1 How to make a bibliographic base of records with attached ADAM digital objects Yoel Kortick October, 2007

2 Introduction In this presentation we will show the steps of how a library can make a base of all bibliographic records which include an attached digital object via ADAM We will not focus on how to use ADAM We will focus on the expand procedures which exist for ADAM and which will aid us in making the base

3 Tab_expand We will add the following lines to bibliographic library $data_tab/tab_expand ! !!!!!!!!!!-!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!-!!!!!!!!!!!!!!!!!!!!!!!!!!!!!> !* Next line will expand the ADAM digital object into a !* new field visible via UTIL F 4 doc_expand ADAM ADAM expand_doc_bib_z403 !* Next line will expand the ADAM digital object WORD files WORD expand_doc_bib_z403 The ADAM line is for viewing what the expand_doc_bib_z403 expand procedure does The WORD line is for sending the new expanded fields to the WORD file.

6 Viewing expand procedure
Use UTIL F 4 to view expand procedure ADAM. 8 The z403 field As we can see in the previous slide the expand procedure has created a Z403 field. Z403 field has: The digital object title in subfield y The usage type in subfield t We will now index these sub fields to a word file (and then we can make a base out of them)

9 The z403 field We will define two new word files in tab00.eng which will be the title and usage type of the digital object We will then send the relevant subfield of the expanded Z403 field to the new word file il-aleph02-18(1) USM01-YOELK>>grep OBJ $data_tab/tab00.eng H OBJT W W-Object title H OBJUT W W-Object Usage type il-aleph02-18(1) USM01-YOELK>>grep OBJ $data_tab/tab11_word Z y OBJT Z t OBJUT

10 The z403 field So now we have two new word files:
OBJT is the object title and includes Z403 sub field y OBJUT is the object usage type and contains Z403 sub field t There are only three options for the usage type: select unique Z403_USAGE_TYPE from Z403; **** Hit return to continue **** Z403_USAGE_TYPE INDEX THUMBNAIL VIEW 3 rows selected.

11 The z403 field Make sure the new field OBJUT works
If you want you can make this a searchable field in web, and also use OBJT so users can search for “words from Digital object title”

12 Making the new base Now we can make a new base where the OBJUT is either VIEW, THUMBNAIL or TEXT This will include all digital objects because there is no other option Here is the definition in $alephe_tab/tab_base.eng ! !!!!!!!!!!!!!!!!!!!!-!-!!!!!!!!!!!!!!!!!!!!-!!!!!-!!!!!-!!!!!-!!!!!-!-!!!!!!!!!> ADAM_OBJECTS Records with Objects USM USM01 Y objut=view or objut=thumbnail or objut=text

13 Making the new base It is always a good idea to make sure the base is properly defined via UTIL H 1 10 Z0102 Setup Number of records per base and Z0102 recommended and current setup Base | # Docs | Recommended| Current | Conflicts ADAM_OBJECTS | | Yes | Yes |

14 Making the new base Now we can search this base And see only records which have digital objects
