Go to: Topics Avocet Mathematics Unit 1 Section 1 (Non-Calculator) Grade 7 and High School Section 2 (Calculator) Grade 7 and High School Unit 2 Unit 3 Unit 4 (Grades 3-5) ELA/L The PARCC assessment has one testing window assessing two content areas: ELA/L and mathematics. Each content area is administered in multiple units. Within the first mathematics unit for grade 7 and high school, there are separate non-calculator and calculator sections. This figure shows the breakdown of the ELA/L and mathematics assessments. Mathematics includes three or four units that focus on applying skills and concepts and understanding multi-step problems that require abstract reasoning, precision, perseverance, and strategic use of tools. These units must be scheduled in the following order: Unit 1, Unit 2, Unit 3, and Unit 4 for grades 3-5. Again, for grade 7 and high school mathematics, Unit 1 of the test includes two sections: the first taken without the use of a calculator and the second with the use of a calculator. ELA/L units focus on writing effectively when analyzing text. These units must be scheduled in the following order: Unit 1, Unit 2, and Unit 3. Students participating in make-up testing may test units out of order. Refer to the tables in the Test Coordinator or Test Administrator Manuals for unit testing times for each grade band (grades 3-5, 6-8, and high school).

Test Administrator (TA) is the individual at the school level who is responsible for administering the assessment to students. Technology Coordinator (TC) is the individual at the school or LEA/district level who is responsible for setting up testing devices for computer-based testing. Adhering to administration policies and maintaining test security before, during, and after the test administration is crucial to obtaining valid and reliable results. It is the STC’s responsibility to ensure test security is established within their organization.

For a successful test administration, the LTCs and STCs must prepare themselves, TCs, TAs, Proctors, students, the testing environment, and test materials. This directory outlines Test Security and Administration Guidelines and Policies found in the TCM, which is located on Avocet. Click on any item on the left to read details on the right. Check with your state policy to see if your state uses these forms and what procedure you should use to submit these forms. ****************************** Break Policy—Refer to your state policy in Appendix C of the TCM for additional requirements regarding breaks. Calculators—Review carefully the guidelines for allowable calculators for each grade level. For computer-based testing, the calculator will be available through the testing platform. Chain-of-Custody Forms—Chain-of-Custody Forms or other tracking logs were created to account for movement of secure test materials before, during, and after testing. Dismissing Students for Misconduct—If student misconduct warrants dismissal, follow your school or LEA/district policy for dismissing students for misconduct. The Form to Report a Testing Irregularity or Security Breach can be found on Avocet or within the appendices of the TCM. Item Irregularities—If a student alerts their TA of an item issue, use these procedures to report an item irregularity. Materials to be Recycled—These nonscorable/nonsecure materials must be recycled immediately after the final test unit. Do not return these materials to Pearson. Materials to be Securely Destroyed—These nonscorable/secure materials must be destroyed immediately after the final test unit. Do not return these materials to Pearson. Post-Test Certification Form—Use the Post-Test Certification Form to certify that your school's test administration was securely maintained throughout the PARCC administration. Prohibited Materials in the Testing Environment—Review these protocols for prohibited materials in the testing environment. Use of prohibited materials may invalidate students' tests. Safety Threats and Severe Weather—If safety threats or severe weather happen, consult your local evacuation policy and follow these procedures. Security Agreement - All staff who will assist with the PARCC assessment must sign a security agreement, if required by your state. Student Exits TestNav—Follow these steps to resume a students test. 11 Importing Data into PearsonAccessnext
Go to: Topics Avocet PARCC Training Center At least two months before testing, import: User files Organization participation files SR/PNP files* Note: Import PNP information prior to caching test content to ensure appropriate form assignment. Some set-up work in PearsonAccessnext is dependent on others and should be implemented in order. For example, importing an organization participation file and flagging the organization as “participating” for each test administration is necessary in order to import SR/PNP information. This set-up work should be completed at least two months before testing. Ensure LEA/district and school personnel administering the test or who need to make updates in PearsonAccessnext are provided with an user account. Staff must obtain user account information in order to perform any tasks, such as importing SR/PNP information or creating other user accounts in the PearsonAccessnext system. These user accounts can include TCs and TAs. Refer to the PearsonAccessnext User Accounts Training Module to find steps on how to create, edit, or delete a user account. Next, confirm the organization participation file is imported. This file is used to indicate each organization’s participation status (“Yes” or “No”) for the PARCC test administrations, and it will also identify school enrollment counts. Refer to the PearsonAccessnext Managing Organizations & Enrollments Training Module to find steps on how to enter your organization’s participation, enrollment counts, completion status, and identify the testing window. Once your organization’s participation status is set to “Yes” for each of the appropriate test administrations, LTCs or STCs can then import the SR/PNP Files in PearsonAccessnext. This file refers to the student demographic data that details student profile, accessibility features and accommodations, and test administration considerations for individual students. Refer to your state policy addendum for a key dates document on important dates for each test administration and PARCC’s Accessibility Features and Accommodations (AF&A) Manual for information on accessibility features and accommodations. LTCs and STCs must register students in the SR/PNP and note any paper accommodations by the initial order deadline in order to receive materials that include: test administration manuals and paper-based accommodated test materials (or tactile graphics for computer-based testing). If you miss the import deadline to generate an initial order, you still need to import SR/PNP data, but must also order additional materials. We will review this process of ordering additional materials later in the training module under Order Additional Materials. LTCs and STCs should watch the SR/PNP Import Training Module and carefully review the SR/PNP File Field Definitions document in order to fill in the correct values within the SR/PNP File Layout for file import. Note: The SR/PNP process varies across states, and in some states your state education agency staff will complete the SR/PNP Import process for you. Please check with your state on specific procedures for the SR/PNP Import process for PARCC assessments. User Account File Organization Participation File Import SR/PNP File Import * Check your state policy in the TCM for the person responsible for completing the importing processes, including the SR/PNP Import process.

