Single Sample Registration
Only one sample may be registered at time Ideal for scientists who need to occasionally enter small numbers of samples Interactive, but manual sample entry process Data fields may have pull-down menus, pop-up calendars or cells to type in values Sample information will be entered in one page and lot-specific information will be entered on a second page CONFIDENTIAL

How Do I Register a Single Sample?
Your menus can vary based on your configuration Navigate to the Sample Registration application Via the Application Menu located in menu section Or from the Sample Registration tile on home page From the Menu of the screen, select the Sample Type to register and click Create CONFIDENTIAL

Step 1: Entering Sample-Level Info
This will bring you to the Creation Page. It may contain multiple tabs with fields where you wish to enter data In most cases you will want to leave the name blank and let the LIMS assign the barcode as a name 1) Enter any required fields (those marked by an asterisk *) or relevant optional fields 2) When you are done click on the Create New button at the bottom of the page to continue Tip: There may be multiple tabs that have fields that you want to enter data CONFIDENTIAL

Duplicate Records Prevented
If you have a data field with an integrity check, you will not be allowed to create a record with a value already stored in the database; Go to the existing sample record and create a new lot if appropriate You will have to use the back arrow on your explorer bar to go back to the previous page if you do not want to re-enter your information

Step 2: Creating a New Lot
After clicking the Create New button on the Creation Page, by default you will be taken to the Create New Lot Page. You are NOT required to make a lot at this time if you do not need one. If the lot # >1, then this sample has been registered previously CONFIDENTIAL

Step 3: Entering Lot-Specific Info
1) Fill in any required fields (these are marked with an asterisk) or desired optional fields. (Your administrator will configure fields that are specific to your company.) 2) Select the Create New Lot button at the bottom Don’t forget to check all tabs if there are any!

(Cont.) After entering all of the Lot Information (and any Container information if needed) click on the Create New Lot button to continue. This will bring you to the Lot Details page where you can view specific Lot Detail information. CONFIDENTIAL

Sample and Lot Pages In the same way that your data entry was divided into 2 pages, the record you just entered will create a sample-level page and lot-specific page If you entered container information, you will also create a container record After you complete the registration, you will be automatically sent to the lot-specific page (Lot Details) CONFIDENTIAL

The Lot Details Page The system will automatically assign the record a numeric identifier: (sample parent name) - (lot # sequence) Lot level attributes will be displayed at the top and sample level attributes are grouped below; Some data may be shown in other tabs Click on the View Parent link to see the Sample Details record CONFIDENTIAL

From either Sample or Lot Details page you can click on View Inventory to navigate to any Container records Click on the Lots link to drill down to the specific details of any batch Since Lot Details shows Sample attributes at the bottom, Sample and Lot pages will look very similar CONFIDENTIAL

Container Record The Container record will have separate sections for Sample attributes, Lot attributes, and Container Details Click on Name or Barcode hyperlinks to navigate back to Sample or Lot records CONFIDENTIAL

How do I Edit a Record? Click on the Edit Icon to get access to fields you are allowed to edit (non-editable fields will not allow you to enter data) Don’t forget to select Update to save your changes Tip: Even though sample details are displayed on a lot record, you need to go to the sample record to edit sample level attributes CONFIDENTIAL

How do I Remove an Unwanted Record?
Records are never entirely removed from the system – they are flagged as active or inactive Inactive records are removed from most standard queries by default, but can be found if they are deliberately searched for It is good practice to add a note or comment to explain why the record is being inactivated Note that deactivating a Sample record does NOT automatically deactivate a Lot record – don’t forget to deactivate all desired records (you can use List Functions pages if you have lots to do) 1) Click on the Edit icon 2) Deselect the Active box 3) Hit the Update button

Attaching Documents to a Record
Use the Files section to store a local copy of raw supporting data file or supporting literature Remember most supporting data files are lot-specific data and should be attached to the Lot Details record (not Sample or Container!) Literature data would likely be attached to the sample record CONFIDENTIAL

Click on the Files icon Select the appropriate file Type Click on the Submit Button Choose the file to attach Click on Upload CONFIDENTIAL

Click on the compound ID link to return to the Lot record Records that have attached files will have a number below the Files icon and the icon will be colored red When on a Lot page, click on the Files icon to return to this page Select another file type and hit Submit to attach more files (no limit) Click on View File link to open the file; if there is a special program needed to read the file it needs to be installed locally on your machine (the LIMS will attach any kind of file whether or not you have the software to read it) CONFIDENTIAL

Click on Edit link to add files to attributes You will NOT be prompted to attach files on the Create page Your admin may have configured certain files to be attached as specific named attributes instead of in the general Files section This allows the files to be more easily viewed and reminds data generators to attach required files Click on the Upload hyperlink to browse to the file CONFIDENTIAL

Browsing to a file is the same process Or users can find file from the Files page File is now viewable directly from hyperlink so it is easier for users to find

Attaching Comments to a Record
Use the Comments section to annotate and store your interpretations of the data to share Comments are not as easily pulled into reports and are only viewable from the record they are attached to (i.e. critical data should NOT be put there) Comments are not editable Click on the Conversation Bubbles icon to add or view a comment Previous comments are listed in chronological order with user and timestamp info Enter new comments below and click Send button CONFIDENTIAL

Number of comments is updated after each save event Tip: Admins may configure Comments as an attribute to make them more searchable and editable CONFIDENTIAL
