To further relationships with members of Congress To establish/reinforce AWWA as vital source of information on water issues To serve the water community and our customers
5
Our legislative issues
But first, THANK YOU! Your hard work helps makes water a priority in Washington!
6
Fly-In resources Materials can be found on the AWWA website: Issue papers Committees of relevance Committee rosters Water Week links
7
Fly-In resources Materials can be found on the AWWA website: Please study the issue papers prior to your visit; we will cover in-depth in future presentation
8
Scheduling meetings “Key meetings” email sent last week
If you have not made meeting requests, now is the time If you have made requests and have not gotten a response, follow up Communicate meeting schedules, both with fellow state delegates and DC office
9
Meeting scheduling: Why this is important
“Touch” maximum number of offices Hit critical members on critical topics Assistance for delegates in scheduling meetings
10
Meeting tracking Knowlegis tracks your meeting schedule: Make sure to enter in the address correctly. If you don’t enter it correctly, you’ll get the wrong representatives.
11
Meeting tracking Your representatives and senators based on your address These are simply the representatives who serve the address you entered. If you are meeting with additional members from your state, click on the “Elected official not shown?” link.
12
Meeting tracking To select other officials (not from your state/district) Search by last name or by statechamberofficial.
13
Meeting tracking Enter your meeting times
Enter the time/date of the meeting, as well as the staffer you will be meeting with. If the member is attending, check the “member attending” box. If a staffer attends that was not on the original meeting invite, please add their name to your meeting evaluations. Make sure to select the Washington, DC office as the meeting location.
14
Meeting tracking Success!
15
Meeting tracking Evaluation form automatically generated
This form will be generated automatically, so you can enter your information in immediately after. These forms will be given to you when you check in at the hotel.
16
Meeting evals and notes: Why this is important
Your evaluations help us continue to educate Congress after you leave When DC staff goes back to an office, it helps to know what was said previously Be specific! The more detail in your evaluations, the better
17
Meeting evaluations Evaluations can be entered online: If you can’t enter your notes immediately after the meeting, you can do it online.
18
Meeting evaluations Select the members you met with
19
Meeting evaluations Add additional meetings you attended or participated in
20
Meeting evaluations Add your meeting notes
21
Meeting evaluations Success!
22
Engage App Much like the app for ACE, this tool will allow you to take information about the Fly-In with you wherever you go during your stay in DC
23
Engage App To download, go to the App Store (iPhone) or Play Store (Android) and search “Engage Advocacy”
24
Engage App Finding our event: search “American Water Works Association” or simply “water”
25
Engage App Items of interest: dashboard and notifications
The dashboard keeps track of events on your personal agenda, as well as the main Fly-In schedule. For notifications, if there is big news, i.e. metro shutdowns, inclement weather, etc., you will receive a message from DC staff. You will see two notifications as soon as you download the app. In these messages are links to enter your scheduled Congressional meetings, as we discussed earlier, as well as a link to enter your meeting evaluations.

28
Engage App Items of interest: stay connected
Timeline allows you to post notes to the entire attendee list. If there are problems getting in a building, if you had a really good meeting, if there is anything you think other delegates should know, post it here. Twitter allows you to see everything with our hashtag: #WaterMatters. If you are using Twitter, please tweet about your meetings, pictures with members, etc, using this hashtag. AWWA is making a concerted effort to drive up social media hits. Sample tweet: “Had a great meeting with Rep. Beyer to ensure safe drinking water. #WaterMatters #AWWA”

Engage App Items of interest: getting around Washington

Fly-In logistics Materials we provide Visiting a Congressional office
Hill logistics Water Week
31
Materials we provide Issue papers on AWWA letterhead Pocket folders
Portfolio bags Congressional directories (one per delegate!) ‘Tell-ask’ papers Talking points for you to hold on to
32
Again, welcome! If this is your first Fly-In, may seem a little overwhelming Don’t worry; it’s easier than you think, and a lot of fun! At the startup briefings, there will be lots of veterans to advise you
33
Visiting a congressional office for the first time
Remember, you are a constituent (and I hope a voting one!) Members/staff are there to serve their constituents They want to know what you want or care about You are community leaders!
34
On the way to the Hill As we have preached, important that we have one meeting per congressional office, not multiple meetings Dress professionally, but be aware you will be doing a lot of walking on hard floors Look at the map Three House office buildings, three Senate buildings
35
While on the Hill Don’t be discouraged if you meet with staff member
Usually young, but very bright They are the eyes, ears and filters for members Be patient; their knowledge of our water issues may not be great ‘Mile wide and an inch deep’ Some eventually become senior staff or even Members!
36
Protocols on the Hill Photos are OK, but ask before you start shooting
Videos not OK Do not try to make a campaign donation or even discuss that; must take place outside the office AWWA is a 501(c)3 under tax code; means no involvement in campaigns
37
Protocols on the Hill Security
Be prepared to have your briefcases, purses x-rayed You will walk through a metal detector All House and Senate buildings and Capitol are secure When in doubt, ask a Capitol police officer if it’s OK to go through an certain door or hallway Ask staff for directions to offices, cafeterias
