3 All About Weekly Meetings
Try to have a list of speakers & motivate members to invite people who have excelled in any field. Rotary normally steers clear of Religious propagation or Racial hatred. Apprise the speaker of the time limit & the fact that there will be interaction with the members or a Q & A. Ensure that a Rotarian is made a contact person for the Guest in terms of logistics or transportation if required, & to ensure that the guest is given due importance. Ask for the Bio-data of the Guest speaker in advance & ensure that the person introducing the speaker goes through it well in advance.

4 Fellowship At least 30 minutes before the formal start of the meeting – ensure that there is interaction amongst members. This informal get together creates the strongest bonds amongst the Club members. Fellowship will also help assimilation of new members and retention of current members.

5 Meeting … 1. Ensure meeting starts on time … Every time 2.
The meeting is called to Order by the next Senior most Office Bearer present. 3. If you have a Club Song/ Invocation … You may start with it. 4. The National Anthem Please ensure a robust & respectful rendition of the National Anthem. (Some Clubs end the meeting with the National Anthem) 4a. This may be followed by the 4 way Test or the Rotary Pledge 5. Recognition of Guest Speaker & of course Rotarians from other Clubs. 6. Invite District Dignitaries who have informed of their presence in advance … to the dias.

6 Meeting … 7. Rotary information may be shared by the Chairperson of the Project or the office Bearers &/or the person leading the project 8. Have a pre-decided introducer for the Guest Speaker. 9. Guest Speaker preferably closing in 20 minutes – though some interesting speakers have regaled the Rotary audience for an hour too. 10. Question & Answer 11. Secretarial Announcements. 12. Proposing a Vote of Thanks. (Do not deliberately ask people to give a standing ovation. It is voluntary)

7 Meeting Try to complete 1 – 10 within 50 minutes. Some Clubs may have a MC to conduct the proceedings. In India, it is rarely so in weekly meetings. If Speakers words cause offence – you can politely question him; but do not be aggressive. Remember “ATITHI DEVO BHAVA.” In India – you stand to attention during the National Anthem. NOT with your hand on your Chest ! Remember that every Weekly meeting is equivalent of a General Body meeting & all decisions may be ratified thereat.
