2 About Me Nishi Kushwaha
Experienced Software professional (overall ~3 yrs of exp). Currently working at APTTUS as an Application Developer (since 1.5 yrs). 5 1. Understanding Reports and Dashboards

6 2. Basic things about Reports in Salesforce
Every report is stored in a folder. Folders can be public, hidden, or shared, and can be set to read-only or read/write. You control who has access to the contents of the folder based on roles, permissions, public groups, and license types. You can make a folder available to entire organization, or make it private so that only the owner has access. To create Report for a particular object, Enable(Allow) Reports checkbox needs to be made true while creating object.

7 3. Steps to create a report in Salesforce
Under Reports Tab, click New Report Select Standard or Custom Report Type Drag and Drop fields you want to display on Reports Apply necessary filters Click Save (Give name and choose a folder for your report)

8 4. Report Types A report type is like a template which makes reporting easier. Report type determines which fields and records are available for use when creating a report. Reports display only records that meet the criteria defined in the report type. Out of the box, Salesforce provides a set of predefined standard report types. One can also create Custom Report Types according to the needs.

9 4.1. Custom Report Types To be used when we could not get the data element we want together on the same report. Custom Report Types are created by a System Administrator, or by a User whose Profile includes the “Manage Custom Report Types” permission.

10 5. Report Builder By Default Report Builder is enabled in the new version. To enable it GOTO Setup  Reports and Dashboard Settings  Review the Report Builder Upgrade section of the page, and then click Enable.

13 1. Tabular Reports These type of reports are used when the requirement is just to view the data in a tabular form. Tabular reports are for showing ungrouped data - they’re just a list of records.  They're often best used for tasks like generating a mailing list. Use case: Review all open opportunities above a particular amount threshold.

14 2. Summary Reports These reports are used when you wish to summarise horizontally, only one axis. Summary reports show your grouped data in a nested list. Allow users to group rows of data, view subtotals, and create charts. Use case: Support Manager wants to do a post-mortem on Closed cases from the past fiscal year, grouped by Priority.

15 3. Matrix Reports These reports are used when the requirement is to summarise both the Axis. Summary reports, matrix reports can have graphs and be used in dashboards. Use case: opportunities for last fiscal quarter, grouped by close month, with the amount summarized

16 4. Joined Reports Allows to create multiple blocks with filters for each. Each block can have different report type. In a joined report, data is organized in blocks.  Each block acts like a “sub-report,” with its own fields, columns, sorting, and filtering. You can add a chart to a joined report. Use case: Show Accounts with Open and Closed Opportunities and Open Cases.

17 5. Sharing and Notifications
Folder Sharing in Salesforce allows you to restrict access to reports and dashboards by users, roles, roles and their subordinates, and public and private groups. With enhanced folder sharing, you can control who sees what. Each user, group, or role can have its own level of access to a single report and dashboard folder. Viewers can see the data; Editors can determine what data is shown; and Managers can control access.

18 5.1. Subscribe to get Report Notifications
Why click the Run Report button over and over again when you can subscribe to receive a personal notification? Choose a time to run the report to check against conditions you specify. If those conditions are met at runtime, you’ll get an alert via the method of your choice. It’s like having a personal reporting assistant on demand.

19 6. Chatter You can follow any report or dashboard by clicking on the Follow icon in the feed. In order to see the Follow link, one may need to enable Feed Tracking. One can post a snapshot of a dashboard component at a specific point in time to the Chatter feed, and everyone following the dashboard will get an update in their feed. 

20 7. Schedule Report Scheduling a report provides the following benefits: Get the latest report data without having to run the report. Get the data automatically at regular intervals you specify, through scheduling on a daily, weekly, or monthly basis. Get the report sent to you in HTML format, with a link for easy access to the source report in your org.
