2 Overview TraCS 10 has a new User Interface (look and feel)
Forms are basically the same as they were in TraCS 7.3 Additional functionality has been added to the Replicate, AutoPopulate and Status Progression processes The new interface is more intuitive and user friendly

3 TraCS Main Components Contact Manager Forms Viewer Contact
Now known as the Forms Manager Forms Viewer Used for data entry and editing forms Contact Common Information Now known as External Information

4 Contact TraCS is designed around the concept of a contact
Defined as a Single incident for which an officer is called to perform an official act A contact can have many scenarios and can involve one or more electronic forms Example: write a citation, investigate a crash

5 External Information Formerly known as Common Information
Enables users to enter certain types of data once and use it many times Types are: Individual Vehicle Carrier Offense Location

Can be used on any other form within the same contact It can be copied, replicated, and edited Available on the Navigation panel on the External Information Tab

7 Forms Manager Replaces the Contact Manager
Users launch directly into the Forms Manager Forms Grid is not pre-populated Users must perform a search to see existing forms on first open.

11 Status - Sealed Supervisors have the ability to Seal records
Note that once a record is Sealed it cannot be acted upon – except by a specially designated person New access levels: ViewSeal – View a Sealed record PrintSeal – Print a Sealed record UnSeal

12 Status - Submitted Submitted is a new status for all forms (except UTT) after they are Validated Enables users to validate a form and continue to make changes without the possibility of a supervisor accepting it before all changes are complete. Once the user verifies aValidated form is complete, the user must Submit the form Submitted forms retain the original data unless it is replicated or another form created.

13 Status – Submitted (cont)
The only form that does not use the submitted status is the UTT. Supervisors will only review ACC forms in Submitted status, and will no longer review Validated forms Submitted ACC forms can be Accepted by the supervisor for Transmission or can be rejected. Rejection moves them to Rejected status. Users can then Edit the Rejected Report. Only Rejected ACC can be altered once Submitted. Opening of Rejected ACC changes status back to “Open”. All other forms can not be edited after they are placed in a Submitted status. Submitted is a final Status.

17 Auto Populate Rules In TraCS 7 users pulled information from one form to a new form TraCS 10 the data is Pushed from the first form to the second Users will now click the autopopulate button before opening a new form TraCS 10 creates the new form and populates it with data from the first form With only a few exceptions when the user auto populates a form it will populate FROM THE CURRENT FORM TO THE NEW FORM

19 New Replicate Rules ACC - Can only be replicated after transmitted. The person replicating becomes the owner of the new form. Original is put into a Replicated status. DWI - Must be in a Submitted status. Can only be replicated by the Original Author. Original is put into a Replicated status. Forms - Must be in a Submitted status. Can only be replicated by the Original Author. Original form is put into a Replicated status. Sup Dep - Must be in a Submitted status. Can only be replicated by the Original Author. Original form is put into a Replicated status. UTT – Unchanged. Can be replicated in any status except sealed. VEH Search and Inventory - Must be in an Accepted status. Can only be replicated by the Original Author. Original form is put into a Replicated Status

20 Simple Defaults Setup Agency Defaults – Carry over from TraCS 7.
User Defaults – Greatly Simplified From inside the form, Right click on the field and choose Set Default Value Depending on the field and options Select the default from the drop down Or Type in the default Or select “Use Current Value” to use the data already entered on the form for the default

Designed at Request of Steering Meeting Attendees. Intended to facilitate driver exchange of information for non-reportable crash or when Officer does not intend to submit the full MV104 Police Request for Driver Review DMV form DS-5

26 Void Changes New Data Collected for Logging
Standardized list of reasons for void Includes free text option for “Other” Added Question if “Was the UTT Re-Issued”? If so, list new UTT number

27 Resetting a TraCS Scanner
Reset the COM port of the scanner Caused by scanner being unplugged or Other COM port Change Scanner Reset utility now installed on the desktop Utility will delete the com port setting and allow the Auto-Detect feature to pick-up the new com port Puts the power of the fix to the end user Users can run with extremely low risk 3 Clicks does it. Utility will not re-install the scanner driver if it becomes necessary

28 Email Forms Can be e-mailed directly from TraCS
Compatible with Programs, not internet mail Groupwise Outlook Lotus Notes

Click on the Pawprint Select Export Report Select the forms Select the format Click Export Browse to location to save the file