12 Personal Needs Profile
Go to: Topics Avocet AF&A Manual Update PNP* Information Before Each Test Administration: Accessibility features and accommodations Test administration considerations Note: Import PNP information prior to caching test content to ensure appropriate form assignment. The PNP portion of the SR/PNP file indicates accessibility features and accommodations and test administration considerations for individual students. A student’s testing needs should be reviewed at least annually, and revised as appropriate, to reflect current education-related needs or preferences. Refer to AF&A Manual, located on Avocet for the process on collecting PNP information for students with disabilities, English learners (EL), students who are English learners with disabilities, and students without disabilities. In many of these cases an IEP team, 504 plan coordinator (or EL plan coordinator if required by your state) will make decisions about students’ PNP information and populate it into the student’s PearsonAccessnext PNP record. SR/PNP File Import * Check your state policy in the TCM for the person responsible for completing the importing processes, including the SR/PNP Import process.

13 Critical Warnings/Alerts
Go to: Topics PARCC Training Center When adding students to PearsonAccessnext through the SR/PNP Import process or through the user interface, critical warnings will appear if key demographic information is missing. PearsonAccessnext allows for students to be added without these fields populated to ensure students are able to test with the expectation that the missing information will be populated before the resolution end date. Critical warnings are a reminder to populate these fields. The PearsonAccessnext Critical Warnings and Alerts Training Module will show steps on how to complete these tasks.

14 Develop a Test Administration Plan
Go to: Topics Two months prior: Security plan Logistics plan Training plan Two months prior to testing: To ensure PARCC procedures for protecting secure test materials are followed, LTCs and STCs will review the policies and instructions for test administration in the TCM and develop a test administration plan for your school. This plan will include a security plan, logistics plan, and a staff training plan. This administration plan is one of the most important responsibilities for STCs.

