Case Study: Transforming UVI’s Technology Systems with Title III Support By Celia Prince Richard & Desha Brathwaite

2 Objectives Improve student Information Literacy Skills
Increase SAILS scores by 5% Improve administrative management capabilities Travel & Expense Management Document management system Network storage Virtual desktop Improve data storage capabilities Data warehouse Network speed for data transmission Network backups

3 About UVI Historically American. Uniquely Caribbean. Globally Interactive. Two campuses & One Academic Center Albert A. Sheen campus on the island of St. Croix Main campus on the island of St. Thomas 40 miles of sea water between the two Academic center on the island of St. John Approximately 2300 students Reliance on videoconferencing across the campuses

4 About Information Services & Institutional Assessment
One of 4 components at UVI Unit comprising Information Technology, Institutional Research and Libraries Institutional Research added in 2013 CIO now Vice President of Information Services and Institutional Assessment Assessment added in 2014 Accreditation Strategic Planning Technology training, desktop support and faculty development Administrative computing and process re-engineering

5 Beginning a longitudinal analysis of UVI student information literacy skills: 2012-2016
Standardized Assessment of Information Literacy Skills (SAILS)

6 Importance of Information Literacy?
The information literate person can: Identify Find Evaluate Apply Acknowledge Information

7 Objective 1 Increase UVI student SAILS scores by 5% in specific competency areas by integrating information literacy into 5 new courses beyond freshman general education

8 Project Background The project has the following goal and hypothesis:
GOAL: To improve University of the Virgin Islands student learning outcomes. The hypothesis, based on anecdotal reports is that freshman students entering UVI do not have adequate IL skills for higher education instruction.

9 Project Background Assessment of UVI freshman IL skills began in Fall 2012 Standardized Assessment of Information Literacy Skills (SAILS)used. Tested Freshmen in Fall 2012 266 students assessed Data collected established a benchmark of performance among incoming UVI students Tested Sophomores & Juniors in Fall 2014 Tested Seniors in Fall 2016

10 Method Survey tool used - Standardized Assessment of Information Literacy Skills (SAILS) Cohort form used 45 items covered from 7 skill sets: Surveys administered in library and special classes targeted. Approximately 30 minutes to complete Web-based Raffle opportunity offered

11 Method cont’d Demographic Count Freshmen Fall -- 2012
266 (STT-152/STX-114) Sophomore – Fall 2014 161 (STT-80/STX-81) Seniors – Fall 2016 107 (STT-56/STX51) SAILS Skill Sets Number of Items Developing a Research Strategy 32 Selecting Finding Tools 18 Searching 27 Using Finding Tool Features 14 Retrieving Sources 15 Evaluating Sources 21 Documenting Sources

12 SAILS Sample Question

13 Findings Marked improvement in UVI student results.
On the St. Thomas campus, where students fared worse than their St. Croix counterparts, the change was over a 10% increase. On St. Croix, the improvements were more varied.

15 Delays in Reporting UVI Institutional Review Board (IRB) approval needed Work with faculty Information Literacy Workshop Freshman Development Seminar (FDS) 4 years for final results Freshman 2012 – Seniors 2016

16 Next Steps Continue Sharing Results Faculty buy-in
University Research Day IL Librarian position – Member of Curriculum Committee Liaison Faculty buy-in

17 SAILS SAMPLE QUESTION

18 Administrative Management Capabilities & Data Storage

19 Objective 2 Reduce the delivery time of University administrative documents by 86% from 7 days to one day by increasing the utilization of software. Implement a system for attaching documentation to Banner processes. Increase the options available for submission of online payments to UVI from 3 to 4. Establish a data archive system that increase document management storage from 0 to 1 terabyte. Increase the speed by which data can traverse the network from 100MB to 1GB per second.

20 FormFusion Implementation of FormFusion –
Reduced delivery time of administrative documents by 86% from 7 days to 1 day Student bills Purchase orders What else?

21 Increase Online Payment Points
Enrollment Confirmation Registration Admissions Transcripts

22 Implementation of BDMS
Banner Document Management System Enhancement for Travel & Expense Management Travel documents now available within TEMS, not attached to separate s Built out for Human Resources Requested by Admissions Who else?

23 Network storage Opportunity -
With more applications, comes the need for more storage Enhanced the University’s capacity to store documents Goal was 1 terabyte 14.4 terabytes available for use with document management

24 Network Speed Opportunity -
With more applications being used, storing and sending more and more data across the network, a fast and reliable network is essential to normal operations. Increase the speed at which data travels the network 100MB to 1GB

25 Objective 3 Reduce the time needed to deploy images to University computers from four hours to one hour Leverage the student success initiative (SSI) towards the development of a UVI data warehouse. Decrease the time needed for backup of 4 terabytes of network data from four hours to two hours.

26 Challenge - Objective Change
Virtual desktopping Achieved and used in computer labs Went from 4 hours to 1 hour Difficulty scaling up across the institution due to high licensing costs Objective changed after 2015

27 Data warehouse Educational Advisory Board’s Student Success Initiative
Build data warehouse off that effort Use SQL database Pulls daily enrollment data Stores historical data for IPEDS, KPI’s and other reports All data requests now filled from historical data instead of production.

28 Network Backups Reduce length of time for backups
From 4 hours to 1 hour Currently using IBM’s TSM New Product – IBM’s Spectrum Protect Backup virtual network Off-site DR storage GUI interface

29 Pop Quiz

30 Next Phase Network speed and reliability Network redundancy
Cloud services Banner Upgrade
