Community College Survey of Student Engagement

President’s Memo for CCFSSE When to send: mid- to late Feb Template: Appendix C, page 9 in CCFSSE Guide invitations sent by CCSSE When sent: March 3, March 24, April 14, or May 5 Campus contacts will choose date in January during Data Verification Process Campus contacts will be notified that invitations have been sent Sample Invitation: Appendix B, page 7 in CCFSSE Guide Campus Contact checks response rates and follows up with non-responders Deadline for completed online surveys: MAY 21 Community College Survey of Student Engagement

CCFSSE Faculty addresses must be included in the college’s Course Master Data File. Verify faculty addresses by sending out a test message before submitting the college’s Course Master Data File. Ensure that the sending address will not be blocked by the college’s server or spam-blocking software. Community College Survey of Student Engagement

Hard copy binder is shipped to the president and institutional contact receives an electronic version Most reports are broken out by “Your College” vs. “Other Consortium Colleges” or “Other Similarly-sized Colleges” vs. “All 2006 CCSSE Colleges” CCSSE additional questions – will receive a frequency report of only national-level results, not individual college results All colleges receive a raw data file (Excel) with student-level responses to the survey, course information (whatever they submitted in their CMDF), as well as raw and standard benchmarks Oversample colleges – only receive raw data and there is a “flag” in the file to identify them versus regular sample (no reporting – available for a fee) Consortia with additional questions only – will receive a frequency report of results as well as the data in their raw data file Community College Survey of Student Engagement