15 Security Plan Develop a security plan to include:
Go to: Topics Test Security and Administration Guidelines and Policies Directory Avocet After Testing - Within One Week Section Develop a security plan to include: Security procedures and protocols Security agreement Chain-of-custody requirements Central locked storage area Destroying and recycling materials Student interruptions All LTCs and STCs must follow state requirements for a security plan. Failure to implement an effective security plan may result in test invalidations. An effective security plan will: Inform individuals with access to secure materials of security protocols, prohibited activities, testing irregularities, and security breaches. Use the resource link above and refer to the Test Security and Administration Guidelines and Policies Directory located in this training module. Ensure staff with access to secure test materials review the PARCC security agreement found in Appendix B of the TCM and sign a copy, if required by your state. Refer to your state’s policy in Appendix C of the TCM. Establish and document chain-of-custody requirements of all secure test materials to ensure materials are accounted for at all times before, during, and after the test administration. Failure to develop, implement, and follow chain-of-custody requirements could result in test invalidations or other actions per your state policy. You may use all the chain-of-custody forms templates, located on Avocet, as examples or create your own equivalent log to track secure materials. Schools must maintain a log of secure materials for at least three years. Secure test materials for computer-based testing consists of: Student testing tickets Student rosters containing TestNav usernames and passwords. Reports or documents that contain PII (personally identifiable information). Mathematics reference sheets and scratch paper written on by students. Accommodated paper-test booklets Designate a central locked location, with limited access, for secure storage of test materials. Establish who is responsible for securely destroying and recycling specified test materials after the administration. Refer to the After Testing - Within One Week Section of this module to find a list of materials to be destroyed or recycled (e.g. destroying scratch paper written on by students). If applicable, establish school policy for dismissing students and/or, for example, allowing them to read a recreational book after completing individual tests and communicating this information to students.

16 Logistics Plan Develop a logistics plan to include:
Go to: Topics Test Security and Administration Guidelines and Policies Directory Avocet Develop a logistics plan to include: Testing environment configurations Testing environment guidelines Students’ workspace configurations Removal of prohibited materials Testing equipment Test Accommodation expectations Test schedule Ensure a successful and secure administration of the PARCC assessments by thoroughly planning and coordinating the following logistic activities: Prepare a well lit, ventilated, and comfortable testing environment. This environment should also be clear of all instructional displays and free as possible from noise and interruptions so students can work without disruptions. Refer to the TCM for more details on these configurations. Go to the Test Security and Administration Guidelines and Policies Directory within this training module or the TCM to find guidelines on: Visitors; Testing sign procedures; Ideal work space and testing devices configurations; Prohibited materials, and What to do with students when they finish before others. Check that all materials and equipment used for testing are in good, working condition. Consult with the TC to confirm student computers meet minimum requirements. Create a list of students’ administration considerations, accessibility features, and accommodations and develop a plan to track their use. Next, we’ll discuss details on establishing the testing schedule that include: test administration units and locations, and assign students, and TAs.

17 Establish the Test Schedule
Go to: Topics Avocet Guidelines for creating a test schedule: Extended time is allowed if it is listed on the student’s IEP or plan (or EL plan, it required by your state). Two months prior, continued: Task Administration Time Pre-administration tasks, including reading instructions to students and answering questions. 10 minutes Distribution of test materials to students. 5 minutes Administration of unit. minutes* End-of-unit activities, including logging students out of TestNav and collecting test materials. 5–15 minutes PARCC assessments are timed tests and when establishing your test schedule, keep in mind the following guidelines: All test units must be scheduled on regular school days, when students are in session, and units must be completed during your state testing window. Refer to your state’s policy under the Testing Window Section of Appendix C of the TCM. Units must be administered in a sequential order, with the exception of make-up testing. The administration time is the total time that should be used to schedule each unit. This includes: pre-administration tasks, distributing test materials, administration of the unit, and completing end-of-unit activities. Unit testing time is the amount of time that must be provided to any student who needs it to complete the unit. No additional time may be permitted (with the exception of an extended time accommodation). It is recommended to test students with an extended time accommodation separately. If all students have completed testing before the end of the unit testing time, the unit may end. A new unit cannot be started until all students in the session are finished or until unit testing time has elapsed. Refer to the Establish a Testing Schedule Section in the TCM for additional guidelines. * Depending on unit and subject—refer to Unit Testing Time Table in the TCM for each unit time.

