BBYO Community eNews

What is the BBYO Community eNews?
The BBYO Community eNews is a monthly eNewsletter that goes to each region’s teens, parents, alumni, donors and other stakeholders – anyone associated with your region. The BBYO Community eNews is intended to work in tandem with your regional website. Information in the eNews should direct back to the website where readers can get more detailed, in-depth information. 2

Content Creation The International Office creates a template for each monthly issue of the BBYO Community eNews. This includes articles related to international initiatives, FAN information, advisor content and open areas with directives to include local content. Here is an example of a BBYO Community eNews template. The template is posted on Dashboard for you to access 10 days in advance of the scheduled distribution week. This is intended to give you ample time to prepare the content. If you know that you have a busy week coming up, please budget time to prepare this accordingly. To access the template, log into ARCOS and search for the mailing number that is posted on Dashboard. Keep in mind that detailed, local information should be housed on the website. Highlights about these things should be included in the eNews, but there should be directives to the website to learn more about them. Prior to eNews distribution, make sure to do a regional website review to ensure that your website does have content to support information included in the eNews (i.e. events, photos, program information, etc.) 3

Editing and Distribution
Log into ARCOS and search for the mailing number posted on Dashboard to access the template. IMPORTANT: Do NOT click “Edit” – instead, click “COPY” to make a copy of the mailing to localize the information (i.e. From Name, From , Subject) to your region. Once you have completed the content, let your DCE know that it is ready for content edits. Once your DCE gives you the “OK,” he/she will send the mailing number to the designated contact in the International Office for one final round of edits. Prior to this, the International Office will have sent the appropriate distribution list to your hub admin who will either upload the segment or instruct you to do so. Once the final “OK” is received, the eNews is ready to be sent. 4
