Allocation Process

Allocation Process Obtain the Official Allocation Form from the Student Government Clubs and Organizations page. Completely fill out Allocation Form and send it in to by the due date. Attend the Allocation Board Meeting and present allocation. Make sure to have advertisement flyers ready to show. If Allocation passes, speak with Student Government Treasurer.

After Allocation Process
Go to the business office and turn in your check request form to receive your check or money transfer. Hold your event. Speak to Kate Hamilton. Within two weeks after event, turn in receipts and event evaluation form. If you do not turn these in, you risk; being placed in poor standing, being unable to allocate in the future, and possible sanctions from the business office if receipts are overdue.

Important Reminders All Student Orgs should have a Student Government Representative chosen to attend meetings. (Article V, Section 3) If your Rep is going to be absent, an E-board member must take their place. If you do not show to meetings you will be unable to allocate. All receipts from approved allocations should be copied and turned into Student Government, the originals go to the Business Office. This will help to determine if the deadline for receipts is missed by an organization.

Reminders (Continued)
For every school day that receipts and event evaluations are overdue, originally awarded amounts will be reduced by 5% (Article X, Section 3, Subsection A, Part 1) We require confirmation from your Advisor for all allocations. Have advisor We will save the for our records, no signature required. Please submit all documents electronically. Allocations are due at 5pm on the Thursday prior to the Allocation Meeting. 72 hours in advance.

Important Details / Amendment Updates
In order for an allocation request to be considered complete and presented at an allocation meeting; the student organization bringing the proposal is required to develop and articulate an advertisement plan. One sample event flyer or poster must be attached to the student organization event proposal. The group must also present their advertisement plan during the allocation meeting, and have it approved by the office of student engagement. (Article X, Section 1, G.) At the end of the calendar school year, what is left of the Student Services Fee is rollover to the next year. Student Government will distribute a sum of that money equal to two percent of the portion of the Student Services Fee that will rollover to the next year to each organization that proposed an event that was passed. The sum money will be distributed to each of the organization’s operating account. This amendment will go into effect the school year. (Article X, Section 2, E.)