18 Make-Up Testing Go to: Topics Avocet PARCC Training Center Students who were absent, ill, or who could not test because of classroom, school, or technical interruptions during original units should participate in make-up testing. Test security and administration protocols apply. STCs will establish the make-up testing schedules for their schools. Units may be taken out-of-order for make-up testing only. Students who are NOT tested on the regular administration date should participate in make-up testing and complete that test on a different day as long as it falls within the testing window. Make sure TAs understand the procedures for make-up testing. The same test security and administration protocols apply to make-up testing as to a regular administration. Computer-based tests will automatically resume at the exact point where a student exited. TAs must closely monitor make-up testing to ensure students do not return to questions they have already answered. It is the responsibility of the STC to inform the TA of all make-up testing schedules. For make-up testing only, a student may skip a unit to be able to test with his/her testing group.  The student will then make up missed units.  Refer to the TCM and the Make-up Testing Directions for Computer-Based Testing document, located on Avocet and the PearsonAccessnext Make-Up Testing/Undo Student Test Submissions Training Module for additional information about make-up testing.

19 Guidelines for Breaks Between units, scheduled breaks should occur.
Go to: Topics Between units, scheduled breaks should occur. During a unit, short “stand-and-stretch” breaks may be permitted at the discretion of the TA. During a unit, individual restroom breaks may be provided. Frequent breaks may be offered as an administration consideration. Example (ELA/L Administration): 8:00 a.m. – 10:00 a.m. Unit 1 10:00 a.m. – 10:15 a.m. Scheduled Break 10:15 a.m. – 12:15 p.m. Unit 2 Students must be supervised at all times during breaks, including breaks between units. It is the STC’s responsibility to establish a testing schedule, including scheduled breaks between units. Check with your state policy in the TCM and refer to the Break Policy located in the Test Security and Administration Guidelines and Policies Directory of this training module for more information on break policies.

20 Schedule Tutorials and Practice Tests
Go to: Topics PARCC Training Center At least one month prior: Tutorials – TestNav 8 tutorial Printable paper-based student tutorials Online student tutorials Accommodated text-to-speech tutorial Accommodated American Sign Language tutorial Closed captioning Equation editor Graphing calculator Sample Items – Math (grade bands 3-5; 6-8; and high school) ELA (grade bands 3-5; 6-8; and high school) Practice Test – Mathematics (grades 3-8, Algebra I & II, and Geometry) ELA/L (grades 3-11) TAs are not allowed to assist students with TestNav functionality and navigation during testing and therefore should develop a plan to provide students and educators with an opportunity to become familiar with the PARCC assessments using the PARCC practice resources, available online at parcc.pearson.com. Tutorials familiarize students and educators with item types, testing tools, accessibility features, accommodations, and test format and/or navigation. Practice tests provide a similar testing experience for each grade and content area as to live testing. LEA/districts and schools may set their own schedules, but the tutorials, practice tests, or sample items should be administered on a separate day before the PARCC assessments are administered. Schools should strongly encourage teachers to familiarize students with the scoring rubrics prior to administration to help them understand the criteria by which their responses to prompts on ELA/L assessments will be scored. Refer to the Student Readiness Resources Training Module for information about tools available to prepare students and educators with simulated experiences of PARCC assessments.

21 Preparing for Accessible Test Administration
Go to: Topics Avocet PARCC Training Center At least one month prior: Reference AF&A Manual, located on Avocet, and Training Module, located on the training center, for details on: Administration considerations Small group testing Frequent breaks Time of day Separate or alternate locations Specified area or seating Adaptive and specialized equipment or furniture Accessibility features Accommodations At least one month prior to testing, if administering administration considerations, accessibility features identified in advance, or accommodations to students, understand and follow the guidelines and proper administration of accommodations as prescribed in the AF&A Manual located on Avocet and AF&A Training Module located on the PARCC Training Center. For example, use the AF&A Manual to understand administration considerations’ requirements where STCs may schedule students in testing spaces other than regular classrooms, and at different scheduled times. Plan ahead of time by running the operational report PNP report – Accessibility Features and Accommodations for Student Tests to review each student’s IEP or 504 plan (or EL plan, if required by your state) and prepare a list showing each student and his or her specific administration consideration, accessibility feature identified in advance, or accommodation, such as specified area or seating, text-to- speech, or extended time. The student’s SR/PNP in PearsonAccessnext should indicate this information. Train all TAs who will provide accommodations, including additional TAs. Confirm materials needed to support paper- based accommodated tests have been received through the initial shipment order or ordered through Orders & Shipment Tracking in PearsonAccessnext.

