Manchester County FA An introduction to the Whole Game System for Clubs The objective of this presentation is to provide league officials with an understanding of the key elements of the Whole Game System, the impact it will have on their respective league and the preparation work that officials should now be starting to ensure successful implementation. It may be useful to let the league attendees know that you will be making available a set of the slides so that they can share them with league colleagues. It is worth pointing out at this stage that the session is not designed as a training opportunity – that will follow later

This is a journey that we are all taking together and the closer we work together the more benefits we will take out of Whole Game.

Accessed through TheFA.com or CFA website Using FAN or address/password - Entry point for all leagues, clubs, players, referees and other volunteers MOAS Will feed match official information into Whole Game Full Time Those leagues using Full Time will be able to manage league, cup , discipline records through Whole Game CFA staff create registration, affiliation and sanctioning forms Invite clubs and leagues to affiliate/sanction and referees to register Whole Game System Single point of administration Affiliation and sanctioning Referee registrations Player Registrations Discipline Finance When this slide first appears it can be very daunting and confusing. It is suggested that you draw it down in small bite-size sections starting with the green box through which the workshop attendees will typically enter the site. For those leagues using Members’ Services regularly there will not be a huge difference in what they will see when they first enter (a couple of screen shots follow this slide). Whilst using the term Portal will be useful as this is a term they will become use to, you might also find it helpful to use the metaphor of a ‘green door’ to help explain that this is where customers gain entry to the system. From the green box you will move down into the red box. This is the CRM element of Whole Game (customer relationship management) in where all the data will be stored and managed. It might be useful at this stage to explain that the CRM product (supplied by Microsoft) has been used as it will fit into the wider Customer Relationship strategy that the FA are developing. Whole Game will be the foundation on which much of this strategy will be built. League officials will not need to worry too much about this area as it is the backroom where the County FA staff will spend most of their time. This is demonstrated by the blue box that appears to the left (as you look at it) of the red box. You may find it useful to talk through how the club affiliation process will take place through this system. The diagram is then completed by drawing down the F/T and MOAS boxes.

Why is The Whole Game System being introduced?
League and club officials increasingly comfortable with online processes outside of football Integrated system will be more efficient and effective for the game’s 400,000 volunteers We recognise the outstanding contribution made by league and club officials and seeks to improve their experience Online processes reduce costs for leagues and clubs The need to develop a central robust transparent system to administrate football for years to come. Why is The Whole Game System being introduced? This is a read through page that bases the development of Whole Game very much as an opportunity to support leagues, clubs and the volunteer workforce.

It may be useful to stress the first bullet regarding Form D as this will be perceived as one of the more significant time savers.

Pitch Finder As you have mentioned Pitch Finder on the last slide it is probably worth a few moments explaining how the system will work. Any official with access can put in a postcode for a club and Pitch Finder will locate it. Useful for away games and for those clubs (typically youth clubs) which play at numerous venues.

Take a few minutes to consider the following questions;
How would an integrated online administration benefit your Club? Which volunteers in your Club would benefit from such a system? Benefits to your Club Having introduced Whole Game it is probably a good time here to allow the attendees to spend a few moments (5 minutes will probably be sufficient) thinking about how the system will impact upon their league. If your room is big enough you might consider putting the attendees into groups (leagues together or even specific roles together e.g all secretaries in one group). If you do not have the space just ask them to get into 2s or 3s and chat amongst themselves. To finish this slide, you might invite some feedback – encouraging answers from the floor and trying not to pounce on unsuspecting attendees!

April /May 2013 Online Club Affiliation/Membership (Pilot CFA’s in NW, Manchester, Cheshire, Derbyshire, West Riding) Cross Boundary Implications You will need to be fully aware of those leagues that Manchester County FA do not sanction and that your teams play in and that are not included as a 2013/14 pilot counties Whole Game online process. Those Leagues will be completing a manual sanctioning process with their sanctioning County FA. However, when sanctioned and entered manually into the CAS (current FA system), the information will migrate across into the Whole Game System This will need some careful explanation – and a warning that a little extra work is required. It might be a good idea to find out how many leagues will be faced by this challenge. Explain that this will only be an issue this year. Would also be a good idea to offer the assistance of your Development staff in helping leagues manage this.

