Goals Utilize Win Web unbilled Report to provide paperless means for:
Reviewing preview invoices Communicating changes to previews Monitoring and resolving problems that prevent jobs from being billed

Unbilled vs. Ready to Bill
Unbilled Section of Report: Jobs that are still in progress Jobs where waste has not yet been received or final coded Ready to Bill Section of report Completed jobs where waste has been received and/or final coded Jobs can start to be edited by Central Billing

How do jobs move from Unbilled to Ready to Bill?
Site Service Job complete flag on work sheet or 5 days since last worksheet entry. T&D Drums All waste has been received and final coded T&D Bulk 48 hours after waste received CleanPack Job complete flag on worksheet or 5 days since last worksheet entry.

Who Manages Unbilled Report?
Technical Services All CSRs are responsible for monitoring their jobs on the unbilled report Lead CSR is responsible for ensuring that all CSRs are properly working the unbilled reports Site Services The Field Administrative Manager (FAM) is responsible for managing the job folder

Roles and Responsibilities
T&D CSRs should work primarily in the Ready to Bill section of the report Review preview invoices once posted Reply to previews within 48 hours Communicate whether job can be billed, or what changes need to be made Monitor and resolve reason codes that prevent billing

CleanPack and Site Services CSRs/FAMs should work in the unbilled section Look for jobs they know are complete and communicate to biller to move up to “ready to bill” using the ready to preview button Monitor and address reason codes that prevent job from being ready to bill Manifest, worksheets not scanned CleanPack waste not centrally received CSRs/FAMs should also work in the ready to bill section Same process as for T&D

Finding the Unbilled Report
A filter has been added to improve efficiency. Go to WIN Web from the employee portal then click on invoicing and unbilled report.

Using the Filter Click on the filter you would like to use. Broker and Corporate Account filters are based on the Corp. Acct link and utilize a drop down box. The report will summarize all branches that have orders appearing on the unbilled for that account. Select the branch to view the individual report. Note: Only orders for that customer will appear on the report.

Using the Filter, Cont. To filter by customer, click on the Customer button then input the text you are searching for. Note: You can use the % wildcard to broaden your search. Click on the customer code to view the branches that have unbilled orders for that customer. Click on the branch to view the orders.

Managing the Report Branch Summary Information
To view job detail summary click on the “X” in the Detail Column. To view PC Doc job folder click on the order number. Short cut “Preview” invoice coming soon.

To add reason codes to orders that are on the unbilled portion of the report, click on “Edit”. Note: The resolved status must be “N” in order for the reason code to appear on the report.

PC Doc Reference Information
Select the type of document you want to see. To view a document click on the document ID number. To add and edit reason codes for ready to bill jobs with previews click on the job number. See next slide for additional detail.

Job Detail Screen Review unbilled detail to ensure that all work properly entered against the job and all possible revenue is being captured.

Adding and Editing Reason Codes
Don’t forget to manage the resolved button when editing existing comments. To add reason codes click +. Select your reason code and enter your additional comments.