22 Training Plan Develop a training plan to include: Testing schedule

STCs are also responsible for developing a training plan for TCs, TAs, Proctors, and all other staff with access to secure materials. Training should take place at least one month before testing and training attendance should be documented and kept on file according to your state policy. The training plan should include: Test schedule, including test administration units, locations, assigned students, and TAs PARCC test security protocols and procedures Staff with access to secure test materials must review the PARCC security agreement found in Appendix B of the TCM and sign a copy, if required by your state. Refer to Appendix C of the TCM for your state's policy. Chain-of-custody requirements Available resources, including administration and technical updates, manuals, scripts, and training modules, tutorials, and practice tests Expectations of user roles, live proctoring, communicating with students, and where to get assistance for technical issues Administering accessibility features and accommodations, including how to incorporate this information into their daily instruction Infrastructure trial, make-up testing, and technical assistance procedures, including TestNav errors and how to resolve them

23 Train Technology Coordinators
Go to: Topics PARCC Training Center parcc.pearson.com Training plan should include: Technology related training materials and modules Planning meeting Security plan to maintain a secure testing environment School’s technology readiness and set-up Infrastructure Trial Technology support At least one month before testing: Meet with TCs to explain the procedures for the PARCC assessment, the infrastructure preparation that will need to be made at your school, and the level of technical support that your school may need from this individual during testing. Show and discuss technology training modules found on the PARCC Training Center and technology set-up resources available at parcc.pearson.com/technology- setup. Involve TCs in all planning meetings to provide input on logistics and to resolve any hardware or network issues. Discuss the school’s security plan, administration protocols and day of testing activities, including creating and maintaining a secure testing environment. Confirm your school’s technology readiness, including technology specifications and set-up to ensure TA and student computers are prepared for testing. Check every device and inventory software applications—some applications will need to be closed/disabled on all testing devices on test days. Verify content filter/firewalls and allow the appropriate sites. Configure common applications (anti-virus, notification, pop-up blockers, automatic updates, etc.) to NOT launch on test taking devices during testing. Disable Internet Explorer Accelerators. Download and install ProctorCache. Run the SystemCheck Tool. Create/edit Testnav configurations in PearsonAccessnext. Load and configure a supported browser or TestNav App that is compatible with the testing device. Schedule and plan for an Infrastructure Trial. An Infrastructure Trial is an opportunity for LEA/districts, schools, and students to prepare for the computer-based PARCC test by simulating test-day network utilization. It will confirm that TestNav is configured correctly, student devices can successfully run on TestNav, the local network can bear the full load on testing day, and will also provide an opportunity to introduce students to the TestNav testing interface through the online test content. Refer TCs to the Infrastructure Trial Training Module located on the PARCC Training Center. Request that TCs remain in the school building to assist with technology troubleshooting during testing days.

