4 What is data? Data – Important and valuable pieces of
information gathered to make your business profitable.

5 What is Data Entry Data Entry – A necessary evil
that should be completed in as short a time as possible and never repeated.

6 What do we do with it? Put your data in a CRM. No matter how you get it, put it somewhere that you can use it again. Data entry decreases as integration increases. Use it as much as you can. Form filling, data mining, account opening, anywhere. Entering the same data more than once is a waste of time and resources.

8 Integrate Many of the software programs FHC talks about can integrate with one another, and we are continuing to expand. Netx360 integrates with Smartoffice, Redtail, Albridge, Moneyguide Pro, and more. Smartoffice integrates with Albridge, Laserapp, some phone systems, and more. Laserapp integrates with a ton of different data sources including it’s own database. My recommendation is to use your own CRM to get the most benefit from your data.

10 What can be done with these ninja integrations?
Albridge will feed client and account data to Smartoffice to give you current account values when you look at your client records. Laserapp will pull from your client information within Smartoffice and populate a large number of fields on forms that are always kept up-to-date in Laserapp. Smartoffice will feed NetX360 in client onboarding to populate fields and decrease data entry on new account openings.

You can obtain compliance approved content and import it directly into Smartoffice as letters Mass mailing can send these out into your marketing campaigns to all your client records, or just ones you have built in sets based on certain dynamic criteria

16 Protect your data Use only FHC approved storage locations for your data. Encrypt anything sent out from internal office systems. Communication between you and FHC when using your FHC is a secure method. Back up data using an off-site location.

Currently we have one official cloud storage provider called Sharefile. Sharefile is $30 / month per full user license. Sharefile is obtained through FHC. Redtail and Smartoffice are approved providers but incur increasing costs as your storage needs increase. FINRA uses Sharefile

18 Encrypt transmitted data
Zix is your friend! Well how do I use this magical Zix thingy? You can set your message sensitivity to confidential You can type ZixEncrypt in your body or subject There is a safety mechanism if you forget, but it’s not perfect Your clients can respond back securely via a very simple portal call Zix Portal.

21 Use proper passwords Make great passwords, or use software to make them for you. No one can remember passwords unless you’re some kind of savant, but don’t write them down and tape them on the device they’re for. Store your passwords in an encrypted place - Roboform

22 Back up everything We have one approved backup provider, and they have different packages that fit certain needs better than others. Carbonite has various different packages to meet your needs, including one specifically for backing up NAS devices you have connected to your own network. Sharefile has multiple duplicated redundant storage locations geographically diverse and incredibly fault tolerant. Meaning they back themselves up.
