New Search Requirements Overview and How to Close a Search
Welcome! This presentation will include an overview covering what changes are not allowed after your ad has been posted, what the new requirements in AP Recruit are, and how to close a search. Let’s get started.

What changes are NOT allowed after my ad is posted?
Title codes: The additions of ranks and/or series. Qualifications: Changes to basic, additional, and preferred qualifications. Review your ARP reminder: Let’s take a look at the changes that are NOT allowed after the recruitment has been approved and after the ad is posted. The addition of ranks and/or series to a recruitment will not be permissible after a recruitment has been approved. Changes to basic, additional, and preferred qualifications also will not be allowed. For this reason, we stress the importance of reviewing the details of your recruitment in the “review your ARP ” to ensure that we capture and include all ranks, series, and qualifications you want. The “review your ARP” will contain a reminder to notify you of the changes that aren’t allowed.

What are the new requirements in AP Recruit?
Disposition reasons – A justification or a reason as to why an applicant did not move forward in the recruitment process must be assigned. Now, let’s cover the new requirements in AP Recruit. The first new requirement will be the need to assign disposition reasons. Disposition reasons are a justification or a reason as to why an applicant did not move forward in the recruitment process. Disposition reasons will need to be assigned to these applicants in AP Recruit. As you can see in this slide, various sets of disposition reasons are already included in the system and are broken into two different groups. There are different disposition reasons for applicants who ‘meet the basic qualifications’ but didn’t move forward and disposition reasons for applicants who ‘do not meet the basic qualifications’ and didn’t move forward in the recruitment process. Because there are two different sets of reasons, you’ll first need to mark whether the applicant ‘Meets’ or ‘Does not meet’ basic qualifications before being able to assign the appropriate disposition reason. Please feel free to contact your Academic Recruitment Specialist to walk you through this process if you are unsure how to complete this action.

Copies of all advertisements – In order to capture and document your outreach efforts, please upload copies of your ads into AP Recruit or send copies of the ads to your Academic Recruitment Specialist once they’ve been published. Pool review approval – Prior to conducting interviews, please contact your Academic Recruitment Specialist to request that your applicant pool be reviewed. An applicant pool report will be generated and sent to Dr. Renee Navarro (Vice Chancellor of Outreach and Diversity) for review and approval. In order to capture and document your outreach efforts, we are now asking for copies of all advertisements. Please upload copies of your ads into AP Recruit or send copies of the ads to your Academic Recruitment Specialist once they have been published. The last of the new requirements is that pool review approval is now required in AP Recruit. Prior to conducting interviews, please contact your Academic Recruitment Specialist to request that your applicant pool be reviewed. An applicant pool report will be generated and sent to Dr. Renee Navarro for review and approval.

How do I close a search? And finally, let’s cover how to close a search. The search close/search extension request form can be found on our Academic Affairs website, under the ‘Recruitment and Retention’ section. The hyperlink to the form can be found here in this slide. The screenshot in this slide outlines the instructions on how to complete this form. As noted, if your intention is to only identify your selected candidate, you’ll want to complete Section I (fields 1-9) and obtain approval from your search committee chair and department chair on the bottom of page 4. If you would like to extend your search only, you’ll want to complete Section II (fields 1-6) and obtain the approvals of your search committee chair and department chair. Please note that a recruitment can only remain open for a maximum of 18 months and cannot be extended beyond 18 months of your open date. If you would like to identify your selected candidate and extend the search, you’ll want to complete both sections of the form. Once you have completed the form, please send the form to your Academic Recruitment Specialist, who will then contact you to confirm the details of your request. Also noted in the screenshot in red – all applicants must have their basic qualifications identified, as well as assigned statuses and disposition reasons before identifying the proposed candidate/closing the search in AP Recruit.