24 Train Test Administrators and Proctors

This meeting should include but is not limited to the following: Show and discuss training modules and materials located on the PARCC Training Center and Avocet. Discuss your school’s security plan and emphasize: Chain-of-custody requirements Testing irregularities and security breaches Unlocking procedures Testing time policies Active proctoring responsibilities Explain PARCC policies and procedures for testing day, as well as any state policies that include: testing boxes, visual cues, what TAs and Proctors should do and shouldn’t do. Refer to the Meet with TAs and Proctors Section of the TCM for a list of these items. Explain local policies such as procedures for breaks, use of hand-held calculators, mathematics tools, make- up testing, technical issues, and procedures for students who finish early, including allowable materials for students after testing. Refer to the Test Security and Administration Guidelines and Policies Directory for these guidelines. Based on needs identified in the students’ SR/PNP, ensure TAs are trained and have the classroom prepared with any materials needed for accessibility features and accommodations, including preparation for administration considerations. Refer to tables 1, 3, 4, 5, and 7 of the AF&A Manual to prepare for these accommodations. Ensure staff understand the test schedule, how certain units are administered, and provide them with his or her assigned group of students for testing. Train TAs on how to manage and monitor test sessions in PearsonAccessnext. This includes: Starting a test session Resuming a student’s session Confirming a completed test session (for the purposes of stopping a test session) Marking a test session complete Stopping a test session Refer to PearsonAccessnext Students in Session and Monitor Student Test Status and Item Progress, and AF&A Training Modules located on the PARCC Training Center. 27 Receiving Test Materials
Go to: Topics Avocet Initial order will include: Test Coordinator and Test Administrator Manuals Paper-based accommodations for students, if indicated in SR/PNP Tactile graphics for computer-based testing will be included in your initial order of Screen Reader Accommodations. Initial shipments will be delivered 2 weeks prior to your LEA/district assessment window start date. Refer to your state policy located in Appendix C of the TCM. The initial order shipment is not created by “ordering” materials. It is generated by importing your organization’s SR/PNP File in PearsonAccessnext for each test administration by the import deadline. PearsonAccessnext will then calculate the enrollment counts for your organization and send the appropriate amount of Test Coordinator and Test Administrator Manuals (TCMs and TAMs) and paper-based accommodation materials, if needed, for your organization. If you have students requiring tactile graphics for computer-based testing, these will be included in the initial order of screen reader accommodations. If screen reader accommodations were not indicated in the initial order, you will need to place an order through the additional order process.

28 Chain-of-Custody Forms

End of testing sign-off for the TAs and STCs. LEAs/districts and schools should keep these forms on file and should not return them to Pearson after the PARCC administration.

29 Documenting and Storing Test Materials
Go to: Topics Avocet PARCC Training Center Order Additional Materials Upon Receipt of Test Manuals and Paper-Based Accommodated Test Materials, LTCs and STCs should: Use the Computer-Based Chain-of-Custody Form located on Avocet, or other tracking log to document all test manuals and paper-based accommodated test materials received. Inventory materials immediately to verify that there is an adequate number for administration. Order additional TCMs or TAMs, if necessary. Keep all test materials in a centrally locked storage area, with limited access, until distributing them to the TAs. Remind TAs that all test materials must be distributed only on test administration day and must be returned to secure storage immediately after testing. Refer to Appendix C of the TCM for the dates that materials are scheduled to arrive at your school and follow these steps to document and store your secure testing materials: Use the Packing List and Chain-of-Custody Form from box 1 of the initial shipment to inventory your secure testing materials. Verify the quantities listed on the Packing List were shipped. If additional TCMs or TAMs are needed, submit an additional order through PearsonAccessnext. Refer to your state policy in Appendix C of the TCM before placing an order. Refer to the link above to find steps on ordering additional materials. Check that test materials, including paper-based accommodated materials, are secure and keep them in a centrally locked storage area, with limited access, until distributing them to TAs each testing day. Remind TAs that all test materials are secure and that all test materials distribution and collection must be documented daily using the Chain-of-Custody Form, if applicable, or other tracking log and must be returned to secure storage immediately after testing. 30 Organize Test Materials
Go to: Topics Test Security and Administration Guidelines and Policies Directory For Secure and Nonsecure Test Materials: Ensure testing materials are available and organized: Student testing tickets, PARCC-supplied materials (printed from PearsonAccessnext) TAM, PARCC supplied materials (shipped by vendor) School-supplied materials: Wooden No. 2 pencils with erasers, blank scratch paper, calculators, mathematics tools and reference sheets (if allowable), testing devices that meet minimum technology specifications, headphones, materials necessary for the administration of accessibility features or accommodations, timing devices, “Testing – Please Do Not Disturb” testing room sign, computer or tablet for the TA. Distribute and collect materials each testing day and do not store materials in the classroom. Refer to your state’s policy in Appendix C of the TCM for additional guidance. STCs are responsible for ensuring the school has all necessary testing materials and tools available and organizing them prior to the start of testing. For computer-based testing, some materials will be available through the testing platform according to the grade and subject being administered (e.g. four-function calculator, four-function calculator with square root and percentage functions, scientific calculator, graphing calculator, rulers, protractors, and mathematics reference sheets). Schools may allow students to bring their own tools, however these tools must be approved by the STC or TA prior to testing to ensure the tools are following the testing tool guidelines and appropriate for the grade and subject being tested. Refer to the TCM for guidelines on allowable calculators, mathematics tools, and headphones. Refer to the Calculator Section of the Test Security and Administration Guidelines and Policies Directory for more information on calculator guidance.