Store player photographs online View player details (including discipline) in real time Late May 2013 Manchester County FA will be in discussions with our sanctioned leagues to discuss the options that are available. Our intention is to have all Players in our sanctioned leagues registered by the end of season 2013/14 season. You may need to point out with this slide that the roll-out process for player registration is still to be confirmed. It may be that certain leagues are nominated as pilots – County FA will advise

Integration with Full-Time
Whole Game System integration with Full-Time will allow all data to be shared across the game The Whole Game System will be integrated with Full-Time in June 2013 offering significant advantages to the 700 leagues currently using it Leagues not using Full-Time have time to reflect on how The Whole Game System and Full-Time can improve the efficiency of their League Integration with Full-Time The next 3 slides are hugely important. It might be useful to enquire how many leagues in attendance currently make use of Full-Time. It needs to be stressed that those are the leagues will extract the greatest benefit from Whole Game. It may be worthwhile to offer a ‘call to arms’ at this point – if your league wants any assistance in signing up for FT please contact XXXXXXX in my Development Team who will be able to assist.

Late June 2013 Integration with Full Time Full-Time will automatically update County FA, clubs and players on matches which qualify for suspensions, including postponements and re-arrangements Referee appointing will operate off a central calendar, Respect marks from clubs will be integrated with Respect marks from referees including reports in WGS Fixtures from outside competitions will be automatically integrated for all teams within a league Pitch sharing visibility will be available for all grounds via integration of ground data in WGS Grounds and pitches will be automatically integrated with Pitchfinder Due to the importance of Full Time it would be advisable to run through each point individually. You may pick out a few trusted officials from leagues already using FT and ask them to share with the group how useful these enhancements will be.

Training, Support and Communication
Most importantly Manchester FA will offer a bespoke service to meet the needs of our Clubs. We will personally assist (On-site) you as our Member Clubs in the use of the new system for 2013/14. Customer interface (MyFootball Portal) designed to be as easy for customer to use as possible Online training functions to be provided by The FA/County FA To include video, PDF, and FAQs Additional support such as training workshops may be offered by County FAs as required Support will continue throughout various phases of delivery Training, Support and Communication The next two slides will provide the leagues with an understanding of what they can expect from The FA and CFAs to support them through he implementation stage of Whole Game. You may like to give some thought to what local support you will give to clubs and leagues prior to the session in order that you can specific examples and details. You may find it useful to ask the attendees what additional support they may require.

Preparing your Club for The Whole Game System The next section of the presentation is designed to focus the attendees on the actions they need to take now in order to prepare for successful implementation of Whole Game. Again you are advised to break the attendees into groups and allocate sufficient time for discussion amongst league officials.

Preparing Your Club for Whole Game
In groups to consider what actions your Club will need to take to; Ensure that The Whole Game System is successfully delivered into your Club. Ensure that your Club maximises the benefits offered by The Whole Game System. Preparing Your Club for Whole Game You will note that the brief makes no reference to how long you will allocate for these discussions. This will allow you to fit the time to suit your own local arrangements. It is suggested that a minimum of 10 minutes be allocated.

To ensure successful delivery we will all need to..
Work with County FA colleagues Engage with Club colleagues and League officials Consider who will require access to The Whole Game System - encourage onto Members’ Services in short term? Actively participate in training initiatives – either online or in provided by County FA Support the Leagues in reviewing their Sanctioning processes and development of SCOR. MCFA to support Clubs and Leagues in reviewing their player registration processes. Get those Leagues not using Full Time to consider using Full Time. To ensure successful delivery we will all need to.. The next two slides list some of the findings that it is hoped your break out work will have elicited. It is important to point out how similar the two lists are!

County FA and The FA committed to supporting Clubs and their Volunteers through delivery of The Whole Game System. MCFA team to attend (if required) Club Management Committee Meetings. MCFA team to attend League Meetings and present and discuss key issues and solutions. Agree timescales and how we will ‘Roll Out’ to Clubs, communicate this to Clubs and Leagues. To communicate our 2013/14 Membership Offer to Clubs and Leagues. The Whole Game System is a fundamental change in the administration of grassroots football – there may be minor irritations ahead, but once the system has bedded in the benefits to all concerned will be far-reaching.
