Getting Started Access and Review Account Information through Beacon. The intention is for Beacon to be the main operating system from which to launch a variety of sales and service applications. Review and validate the following account information: Colink Corp Address and Alternate Addresses Contract linkage Drum Transportation Instructions: BILL and SCHD Restriction linkage Recovery Fee Set-up Click on Open Order Tab. Remember to review open orders and manage details as needed to maintain a clean open order list. Initiate a new order by clicking Note: Drum Trans billing is automated. Creating a New Drum Order

Company Level Schedule Instructions
Company Instructions Screen displays the SCHD type instructions from Beacon for both the customer and the generator codes on the order. SCHD instructions should define any and all recurring scheduling needs for the account. Confirm the accuracy of the instructions with the customer for every order. Milkrun Schedules All zip/postal codes in the US and Canada are loaded into a Milkrun Zone table. Forecasting the Drum Shipping needs of our customers allows us to pre-schedule runs in small geographic areas leading to very efficient transportation. Click on the appropriate AVAILABLE Scheduled Milkrun date or No Milkrun Date to continue. Milkrun Status of A equals AVAILABLE and status of F equals FULL. No direct communication with a transportation coordinator is required when an AVAILABLE Milkrun Schedule date is selected. If a Scheduled Date is Full but requested by the customer, scheduling must be completed through direct contact with the local coordinator. Customer Purchase Order Information
Obtaining accurate PO requirements and information is critical to ensuring timely payment of invoices Validate current Rule Set up displayed. COD Billing Instructions
Refer to Clean Harbors Policy and Procedure FN 12.0 for additional details. 15% price increase is required to be applied to all jobs for Customers with COD terms. Price increase can be either incorporated in their quoted/contract rates or calculated on an order by order basis. If the price increase has been incorporated into the quoted/contract prices, a BLAL instruction at the Company and/or Contract level must be entered. BLAL instructions itemizing the charges used to calculate the COD amount are required on every COD order. Use the COD worksheet to estimate the proper charges for the job. COD Worksheet is a spreadsheet template used to record and calculate the value of the job. COD Worksheet template is available in the Customer Service Folder on the H drive. COD worksheet must be scanned as a worksheet against the job. Sales Order Master Page
Add SCHD Instructions to every order to define CHI or Customer Trans and to define customer expectations. Validate EPA ID number and make corrections directly on the order. Update the Job Owner as needed when a Specialist is involved. Materials and Supplies
Default filter displays previously purchased items to allow efficient accurate processing. Input the quantity for each item then save the screen. If the item selected does not have a rate established in the STND Contract then SRP pricing will pull automatically. Material and Supply Items are immediately saved as billable detail lines on the order to ensure that all delivered items are invoiced. No worksheet entry required. The Packing List with customer signature validating delivery must be scanned to ensure accurate billing. Customer Inventory Select all containers from Inventory to pull into the order. Select individual containers from inventory to pull into the order. Click save to create the disposal lines for the selected containers. Roll your mouse over the select box to view the reason(s) why the container cannot be selected. Follow standard IP resolution steps to clear validation errors. Creating Inventory Click on the View Current Disposal Link to review inventory already included on the order. Set filter to All to view both lab packs and drums. Click on the Add Lab Pack button to create new lab pack container. Click on the Add Drum button to create new drum inventory. Creating a Drum Go through each field to input the appropriate data. See additional details on slide 21. Profile Search will open profile list for the gen with standard profile system functionality built in. Alt+P short cut can be used to open the profile list. Create multiple containers of the same profile, size and type of container. Input accurate Shipping Volume. This data can be output on the manifest through Print Paperwork. Updating Container Details
Create multiple containers as needed. Update Drum Size/Type and Volume to match actual container info to ensure accurate paperwork and receiving. DOT name pulls automatically. Use Search Button to choose an alternate ship name from the profile. Container Inventory Pricing Validation
Pricing using weight units of measure require an estimated Pricing Qty to be entered. When all information has been properly selected and saved, the Sales Order Margin Screen will open. Generator Profile Selection