31 Ordering Additional Materials
Go to: Topics PARCC Training Center Orders Can Be Submitted by Users with the Following Roles: LEA/District Test Coordinator School Institution Test Coordinator Note: The “Request Additional Order” add-on role must be added to these user roles in order to submit a request for an additional order. To create an additional materials order, view the PearsonAccessnext Orders and Shipment Tracking Training Module. As a reminder to decrease an unexpected surplus of materials, do not submit an additional order if you are expecting an initial order of materials. You will want to first receive and inventory the initial order to identify if additional materials are needed. You will then place an order for additional materials at that time. Additional orders can be submitted by users who have the appropriate role and add-on role assigned to their PearsonAccessnext account. See the User Role Matrix document for more information, found on the Support page of PearsonAccessnext. Ordering additional materials occurs when you submit an order through the Orders & Shipment Tracking page found on PearsonAccessnext. This page can also be used to track orders placed by your organization. 32 Create and Manage Test Sessions
Go to: Topics PARCC Training Center Avocet At least one week before testing: Create, manage, and edit test sessions in PearsonAccessnext. Print student testing tickets. Confirm TA accounts are active. Check that online accommodated form assignments and PNPs are correct. Ensure students are in the correct test sessions, including students requiring Human Reader test sessions. Confirm results of the Infrastructure Trial have been resolved. Precache Operational Tests. Prepare test sessions. Remind TAs how to start and stop test sessions. Test sessions are virtual groupings of individual students who will take the same test at the same time and place. Within PearsonAccessnext, STCs will create, view, or edit test session details; add, remove, or move students; and add or change the test form assigned to students. Test sessions will be used to generate and print student testing tickets. To view steps on how to create or edit an online test session, review the PearsonAccessnext Sessions Management Training Module. When creating a session, scheduling a date and time for a test session in PearsonAccessnext is intended primarily for planning purposes. A test session will not start until a TA clicks Start on the Session Details screen, regardless of the scheduled start date and time. Although TAs are not bound by the date and time that you select for a test session, we recommend you be as accurate as possible when completing this information. You can update the date, time, location, before a session is started. After test sessions have been created, print student testing tickets. These test materials must be documented using the Computer-Based Chain-of-Custody Form or other tracking log and must be placed in secure storage immediately. Confirm TAs’ accounts are active. Check that all online form assignments and PNPs are correct. Refer to the PARCC Personal Needs Profile (PNP) Guidance—Managing Incorrect Accessibility Features and Accommodation PNP Data document, available on Avocet. Ensure students are in the correct test session, including students requiring Human Reader test sessions. Confirm results of the Infrastructure Trial have been resolved, then freeze the environment for testing. If applicable, complete precaching of test content. Before a session can be started, LEA/DTCs or STCs must Prepare the Session to assign forms to students. As a reminder: students with accommodated forms must have their PNP updated before preparing test sessions. If needed, remind TAs of their training on how to start and stop test sessions. Refer to the PearsonAccessnext Sessions Management Training Module to find steps on how to start and stop a test session.

