1 Transfer Students Between Districts
Welcome to the “Transfer Students Between Districts” training module.

2 Directions for the Transfer-To District/School: How to Register Students through the User Interface
The purpose of this training is to provide information on how to use PearsonAccessnext to successfully register students who move to your organization. Users assigned the LEA/District Test Coordinator Role can request a student transfer through the “Work Request” screen. The purpose of this training is to provide information on how to use PearsonAccessnext to successfully register students who move to your organization. Users assigned the LEA/District Test Coordinator Role can request a student transfer through the “Work Request” screen. For information on transferring students between schools within your organization, please see the Transfer Students Between Organizations training module.

3 Search for a Student Record:
Enter student demographic information on the Create/Edit Students Screen. If registered at a district outside of your organization, you will receive a green success message that a matching student is located in the system. First, search for a student record. To have the student added to your district you will submit a Work Request for an Enrollment Transfer.

4 Submit a “Work Request” for Transfer Students:
Go to Setup > Work Requests Select Request/Edit Enrollment Transfer from the tasks drop-down. Click Start. Reminder: Only LEA/District Test Coordinators can request an enrollment transfer. To submit a work request go to Setup > Work Requests. Select Request/Edit Enrollment Transfers from the tasks drop-down and click Start. As a reminder: only LEA/District Test Coordinators can request an enrollment transfer.

5 Submit a “Work Request” for Transfer Students:
Enter in the students demographic information and click Search. If no record is found, check that the information is correct. Enter in the students demographic information and click Search. If no record is found, check that the information is correct.

6 Submit a “Work Request” for Transfer Students:
Select the school from the drop-down and click Send Request. If a match is located, select the school from the drop-down under Change Enrollment To: Click Send Request. A transfer request will be sent to the LEA/DTC at the organization the student is enrolled to. Next we will show what that request looks like and how to approve the transfer.

7 Approve a “Work Request” for Transfer Students:
If another district is attempting to register a student in their organization, LEA/DTC users will display a Red Icon with the option to select Transfer Requests from the drop-down. Clicking on this notification will take them to the Work Requests screen under Setup. LEA/DTC that receive notification of pending transfer requests will need to login to PearsonAccessnext and click the red bell icon at the top of the page. Transfer requests are also found under Setup > Work Requests.

8 Approve a “Work Request” for Transfer Students:
To approve or reject a transfer request, check the box next to the request and select Approve/Reject Enrollment Transfer. Click Start. To approve or reject a transfer request, check the box next to the request and select Approve/Reject Enrollment Transfer. Click Start.

9 Approve a “Work Request” for Transfer Students:

10 Students Transferred After Testing Starts:
If the student was assigned to a test session under their previous organization, then a new test session will automatically be created in the Transfer-To School and transferred student test assignments will be automatically assigned to these sessions. The test sessions under the Transfer-To School will be named “Transfer” followed by the test subject and grade level (e.g., Transfer-Grade 3 Mathematics). Important: The transfer sessions cannot be prepared or started. Students will need to be moved from these sessions to other test sessions to test. If the student was assigned to a test session under their previous organization, then a new test session will automatically be created in the Transfer-To School and transferred student test assignments will be automatically assigned to these sessions.
