5 Employee Profile Page – Update Details
e-TES Employee Training Guide Employee Profile Page – Update Details The Employee Profile page allows you to view/update your personal details and update your password. If it is not your manager in the manager field, the manager must assign you to the right manager Hours and Balances (Hours) are not in use and not updated

Entering Time Remember always to save your Time Sheet There are different methods available when entering time on a Time Sheet. You can: Use the Quick Entry List (slide 7-13) Apply a Time sheet Template (slide 14) Manually Add Time by creating a New Work Order (slide 15) Add Wage Type by creating a New Work Order (slide 16-17) Add an Absence (slide 18-19) Add Comments and References (slide 20-22) Correcting / Changing time (slide 23) If you did not enter time before the current week lockout time (Friday 3 o’clock), you must submit a Prior Time Adjustment, and then it is not possible to use Quick Entry List or Timesheet Template (slide 24-27) Reports (slide 28-29) Help Information (slide 30)

7 Quick Entry List Homepage
e-TES Employee Training Guide Quick Entry List Homepage This page displays all the Quick Entries that you have set up in the system Click on the Quick Entry button from the Homepage to view this page Once you have added a Quick Entry Item to the Quick Entry List you can use this to add time to a Time Sheet You have 0 Quick Entry Items from the beginning 5 Quick Entry items. 3 are marked as Template Items (X) Click “New Work Order” if you want to add to your QE list

This screen allows you to create a Quick Entry item so it can be added to the Quick Entry list Scroll down and click on the relevant Wage/Time Type

Select Wage/Time Type T = Time Type (Normal hours, On-Call hours, Overtime hours) W = Wage Type (Hours to Salary) Click on the applicable Wage/Time Type so it appears in this field.

Create New Quick Entry – Step 3 Enter the SAP Project Code PLEASE NOTE: the entire 8- digit code must be entered including the leading zero (ie. 08 – or 09 project.) Then click Show Project Click on the Task (Activity in Artemis) you require so it appears in the field Description IMPORTANT: Check the Project Description Project Description and Assignment is automatically populated (in Artemis it is Activity Code)

Add Time to the Timesheet using the Quick Entry Drop Down List – Step 1 PLEASE NOTE: You MUST first create a Quick Entry item to be able to add time to your timesheet this way Click the Quick Entry List dropdown, review the Project Description and then check Add to Time Sheet From the e-TES Homepage click on Time Sheet

e-TES Employee Training Guide Add Time to the Timesheet Using a Timesheet Template Any quick entry items you can use in your template are displayed on this page Click on the Template button to add a new template A „x“ will appear to show that it has been selected for the template If you want to select more than one item hold down the “Ctrl” key when selecting the quick entry items Mark the Task select “Modify Template” to add the quick entry item(s) to the template You will now see this template appear for the weeks applicable in the Time Sheet

15 Entering Time Manually
e-TES Employee Training Guide Entering Time Manually You may want to add time manually if you are working on a new project for that week From the e-TES homepage click on Time Sheet The process of adding a New Work Order is exactly the same as when adding a Quick Entry item, (Refer to slides 7-10) Select Add to QE & TS to add the Work Order to the Time sheet AND the Quick Entry List so it can be used for following weeks Click the Add to Time sheet to add the Work Order to the Time sheet as a one-off

e-TES Employee Training Guide Entering Wage Type – Step 1 From the e-TES homepage click on Time Sheet Scroll down the list to click on the relevant Wage Type (previously Codes in Salary Specification in Artemis).

e-TES Employee Training Guide Entering Wage Type – Step 2 IMPORTANT: Never change the Description field e-TES requires a Description – not a Project (WBS Code) Click the Add to Time sheet to add the Work Order to the Time Sheet Select Add to QE & TS to add the Work Order to the Time sheet and the Quick Entry List so it can be used for following weeks

e-TES Employee Training Guide Recording an Absence – Step 1 If you are absent for a number of days you can enter this easily in e-TES - for this example we will use Ordinary Holiday Scroll down the list and click on the “Ordinary Holiday” absence code Then select Add to Time Sheet From the e-TES homepage click on Time Sheet

Recording an Absence – Step Note: Absence Codes Hours from Flex Balance Hours from OT Balance You are able to add absence for up to 52 weeks in advance e.g. when going on long term sick leave Absence codes can not be added to your Quick Entry List, only theTime Sheet You should enter your vacation leave in advance of your absence

e-TES Employee Training Guide Correction Time in Time Sheet If you need to make an correction or change to your Time Sheet it is very easy to do this within e-TES Note: You can only make corrections in your Timesheet up until your Lockout Time You cannot delete Tasks from Timesheet. However, if you have not placed them in your Template, they will disappear the following week From the e-TES homepage click on Time Sheet Click on Save to save changes to the Time Sheet

You will get a message if your Time Sheet has been adjusted by your manager. In the Audit Trail Report you can see Time adjustments You can see the adjustments, and who have made the adjustments