To add profiles to the order you can either use the quick pick button to find the appropriate profile or simply scroll through the list. Click save when complete. Generic profiles that were originally established under a different generator code must be selected by using the quick pick. When selecting profiles that are priced by LBS, you must change the shipping UOM to match the container size and type. If multiple sizes and types of waste for the same profile copy the line. The order inventory needs to be accurate to ensure proper manifesting and receiving. If adding to an existing order you can view existing waste streams already on order by clicking the View Disposal link. Profile Warnings A variety of important popup warnings appear as you manage inventory. Pay close attention and address the warnings as needed. Profile Expiration: when the profile expiration is within 30 days a warning will appear. Immediately obtain a valid recertification for all profiles in this category to avoid profile expiration in transit. Profiles expired at the time of order placement cannot be selected and added to the order. Battery: Any profile with waste class code that may contain batteries will trigger a packaging warning. Follow-up with the customer to ensure Clean Harbors battery packaging guidelines have been followed. Cyanides: Any profile with a potential cyanide compound or waste code will trigger a compatibility warning. Be mindful of using too many facilities for one shipment. Whenever more than 3 facilities will be used seek a second opinion to validate your choices. When a customer requires one manifest destination choose the location that can add the most value to the majority of the load by comparing total margin at each plant. The cost numbers are dynamic so use real time data to make your judgments not past experience. To view additional examples, please refer to Drum Waste Routing guidance document saved in the Customer Service Folder on the shared drive. If “Y” appears in the “Needs Approval” column, immediately contact CPG to approve the waste stream into the desired facility. Troubleshoot in the view Path screen located in win web under Plant Processes – Viewing. Run a generic path using the Waste Class Code in place of the profile number and your local branch code in place of the Gen Code. Select the UOM based on the shipping UOM from the order. If a valid path with cost total is found then move on to Step 2. If an error or zero cost results then change your UOM. Units like EA will not work as they are not related to an actual container for shipping. If the UOM is valid and an error or zero cost still results then contact Outbound Disposal. The Outbound Group will help determine corrective course of action. Run the path using the Waste Class Code in place of the profile number but use the actual Gen Code. If a valid path with cost total is found then move on to Step 3. If an error or zero cost results then there is a Restriction related issue. Is the profile coded correctly based on the generator restrictions? Is the final destination in the path from step 1 approved? Work with CPG for profile changes or submit Restriction Form to request changes to the generator restrictions. Run the path using the actual profile and actual Gen Code. If a valid path with cost total is found then no error should occur in the order. Validate the Profile Number and UOM on the order compared to the details used in the View Path. If an error or zero cost results then the issue is related to a Regulatory Waste Code on the profile. A waste code on the profile may not be permitted for receipt at either your manifest destination or any facility in the generic path. Work with Outbound disposal to identify the Waste Code in question. Validate the accuracy of your profile data and work with CPG to make the necessary updates if needed. Orders requiring approval with a P status are reviewed by Central Customer Support to validate that routing choices made. No: Chosen when additional inventory expected to be added later. Orders with I status will remain untouched on the approval workbench until the status is updated to P. The status is updated to a W when order approval is complete. Click Edit to change the set number to separate lines onto separate manifests as needed. Most common occurrence will be to separate non-haz lines to be printed on a BOL or Non Haz Manifest. Schedule Job Date can only be modified on the Sales Order Master page. Drum orders are allowed one job date per order. If multiple vehicles or multiple days of service are requested separate orders must be processed. Drum Orders can be combined during invoicing if the customer requires a single invoice for multiple drum jobs. Manifest is automatically updated as down stream processes occur. PN = Manifest Printed, IP = Receiving Issue, CR = Centrally Received, and PR = Plant Received. Invoice Status is automatically updated as the job is invoiced. W = WIP (order extracted and in process), I = Invoiced, R = Re-bill in process. Click on DEL link to remove unnecessary or unused (open) disposal lines.
