July 24, 2012 Background & Key Terms HUD requires CoCs to conduct a bed inventory and sheltered count of the entire homeless system each year in January This year, our count is on Wednesday, January 25th Complete and submit HIC surveys by Wednesday, February 10th , 2017 Providers will receive HIC survey link Tuesday, January 31st , 2017 Complete and check HMIS data within 48 hours of count Presenter: “Each year in January, the Detroit Continuum of Care is required by HUD

July 24, 2012 Background & Key Terms Key Terms: HIC – Housing Inventory Chart PIT – Point-In-Time Sheltered* Count Unsheltered Count Presenter: HIC – HIC stands for Housing Inventory Chart and this is the chart that shows an inventory of beds that are available for people who are homeless, including emergency shelter beds, transitional housing beds, rapid re-housing beds, safe haven beds, and permanent supportive housing beds. PIT – PIT stands for Point-in-time count of the number of people who are occupying the available beds on a certain night in January. The sheltered PIT is conducted each year. In addition, an unsheltered Point-in-time count will also be conducted this year, which counts the number of individuals and persons in families who are found on the streets the night of the count. The unsheltered count is conducted every other year.

6 Completing the HIC Survey
HAND Membership Meeting July 24, 2012 Completing the HIC Survey Refer to the “2017 Housing Inventory Chart and Sheltered PIT Instructions” document (in Word) Open and complete the “2017 Housing Inventory Chart for Agency Review” survey (via surveymonkey) Complete survey for every housing program that your agency operates Presenter: A document titled “2016 Housing Inventory Chart and Sheltered PIT Instructions” was ed to everyone yesterday. And along with that document, was a link titled “2016 Housing Inventory Chart for Agency Review”. You will use the instructions document to review and make changes, if necessary, to the spreadsheet.

7 Confirming your Sheltered PIT Count from HMIS
All Emergency Shelter, Safe Haven, and Transitional Housing providers will have 48 business hours to review the clients currently entered in their program as of January 25, You can run the entry/ exit report or take a look at “view all” in ShelterPoint. On Tuesday, January 31st your HMIS Agency Administrator(s) will receive a list of clients and any null Universal Data Elements. Password = PIT2017 Please write back as soon as possible to confirm that this list is accurate AND that all null data elements have been filled in. Final due date = Wednesday, February 8, 2017 Note: PSH and RRH providers will complete this in their HIC survey. RRH providers are asked to run their ESG CAPER for 1/1/17 to 1/25/17 and use the value found for TOTAL under the 22c. The RRH audit report also shows detail of services and how they align with Residential Move In Date.

8 Submitting Your Sheltered PIT count (non-HMIS providers)
Agency contacts for providers known not to be using HMIS should have received an with the form to be used to document clients staying in their emergency shelter or transitional housing program the night of January 25, 2017. Please be sure to follow the instructions entitled “2017 PIT Data Collection Form Instructions” included with the document when completing the form. Providers are asked to the completed form back to by Wednesday, February 8, 2017
