How to “expand” holding library fields to bibliographic record
How to “expand” holding library fields to bibliographic record. Version 18 and up Yoel Kortick 2007
2
Introduction As the title suggests this presentation will show how to expand fields from a HOL record to a BIB record. We will deal here with fields 852, 856 and 866. We will “expand” the fields 856 and 866 for display of bibliographic record in web full view. The same principles used here may be applied for other purposes (display or retrieval) elsewhere.
3
Example - Bibliographic record
Our example is “Journal of accounting and public policy”, system number 2469 in USM01.
4
Example - Holding record
The bibliographic record is linked to HOL record in USM60. HOL record is for a quarterly journal in STEAK sub library, collection YOELK, beginning volume 23 issue 1 HOL record includes 856 URL field. The BIB record does not include an 856 field
5
Example - Holding record
The HOL record Linked to BIB record 2469 856 URL field
6
Example - Subscription
In our case a serial subscription is linked to the HOL record This is only necessary when creating a virtual 866 “summary holdings” field
7
Example - Subscription
For “Summary Holdings” to work the subscription must have a copy-ID
8
Example - Items (Issues)
The following serials have arrived Vol. 23 issue 1-3 Vol. 24 issue 1-4 Vol. 25 issue 1-4 Vol. 26 issue 1-2 The following serials have not arrived Vol. 23 issue 4 Vol. 26 issue 3-4
9
Example - Items (Issues) (red not arrived)

tab_expand of the HOL library
We have this setup in $data_tab/tab_expand of the HOL library ! !!!!!!!!!!-!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!-!!!!!!!!!!!!!!!!!!!!!!!!!!!!!> WEB-FULL expand_doc_hld_stmt WEB-FULL expand_doc_hol_86x !* BIB-HOL expand_doc_hld_stmt BIB-HOL expand_doc_hol_86x YOEL expand_doc_hld_stmt YOEL expand_doc_hol_86x The three different expand menus used here (in column 1) will be explained in the next slide
11
tab_expand of the HOL library
WEB-FULL = used for full view in web (in HOL library for list of items page) BIB-HOL = special expand section which will later be used in conjunction with "expand_doc_bib_hol" in the bibliographic library YOEL = Same parameters as WEB-FULL and BIB-HOL. Can be used for seeing what the expand procedures in column 2 do via UTIL F 4 doc_expand (good for experimental purposes). Routines can be added and removed from this procedure without effecting actual procedure used “live” in web such as WEB-FULL
12
tab_expand of the HOL library
We can now test tab_expand of the HOL Library by doing UTIL F 4 doc_expand for expand menu YOEL for Holding record 50230 Whatever happens for YOEL will also happen for WEB-FULL and BIB-HOL (they are the same)
13
Testing tab_expand in HOL library
enter file name (or q to exit) doc_expand Enter expand_menu [No Expand]: YOEL ENTER DOC NUMBER : 50230 Reading doc : FMT L HO LDR L ^^^^^nx^^a22^^^^^1n^4500 008 L p^^^^8^^^l001^^eng LKR L $$aHOL$$lUSM01$$b 853 L $$av.$$bno.$$u4$$vr$$i(year)$$j(season)$$wq 853X L $$900001$$a27$$b1$$i2007$$j21$$ 856 L $$uhttp:// 85201 L $$bMED$$cYOELK$$hBM419 590 L $$aA quarterly publication that begins with v.23:no.1(2003:Winter) and uses seasons in the second level of chronology. 86340 L $$8.1$$a23$$b1-3$$i2003$$j21-23$$wg$$t01$$9Y 86340 L $$8.2$$a24-25$$i $$t01$$9Y 86340 L $$8.3$$a26$$b1-2$$i2006$$j21-22$$wg$$t01$$9Y 86641 L $$av.23:no.1-3(2003:Spring-Autumn),$$8.1 86631 L $$av.24-25( )$$8.2 86641 L $$av.26:no.1-2(2006:Spring-Summer),$$8.3 ENTER DOC NUMBER : Actual 852 and 856 field (catalogued in HOL record) Virtual 866 summary holding fields (not actually catalogued)
14
Testing tab_expand in HOL library
If we put the 856 and 866 fields in $data_tab/edit_doc_999.eng of the HOL library as follows: ! ! !!-!!!!!-!-!!!!!!!!!!-!-!-!!!!!!!!!!!!!!!!!!!!-!-!-!!!-!-!!!!!-!-!!-!! ## 856## D LElectronic Location Y M E W ## 866## D LSummary Holdings E Then …
15
Testing tab_expand in HOL library
This will appear on the Holdings page of the web OPAC
16
Bibliographic and Holding Fields together
Now we want to make the fields from the holding record appear together with the bibliographic record in the full view of the web. We already know that the BIB-HOL routine in HOL tab_expand includes the 852, 856 and 866 field ! !!!!!!!!!!-!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!-!!!!!!!!!!!!!!!!!!!!!!!!!!!!!> WEB-FULL expand_doc_hld_stmt WEB-FULL expand_doc_hol_86x !* BIB-HOL expand_doc_hld_stmt BIB-HOL expand_doc_hol_86x YOEL expand_doc_hld_stmt YOEL expand_doc_hol_86x
17
Bibliographic and Holding Fields together
The BIB-HOL routine of the tab_expand of the HOL library may be “brought” to the BIB library via expand procedure expand_doc_bib_hol in the bibliographic library ! !!!!!!!!!!-!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!-!!!!!!!!!!!!!!!!!!!!!!!!!!!!!> BIB-HOL expand_doc_hld_stmt BIB-HOL expand_doc_hol_86x HOL library ! !!!!!!!!!!-!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!-!!!!!!!!!!!!!!!!!!!!!!!!!!!!!> WEB-FULL expand_doc_bib_hol BIB library Now anything which appears in BIB-HOL of HOL library will also appear in WEB-FULL of bibliographic library
18
Bibliographic and Holding Fields together
We can test the expand procedure expand_doc_bib_hol in the bibliographic library by putting this in bibliographic library tab_expand ! !!!!!!!!!!-!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!-!!!!!!!!!!!!!!!!!!!!!!!!!!!!!> YOELK expand_doc_bib_hol BIB library And checking this via UTIL F 4 doc_expand
19
Bibliographic and Holding Fields together
enter file name (or q to exit) doc_expand Enter expand_menu [No Expand]: YOELK ENTER DOC NUMBER : 6249 FMT L SE LDR L 01127cas^^ ^a^4500 24500 L $$aJournal of accounting and public policy. 20
Bibliographic and Holding Fields together
Now we need to display the 856 and 866 in the bibliographic library via edit_doc_999.eng ! ! !!-!!!!!-!-!!!!!!!!!!-!-!-!!!!!!!!!!!!!!!!!!!!-!-!-!!!-!-!!!!!-!-!!-!! ## 856## D LElectronic Location Y S E W ## 866## E LSummary Holding Y E
21
Bibliographic and Holding Fields together
Now the bibliographic record displays as follows: 856 and 866 appear in bibliographic record
22
Bibliographic and Holding Fields together
The same principle applies for other expand routines. For example it is possible to user expand menu WWW-X with procedure expand_doc_bib_hol in order to have the 852 and 856 of the HOL record appear via the X server. ! !!!!!!!!!!-!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!-!!!!!!!!!!!!!!!!!!!!!!!!!!!!!> WWW-X expand_doc_bib_hol
