1 Hub & Spoke Load Planning Standard Work
Updated In advance of delivering this module, make sure you have the following all set… Copies of the ATD Warehouse Toolkit for attendees Use this slide to welcome the team to this module Disciplines to drive excellence into your daily work and mindset from warehouse to delivery. Hub & Spoke Load Planning Standard Work

2 What is Hub & Spoke Load Planning SW?
What is X? What is Hub & Spoke Load Planning SW? The Hub & Spoke Dock Standard Work (SW) outlines steps needed to load plan and execute the transferring of ISO shipments throughout a Hub and Spoke Network in order to maximize cube. Review the purpose on this slide.

3 You as a Warehouse Operator? Our company? Our customers?
The ATD Discussion Board What value does having a standard Hub & Spoke Load Planning process provide to… You as a Warehouse Operator? Our company? Our customers? Ask each of these questions taking comments after each.

4 1. Load Planner Preparation and Communication
What is X? Hub & Spoke Load Planning SW 1. Load Planner Preparation and Communication Review Rebalancing Tool (1st Look) 4-5 hours prior to cutoff Compare sold vs. rebalancing charts Identify any spokes that have higher than typical sold volume and alert the DC leadership See Appendix A for detail Review this slide

5 1. Load Planner Preparation and Communication
What is X? Hub & Spoke Load Planning SW 1. Load Planner Preparation and Communication b. Review Rebalancing Tool (Final) 75-90 minutes prior to cutoff Compare sold vs. rebalancing charts Adjust volume of rebalancing orders to ensure cube will fit based on designated equipment Max cube on a standard 26’ box is 1575 Best practice is to cube up to a MAX of 1200 on the Final Planning This allows for additional sold orders up to the time of cutoff Be cognizant of gross vehicle weight (GVW) restrictions as you approach cubing out a box truck See Appendix A for detail Review this slide

What is X? Hub & Spoke Load Planning SW 1. Load Planner Preparation and Communication c. Send rebalancing plan to all spoke DCs 75 minutes prior to cutoff Send screenshots to the H/S Network team to communicate plan Screenshot of the charts Screenshot of the “”Ship Today per Load Planner” tab See Appendix A for detail Review this slide

7 2. Pre-dispatch at Spokes
What is X? Hub & Spoke Load Planning SW 2. Pre-dispatch at Spokes c. Release and Pick Rebalancing Orders All Rebalancing orders will be in Oracle as “TL” and can be accessed via the 3rd Party Shipping tab in the Logistics Workbench Based on the direction given by the Load Planner, release the appropriate cubic volume of TL orders for each DC in the Logistics Workbench. See Appendix B for detail on the LWB batch and release process Keep rebalancing product separate from sold merchandise during stage. Segregate all DCs as you do today with sold merchandise. Review this slide

10 2. Pre-dispatch at Spokes
What is X? Hub & Spoke Load Planning SW 2. Pre-dispatch at Spokes d. Load rebalancing orders Sold merchandise is segregated by DC in the nose Rebalancing orders should be segregated by DC in the tail e. Alert Hub and Spoke driver that the truck has rebalancing orders on the tail Review this slide

11 3. Cross Dock at the Hub Hub & Spoke Load Planning SW What is X?
Truck arrives at dock Rebalancing orders will be on tail Driver alerts hub lead that the truck has a rebalancing order(s) Unload rebalancing orders onto segregated pallets Only one To/From DC per pallet Wrap each pallet in caution tape (or other visual aid) Move pallet to designated stage area Continue cross-dock process with all trucks Load trucks Sold product together, segregated by DC Redistribution product together, segregated by DC Review this slide

12 4. Receipt at Spokes Hub & Spoke Load Planning SW What is X?
Truck Arrives Unload Product Sold Product Use your existing process Pre-receive or live receive into designated QUICKPICK bins based on desired process Review this slide

13 4. Receipt at Spokes Hub & Spoke Load Planning SW What is X?
ii. Redistribution Product Do not pre-receive Unload to pallets, segregating by DC Place appropriate Load Manifest with each group of pallets Receive and Putaway product Use the standard ISO receiving process Define a time each day when Redistribution product is processed. This may be during standard receiving windows, immediately following the Spoke truck unload, immediately after AM dispatch, or after AM pick and load is done overnight. The key is to define a standard time in the schedule. Review this slide

14 Key Success Factors/Notes From Current Load Planners
What is X? Hub & Spoke Load Planning SW Key Success Factors/Notes From Current Load Planners Review this slide

