1 Operational Reports Welcome to: “Operational Reports” training. This module is for Test Coordinators who will perform activities to view PearsonAccessnext operational reports.

Request Report Refresh Optional and Required Filters Resources Support We will first explain the basic user account management permissions required to perform the activities shown in the module, then we will present operational report options, plus how to display and download them through the system. This training may be viewed by LEA or School Test Coordinators involved in PARCC assessments.

3 User Roles Go to: Topics Base roles must be applied to a user account in order to perform the actions covered in the training module. For demonstration purposes, we will use the LEA Test Coordinator Role. Users must be assigned certain roles in PearsonAccessnext to perform actions outlined in this training module. The following user roles can be assigned to district staff who will display or download PearsonAccessnext Operational Reports: LEA/District Test Coordinator Role School Institution Test Coordinator Role For this presentation, we will use the LEA/District Test Coordinator role. If you have further questions on user accounts, review the User Role Matrix document to help you understand base and add-on user role options and permissions sets.

4 Operational Reports Go to: Topics Operational reports use pre-designed report templates and include information about a variety of testing-related details. These reports are either provided online with an option to download a file or are available as a file download only, depending on the report. Categories include: Organization Students & Registration Online Testing Orders & Shipment Tracking Users To learn more about the reports available, go to Click here for more information on available Operational Reports.

5 Run Operational Reports
Go to: Topics In these next steps, we will show you how to obtain an Operational Report. Click on Reports > Operational Reports. Select one or more report categories. For this demonstration, choose Students & Registrations and Online Testing for the purpose of this presentation. Click the title of the report. We’ll choose Session Roster. For some reports, you’ll need to Request Report Refresh to get the latest updated information. Some reports allow you filter by organization or test. Select an organization or test to drill down. If you want to include all organizations and tests, leave these drop downs blank. Click Refresh Report. Click Download Report to view the report.

6 Request Report Refresh
Go to: Topics Request Report Refresh. Some reports will require a request report refresh. If this feature appears the user will need to request the report. The report is then placed in a queue to generate the report. When the report is available a date/time stamp is displayed. Be sure to review this Execution Date when revisiting the report, as the report will not refresh automatically. You will need to request a new report to refresh this data. To do this you will again use the Request Report Refresh feature to request an update report.

7 Optional and Required Filters
Go to: Topics Some report requests will have filters available to define certain details in a displayed report. These filters may be optional or required. Required filters must be entered by the user in order for the report to be displayed. Optional filters may be left blank to display all data in a report request for the users organization. Let’s review examples of each. Required filters: Check the box Organizations Click on Enrollment Counts Required filters are indicted with a red asterisks. In order to display this report an Organization Type must be selected. Let’s choose School/Institution. Click Display Report. Your report is displayed at the bottom of the screen. Press Exit Optional filters: Click on Organization Status Here, you will notice several optional filters. You may leave these filters blank in order to view all data related to this report within the organization associated with your user account. Otherwise, you may select one or more filter options. Press Exit Report. There are some reports that do not have filters available. With these reports you will need to just simply request the displayed report. Pick Organizations – Details and click Display Report.

The User Role Matrix is updated annually and contains the User Roles and permissions assigned to the User Roles. This is a great place to determine the Base and Add-on Role required to perform tasks in PearsonAccessnext. Additionally, the Operational Report Definitions will outline each available report. The PearsonAccessnext User Guide is accessible while a User is in PearsonAccessnext. Click on Support > Documentation. The PearsonAccessnext Online User Guide is found in the Top Resources menu, to the right of the screen.
