Guide your future registry development To provide data for research. De-identified data will be pulled from the registry for research purposes.

3 What is in the registry? Pre-populated information from your electronic medical record: Demographics Prescriptions We estimated Days Supply using the last two prescriptions within a 3 month period, if available There is a lot of missing data

4 Step 1: Determine opioid status for each patient
With your registry we sent a list of patients identified through your electronic medical record as being chronic opioid therapy patients. That list included: Name Medical Record Number Provider where listed Identify responsible provider Ask provider to assign appropriate opioid status and ID missing patients Update the registry with the responsible provider’s name and the current opioid status Gather a list of all patients misidentified as a chronic opioid therapy patient, call Brooke at We will take them out of the registry. Enter any missing chronic opioid therapy patients into the registry and give Brooke the names of these missing COT patients.

5 Step 1: Determine opioid status for each patient
Status options are: 1) clinic actively prescribing opioids 2) clinic treatment no longer includes opioids, voluntarily discontinued 3) clinic treatment no longer includes opioids, involuntarily discontinued 4) patient's opioid prescribing transferred to another site 5) no longer a patient at the clinic 6) patient no longer a COT patient, unknown reason Definition of an “active” chronic opioid therapy patient: A patient who has received opioid prescriptions covering 2 out of the last 3 months (e.g., ~60 of the last 90 days)

6 Step 2: Determine registry workflows
Key decision points How will the registry manager identify when there have been any chronic pain activities you are tracking in the registry? Look at the reports and decide on the key registry data fields the opioid improvement team wants to track Where will the registry manager find the data to enter? How will the registry manager identify new chronic opioid therapy patients?

7 Step 3: Back-fill data Identify any chronic pain encounters for registry patients since the data extract, enter the data Critical fields The back-end MED calculator uses the following variables: Medication Name Days Supply: if this is missing for any prescription for the patient, MED cannot be calculated Quantity Prescribed Opioid Strength If a patch, How many does the patient use at one time?

8 How do you get to the registry?
The registry uses REDCap, an internet-based program that is HIPPA compliant. Access the registry through the registry tab on the website Or you may bookmark the registry web address on your computer Let’s go there now!
