Merit Allocation Pools - UNCHANGED
Allocation pool based on: Annual salary rate of eligible employees as of May 31, 2012 3% pool for all eligible university employees 1/3 of award will be a permanent base salary increase 2/3 of award will be paid as a one time lump sum

Award Dates will change
CMO approved policy to award merit at two different time intervals: Base salary adjustment effective September 2012 One time payment in December 2012 Later, it was discovered the State of Texas prohibits more than 1 merit payment within 6 months. State doesn’t distinguish this as one merit award; uses date paid

MERIT TIMELINE – CHANGES HIGHLIGHTED
Jul 24 Merit Templates were due to Budget Office Aug 6 Templates delivered to HR by Budget Office Aug 23 Board of Regents ‘ approval of UTSA Budget & Merit program Aug 24–Sep 7 Departments begin entry of awards into HRMS modify documents due to HR Sep 7; detailed instructions to follow By Sept 21 Budget Office transfers funds to E&G accounts for 1X awards; areas transfer funds to Non-E&G accounts as necessary September -October 2012 Employee will receive the one time merit payment in October (2/3rds of annual amount awarded); must be employed as of September 1, 2012 March - April 2013 Employee’s base salary will increase effective March 1, 2013 for 1/3rd the annual amount awarded. First paycheck with increase is paid April 2013 4

HRMS Processing Requirements
To streamline the data entry, departments will enter both merit awards at one time: one HRMS modify document for each person receiving merit: 2/3 annual award = “one time” merit entered effective in the Additional Pay section with type: One-time merit selected. 1/3 annual award as a base salary adjustment effective will be entered in the Adjustment to Base Pay section with type: Merit selected.

HRMS Data Entry Sample Documents would route like all other HRMS document with final approval in Human Resources.