33 On the Day of Testing Verify testing rooms are configured.

This information specifies specific testing conditions, materials, or accessibility features and accommodations needed for testing. This information must be imported prior to caching test content. If a TA discovers an incorrect accessibility feature or accommodation during testing, the TA and/or STC will need to correct the form assignment. Refer to step-by-step directions in the PARCC Personal Needs Profile (PNP) Guidance—Managing Incorrect Accessibility Features and Accommodations on PNP Data document on Avocet. Document any instances of testing irregularities and security breaches, on the Form to Report a Testing Irregularity or Security Breach and report them to your LEA/district and/or State Education Agency. Refer to the Test Security and Administration Guidelines and Policies Directory in this training module for more information on testing irregularities and security breaches, including item irregularities where a student has alerted his or her TA. Be available to TAs and Proctors to answer all questions during the test administration, including any technology related issues. Follow protocols for safety threats and severe weather. Collect materials from TAs after each test unit. (Student testing tickets, student rosters containing TestNav usernames and passwords, reports or other documents that contain personally identifiable information (PII), used and unused scratch paper and mathematics reference sheets, Test Administrator Manuals, and accommodated paper- test booklets, if applicable. Refer to the Paper-Based Testing for Test Coordinators Training Module to find on specifics for returning any paper- based accommodated materials.) Transcribe accommodated tests, if applicable. Ensure all units are locked after testing. Finally, STCs will follow procedures for end-of-unit activities: Identify students who need to be scheduled for make-up testing, then administer make-up testing sessions. Refer to the Make-up Testing procedures in this training module for more information. Collect paper test materials and testing tools from the TAs immediately. Document and verify those materials have been accounted for using the Computer-Based Chain-of-Custody Form or other tracking log. Braille and Large Print test booklets must be transcribed and returned in order to be scored. Transcription guidelines are found under the Transcription of Student Test Responses Section of the TCM, located on Avocet, or on the Transcription of Student Test Responses guidance located in the Test Security and Administration Guidelines and Policies Directory of this training module. After testing each unit, ensure units have been locked. Refer to the Students in Session Training Module located on the PARCC Training Center.

Some common issues are: The wrong form assignment for an accommodated test. Student exits TestNav. TCs should respond as quickly as possible when technology disruptions occur. Remove any students in a “Ready” status from the test session. Stop the test session. Purge the cached test content. The day of the final test unit: Ensure student tests that are in an Active, Exited, Resumed, or Resumed-Upload status have been marked complete by the TA in PearsonAccessnext in order to stop test sessions. Use the PearsonAccessnext Students in Session Training Module to find steps on marking a student’s test complete. Review the PearsonAccessnext Delete Unused Student Test Registration Training Module to remove any student in a Ready status from a test. Check with your state policy to see if your state allows students to be removed from a test session or student registration. After all students are in a Completed or Marked Complete status, Stop the test session. Notify the TC that all testing is complete and have them purge the cached test content. Refer to the PearsonAccessnext Preaching Testing Content Training Module to find step on purging test content.

40 After Testing Within One Week of the Final Test Unit:

Complete a Post-Test Certification Form. Keep records according to your state’s policy. (Chain-of-custody documentation, test group/classroom roster records, signed security agreements, forms to report a testing irregularity or security breach, forms to report contaminated, damaged, or missing materials, and a signed Post- Test Certification Form) Indicate “Not Tested” or “Void” codes. Resolve critical warning/alerts in PearsonAccessnext. Within one week of the final test unit: Work with the LTC to ensure nonsecure test materials are destroyed/shredded or recycled immediately after all testing is complete. Refer to the Test Security and Administration Guidelines and Policies Directory of this training module on which materials should be securely destroyed or recycled. Do NOT return these materials to Pearson. Complete the Post-Test Certification Form, once the materials have been shipped and securely destroyed or recycled. This form certifies that the security and integrity of your school’s test administration was maintained before, during, and after testing. This document will also require a Principal’s signature. Maintain records as long as noted by your state’s policy in Appendix C of the TCM. Students with test registrations who did not participate in testing and had no test attempts, but must be accounted for, should be marked as not tested in PearsonAccessnext. If a student attempted to test, but his or her test should not be scored, this test will be voided. Follow your state’s policy in Appendix C of the TCM. Refer to the PearsonAccessnext Not Tested and Void Code Training Module for step-by-step directions on marking a student’s test as not tested or void. Finally, resolve critical warning/alerts in PearsonAccessnext.
