Overview
Existing process is very cumbersome and untimely with coupon code execution required, etc.
Interim process is resource intensive, and tedious to track usage, billing, etc.
NEW process, policy and tool, allows for LP execution in a timely manner with a very intuitive lab scheduling tool. Also, allows to track and manage the business as the lab assets are scheduled and credentials utilized.
Timeline for Implementation
Requesting LP cut-over by January 31st, 2014
Allowing LPs to extinguish already distributed bulk lab credentials by end of February, 2014

Virtual Cisco Learning Labs Policies
Lab assets must be utilized with delivery of the related Cisco training course
New Lab Reservations
Allowed to be made One Year in advance, and up until the Thursday at mid-might PST prior to the requested class start date (typically the following Monday)
Cancellation Policy
The LP Administrator has up until the Thursday, at midnight (12:00 am) Pacific Time, the week prior to the requested class start date (typically the following Monday)
Student Name & Address Requirement
requires the LP Administrator to provide each student’s full name and a valid address, by end of the month that follows the class start date.
Example: Class delivered the third week of January, all participating students names and addresses must be provided by end of February.
requires full student names and valid addresses in order to meet annual audit requirements, both internal/external, financial revenue-to-bookings, and ISO related.  Also but equally important, to validate that the training product being delivered is attracting the intended audience job role and market segment.  This type of information is a necessity in order to ensure our products are most effective for the recipient audience.

Invoicing (Billing) & Fulfillment Policy
Invoicing (lab) initiates the Monday following the week of class delivery
Invoicing is based on student count provided in the reservation by the LP Administrator
does not provide fulfillment of student kits for CCNA Routing & Switching (ICND1, ICND2, CCNAX) virtual lab rentals. Subsequent ordering of Student Kits from Gilmore still required.
The LP can only request an increment in student count after the cancellation deadline, therefore decrements in student count are not allowed after the cancellation deadline
Note: No reimbursements or refunds will be issued for credentials not used
Note: If student count was increased after Lab Reservation Cancellation deadline, credentials for the additional student must be requested from Cisco Lab Administrator manually and may not arrive in time for the class start date

Periodic System Notifications
Notifications will be sent via the Cisco Learning Labs Scheduler tool to aid in reminding LP Administrators to take action. However, the notifications are not meant to provide complete details of Cisco Learning Labs policies.
Lab Credential Disbursement
Virtual lab access credentials are ed to the instructor listed on the lab reservation form and corresponding LP Administrators on Friday morning before class start date (typically the following Monday).
In case the instructor misplaces the , credentials are also published in the Cisco Learning Labs Scheduler tool under Instructor Pages.
