Headings There are two ways in ALEPH 500 GUI to update headings: Correct Heading button in the GUI browse Building an Authority Record in the authority library Heading maintenance via the GUI

Used when there is no desire to make an authority record Librarian does not want end user to be able to arrive to same heading from multiple points Change Publisher Bialic Press to Bialik Press End user will not be able to browse for Bialic Press All cases in all records of 260$$bBialic Press will change to 260$$bBialik Press Heading maintenance via the GUI

Librarian wants end user to be able to arrive to same heading from multiple points Author Smith, Barbara married and changed her name to Jones, Barbara End user must be able to browse by either author and arrive to same records Both authors will appear in list of headings when end user browses Heading maintenance via the GUI

Correct Heading in GUI Browse
In cataloging module choose the search tab and browse for heading which you desire to change Here we will change publisher Allyn & Bacon to be Allyn and Bacon (combine second and third entries, so all will have and instead of &) Heading maintenance via the GUI

Select heading which you desire change and click Correct heading Heading maintenance via the GUI

The “Correct Heading” window will appear, with the current field displaying in the upper section Publisher as it currently appears Heading maintenance via the GUI

Change the field to what you want, and then click “Correct heading” and “Accept” Click Correct Heading Publisher as we want it to appear (and instead of &) Heading maintenance via the GUI

Change the field to what you want, and then click Correct Heading and Accept After clicking Correct Heading the publisher (as we want it to appear) appears in the New Lines section. If we approve the change we may click Accept Heading maintenance via the GUI

Now the publisher in the desired fashion has three, and in the undesired fashion there are 0. Old appearance New appearance Heading maintenance via the GUI

The empty headings (headings with no docs) in the case Allyn & Bacon may be deleted via the service Delete unlinked headings (manage-15). Often this service is put in the job_list to run regularly. Heading maintenance via the GUI

In the previous example we combined two headings. The correct heading option may also be used when we do not want to combine headings, but merely change an existing heading. Heading maintenance via the GUI

As in previous case (where we combined two headings) we choose the heading which we want to change and click Correct Heading. Heading maintenance via the GUI

Building an authority record
In the previous cases an end user can browse only for the corrected way in which the publisher appears. There is no reference from the old way to the new way. We will now build an authority record for an author such that an end user can browse for the preferred and non preferred appearance. Heading maintenance via the GUI

Author Gemea’ah, Muhamad Mustafa has changed his name to Abu Gemea’ah, Muhamad Mustafa We want the end user to be able to browse by either form of the name and arrived to the same heading Abu Gemea’ah, Muhamad Mustafa is the preferred (correct) heading Gemea’ah, Muhamad Mustafa is the non preferred heading Heading maintenance via the GUI

We will create an authority record in the Authority library. First we connect to the authority library and then we will create the authority record Connect to authority library Heading maintenance via the GUI

While connected to authority library we can create the authority record. It is common to do so via a template Typically references are made for authors and subjects in the authority library. A set of templates already exists for creating the authority records Heading maintenance via the GUI

After choosing template “pers.mrc” we can catalog the authority record Heading maintenance via the GUI

The preferred headings are in the 1## fields The non-preferred headings are in the 4## fields The see also headings are in the 5## fields A full explanation may be obtained at Heading maintenance via the GUI

The authority record is saved in the authority library, with a system number in the authority library Heading maintenance via the GUI

The heading in the bibliographic record will automatically have the heading updated See slide 23. before we made the authority record, the heading was in the non preferred fashion. Now here it changed to the preferred term. Heading maintenance via the GUI

A browse in the GUI for the non preferred term will show that it is a 4## term, and thus non preferred. Heading maintenance via the GUI

If the end user browses for the non preferred term in the web, he will be given the option of clicking on preferred term (to see documents) or clicking on Authority Record to see the authority record Heading maintenance via the GUI

We will now do an example of an authority record for subject. We have a subject Islam in the library. Students search for Religion – Islam and do not find anything. We do not want to change (correct heading) Islam to Religion – Islam, rather we want to make a reference so that students can search by Islam or Religion – Islam. Heading maintenance via the GUI