15 Key Success Factors/Notes From Current Load Planners
What is X? Hub & Spoke Load Planning SW Key Success Factors/Notes From Current Load Planners Define backups The Load Planner should have a backup. The backup doesn’t necessarily need to be in the same DC. Each DC should have a backup Introduce process to both the DCM and the primary H&S lead at each DC Review this slide

16 Key Success Factors/Notes From Current Load Planners
What is X? Hub & Spoke Load Planning SW Key Success Factors/Notes From Current Load Planners b. Standardize your timing and communication Create an distribution list if one does not already exist for Hub and Spoke Each network is unique in its existing schedule. Define the key times when redistribution activity will happen each day for your network and communicate that to the distribution list. Hub and Spoke Central Control Form (1st Check) Hub and Spoke Central Control Form (Final Check) Communication plan to the Spokes Review this slide

17 Key Success Factors/Notes From Current Load Planners
What is X? Hub & Spoke Load Planning SW Key Success Factors/Notes From Current Load Planners c. Scale Up the Process Days 1-2 Each DC sends only one small order to familiarize with the system and loading process. Hub works out any flow issues while volume is low Build an understanding of Cubic Volume Days 3-4 Load Planner begins to dictate volume using the communication plan Volume may increase, but not as much Coordinator looks for trends (should be done all days) Which DCs are bringing the most product to the Hub? Which DCs are leaving from the Hub with the most product? Week 2 - Go Live with full process and volume Review this slide

18 Key Success Factors/Notes From Current Load Planners
What is X? Hub & Spoke Load Planning SW Key Success Factors/Notes From Current Load Planners d. Truck Use Use a large truck (26’ preferred) The same size each night otherwise the coordinator may under/over cube the truck If a truck must be subbed, communicate this to the coordinator Review this slide

19 Key Success Factors/Notes From Current Load Planners
What is X? Hub & Spoke Load Planning SW Key Success Factors/Notes From Current Load Planners e. Meet with all warehouse/delivery team to review process to build awareness Warehouse personnel should understand where the redistribution receiving is staged Hub and Spoke driver should know the difference in sold and redistribution product and know to alert the hub lead that their truck has redistribution product Review this slide

20 Appendix A – Load Balancing
What is X? Hub & Spoke Load Planning SW Appendix A – Load Balancing HUB & SPOKE LOAD PLANNING TOOL Open document Enable Content. This document has automated links to Oracle and will always populate with the most up-to-date order information. Note: each time it is opened, it will refresh the “Shipped” column to the current status as it exists in Oracle at that time. Review this slide c. Select the Hub DC and enter the Volume Limit, then click the Refresh button Max cube on a standard 26’ box is 1575 Best practice is to cube up to a MAX of 1200 on the Final Planning

21 Copy/paste “Yes” for all ATD Route Truck Orders
What is X? Hub & Spoke Load Planning SW Appendix A – Load Balancing d. Set all Sold Orders to “Yes” in the SHIPPED column to ensure we meet customer expectation Filter the Ship Method Meaning Column to “ATD Route Truck” Change the “Shipped” column attributes to Yes. Copy/Paste to all lines Copy/paste “Yes” for all ATD Route Truck Orders Review this slide iii. This will update your graphs to show the volume of sold Customer Orders

22 Hub & Spoke Load Planning SW
What is X? Hub & Spoke Load Planning SW ***If your network has a relationship with an RDC, perform step “e.” If not, proceed to step “d.”*** Set all sold orders from the RDC to “Yes” in the SHIPPED column to ensure we meet customer expectation Filter Ship Method Meaning column to TL Filter the Shipping DC column to the RDC Number (ex. 976 Filter the Order Type column to Customer Order Change the “Shipped” column attributes to Yes. Copy/Paste to all lines Review this slide

23 Hub & Spoke Load Planning SW
What is X? Hub & Spoke Load Planning SW f. Add cubic volume for non-sold orders to the daily plan in order to maximize space Manipulate the filters to more easily make changes Filter the Ship Method Meaning Column to TL Select the SHIPPING DC and the RECEIVING DC that you want to change Change TL orders to “Yes” in the SHIPPED column for those orders that you want to ship. The charts will update automatically as each change is made Bulk changes can be made by using a copy/paste of “yes” into multiple lines at one time. Pay close attention to the ISO Order Number column. When possible, change an entire order to “YES.” This will reduce the need for a Spoke DC to break a non-sold order into a smaller portion during the release process, thus saving time. Review this slide

24 Hub & Spoke Load Planning SW
