Havana Nights Staff Training – Reception October 17th, 2015

Our Vision Party on the Streets of Havana before heading to the nightclub Every guest is in a social colorful environment Laid back, exhilarant, fun atmosphere Bongo players along with card entertainment and background cuban music will be played Gathering of friends, family, neighbors, etc.

Reception Layout This is the space we’ll be occupying in the lower level of Festival Space 1140 to 3100 will be our area to conduct the Havana Streets

Our Reception Teams Registration team (which may include greeters atop of Festival for incoming guests to guide them to the event) Coat Check Team Beverage Team Serving Team Some employees may have special requests by management to do other tasks along the way

Parking Requirements Parking for the event can be done in these 4 sections by festival Guests will follow streets signs down to our event Staff members may be used for further assistance

Greeter This is the first experience of Havana for our guests so employees must be energetic and polite Welcome the guest and thank them for attending our event Be excited and filled with Havana energy! If the coat check gets backed up, you may be asked to go help that employee out

Coat Check Coat check will be conducted right after the registration process is complete Guests will be give you their coat. Hang the coat on the numbered hanger then hand the guest the slip that corresponds with the correct number of the hanger When the event is complete, they will hand you their number and you will retrieve their coat

Check-In This person will simply check guests into the Havana Streets party They will be getting checked off as if you’re finding their name on the VIP list for the Vidorra Nightclub They will have special VIP access cards that they will need to enter the club Tell them where they can find their “club seating” once they enter the nightclub

Mariposa Drink Pink lemonade concentrate, white cranberry juice and club soda with a lime to garnish

Beverage Station Must make sure cups, napkins, and ice is stocked the entire time One person will be in charge of preparing the cups with ice and a napkin while the other staff member will be responsible for preparing the drink Be prepared to aware the guest of the ingredients within the drink

Hors D’Ovueres Coconut Shrimp with Tropical Fruit
Roasted Vegetables and Curried Hummus on Pita Crisp

Servers Will be carrying hors d’oeuvres to the guest while they are being entertained in reception There is a vegetarian option for guests with allergies to shellfish Be prepared to aware the guest of the ingredients within BOTH the items The platter will be located in your right hand as a napkin will be draped over your left arm

Dietary Restrictions Restrictions should have been confirmed before the guests arrived during their RSVP, but questions arrive PLEASE ASK either a manager or supervisor and we can clear any concerns of the guest. We will provide options for guests with special requests.

Bussers These people will simply be cleaning up trash around the reception area, especially on the cocktail tables and from the guests We want our Havana streets to look clean and spotless so multiple checks around the reception area are required The serving tray should be used as an extra hand to hold the trash until you can get to a trashcan

Directors You’re job will to direct the guests to take photos at the photoboth with the car or ask if they would like to conduct in games with our card dealer (depending on your location). Be excited and SMILE!

Things to Remember This is the guests “moment of truth” when entering our event and we want them to have an awesome first impression Stay interactive with the guests and request getting their picture by our vintage car or play a game with the card dealer Make the guest feel comfortable and excited to be in the streets of Havana Don’t be scared to repeatedly offer the guest hors d’oeuvres and drinks to keep them occupied and happy the entire time This is the streets of Havana! Smile, be excited, and most importantly have fun!!
