2 Purpose of this meeting
To go through the details of how to set up ERD on your clinical system To share information with all practice and community pharmacy staff who will be involved To discuss how the practice will train staff on the launch date and afterwards To help the practice develop a plan of action for housekeeping prior to launch date To help the practice to develop a plan of patient selection 2

3 Preparation of patient records before initiation of ERD
Patients who are eligible for ERD will need a medication review before starting, and if appropriate blood results should be taken into consideration before starting. During this review :- Remove any items no longer required from the repeat Check that quantities have been standardised to 28 days, and all items are synchronized and consider appropriate number of issues ( 6, 12) Check that the patient knows their nominated community pharmacy Check that the patient has given verbal consent and that this has been recorded in the patients record using read code 8BM1 (emis Web ) 3

4 Good Communication is the Key to Success
Key to success for ERD Start small with a few patients and work up gradually 28 day prescribing, all items synchronized Ensure good communication between practice staff and community pharmacy so that patients are supported through the process Good Communication is the Key to Success 4

5 Setting up Electronic Repeat dispensing on Emis Web
Retrieve the patient’s record in the usual way Select the ‘medication’ tab from the menu 5

6 Select the template(s) you wish to include in the prescription
Select the template(s) you wish to include in the prescription. To select more than one item from the repeat template view, hold down Ctrl and drag over each item. Click on the ‘Rx Type’ heading ( just below medication tab) and select ‘Repeat Dispensing’. The issue date for the repeat template will start on today’s date for each repeat. 6

7 Type in the number of issues ( 6 or 12 ) in the top box, preferably all the same and click ‘ authorise all’ Prescribers must be granted the ‘Repeat Prescriber’ access right by a system administrator to be able to perform electronic repeat dispensing (ERD) 7

8 The template you have electronically repeat dispensed will appear on the screen in a separate section called ‘repeat dispensing, this will sit below acute and repeat. 8

9 This message appears, click ‘Yes’ to authorise all medication items

10 Issuing the Prescription
To issue the ERD prescription highlight the items required click issue click approve and complete 10

11 Signing the Prescription
A normal one off electronic prescription will be authorised by the GP by going into medicines management and picking the prescriptions ‘awaiting signing’ on the task list Once checked the GP clicks ‘approve and complete, this is then sent to the spine 11

12 An ERD prescription spot the difference ??
An ERD prescription will also be authorised by the GP by going into medicines management and picking the prescriptions ‘awaiting signing’ on the task list The only difference with an ERD prescription is the word ‘Repeatable’ and number of repeats in brackets once checked the GP clicks ‘approve and complete, this is then sent to the spine once checked the GP clicks ‘approve and complete, this is then sent to the spine 12

13 What will community pharmacy be doing?
The pharmacist will ask a few questions every time the patient picks up their repeat to ensure nothing has changed. This includes checking the patient is not taking any OTC or herbal medication that may interact with their regular medication. If the Pharmacist has any concerns they will be communicated back to the GP practice and if necessary any future issues can be stopped. On the next-to-last issue, e.g. 5th or 11th depending on total issues the pharmacist should tell the patient they only have one left and to make an appointment for a medication review/ blood tests / reauthorisation 13

14 Lets set a date ! The Medicines Management team will support you as follows:- Before launch date :- highlight housekeeping work that can be done by admin staff before launch On launch date :- Be available in practice to support staff with setting up new patients on ERD and assisting with training process After Launch date :- A period of upto1-2 weeks of support, in practice and remotely when needed Both Pharmacists and Technicians will be available to assist in this project and can be contacted via on regular working days , if not in attendance at practice. 14
