Why Do We Need an ERP? The new approach will help employees have better access to shift information, giving them the flexibility to more easily trade shifts, access schedules remotely, and request leaves of absence. The updated system will reduce the amount of time managers spend scheduling and timekeeping. This will allow them to devote more time and energy to front-line patient care, as well as support their employees in ways such as providing timely responses to leave requests. By capturing time more accurately, the new system will ensure employees receive accurate pay without manual intervention. The project aims to achieve provincial agreement on standardized processes, ensuring collective bargaining agreements are applied consistently.

ERP Progress to Date In early 2012, the health system began developing a business case to look at the potential of replacing our payroll and staff scheduling systems Recently this has resulted in a provincial procurement for a strategic partner to work with us on developing a recommended solution The final phase of this procurement process is a “proof of concept study” to ensure the solution meets our complex requirements and can deliver the value required by patients, families, employees and employers

Proof of Concept Rollout Strategy Benefits Validation
The Proof of Concept Phase is designed to investigate the following components associated with the ERP implementation. This will provide the information required to make an informed decision. Rollout Strategy Review the deployment sequencing and timeline to assess the impact to the system and human resources Benefits Validation Test the assumptions in the strategic partners proposal to ensure the health system will achieve the value proposition Process Standardization and Governance Model Focus on identifying key processes and conducting workshops with RHAs to arrive at a standard province-wide design Technology Prototype Focus on building a sample prototype around key technology elements to demonstrate technology capabilities

Test a variety of electronic timecard and/or staff interactive devices Kronos In Touch kiosk Swipe ID badges, biometrics Mobile and web based applications Get feedback from staff on technology solutions Perform parallel payroll process to test configuration

Encourage employers and union partners to deliver key messages front-line staff involved in the study Share the results with you. As part of the technology prototype stream there are two date options for concurrent employment sessions - May 12 and May 13 So far we have received a few union commitments to these sessions.
