2 Welcome! Welcome to the hiring center video. We are excited to share information with you about the hiring process. This process will assist you in creating and posting a requisition, reviewing candidates and closing out a requisition. Thank you for taking the time to watch this video and explore the system.

4 Opening a requisition One of your tasks as a hiring manager is to open job vacancies. Let's take a look at the process you will follow to open a requisition in People First.

5 Begin by logging into People First and selecting My Direct Reports under My Quick Links.

6 On the My Direct Reports screen, select the position to be advertised
On the My Direct Reports screen, select the position to be advertised. Select the Positions menu and choose the Open/Close Vacancy link.

7 The Open/Close Vacancy screen appears
The Open/Close Vacancy screen appears. Select the checkbox next to the Create new entry row, then select Edit to create a new entry.

8 A message appears in the Open/Close Vacancy -> Details section explaining that the system will send the requisition to the Performance & Talent Management home page once you select Save. This process usually takes up to 30 minutes. Change the Vacancy Status to Open and then select Save. Once the vacancy is opened, you will receive a To Do item on your Performance & Talent Management home page to complete the requisition. A staffing specialist from the People First Service Center will also contact you within four hours.

10 Completing the requisition
We will now walk through the process of completing a requisition.

11 To access the requisition, you will select the Performance & Talent Management tab. This will open the Performance & Talent Management home page within the People First system.

12 You will notice a navigation dropdown menu at the top of the page
You will notice a navigation dropdown menu at the top of the page. If you select Home, you will see options that, if selected, take you to the Performance Management, Recruiting, Org Chart, Employee Profiles and Reports pages; however, before we explore other pages, let’s continue our tour of the home page.

13 The home page allows you to access a variety of information:
The To Do tile displays any performance and talent management related task such as setting performance expectations, evaluating employees or approving job requisitions. The Links tile allows you to set up or access quick links to specific areas within the Performance & Talent Management system. In this example, there are links to the Org Chart and Directory. The My Team tile allows you to view all employees reporting to you and access their details. The My Info tile contains your work profile and your performance evaluations.

14 We will begin by selecting the dropdown for the Create Requisition To Do item and selecting the requisition to update.

15 Confirm and update the information contained in the Job Requisition Detail page. Most fields are pre-populated, but there will be some that require input such as the salary. Next, add any additional approvers who need to review the requisition by selecting the Add Approver button.

16 You have a number of different options for locating approvers
You have a number of different options for locating approvers. We will use the First and Last Name fields to find the appropriate approver. After entering your filter information, select the Search Users button.

17 Once all approvers have been added, select the Save Changes button
Once all approvers have been added, select the Save Changes button. If additional approvers need to be included, select Add More.

19 Notice that the selected approver now appears in the requisition approval route map at the top of the page. Let’s continue with our review and completion of the requisition.

20 The Requisition Salary and Requisition Job Description are what will be shown in the job posting.
As you scroll down, you will notice that a few items require updates. You will fill in the Requisition Salary field. Then, once you have completed that, you will need to complete the Requisition Job Description field. Select the Update button to enter the details for the job posting.

21 This box is free form, and text may be copied from other programs such as Word and pasted here. The information entered here is posted for candidates to review.

22 You may also require that candidates complete qualifying questions when they apply. Select the Add more questions link to create qualifying questions.

23 You may view your previously saved qualifying questions by selecting Browse or you may select Create to enter unique questions.

24 Once you type your question, the Answer Format section appears
Once you type your question, the Answer Format section appears. You will select the Answer Format dropdown menu. Once you have selected the Answer Format and entered any required text, you will select the Close button and then the Create button. Now your new qualifying question has been added.

25 When you select Send to Next Approver your changes to the requisition will be saved.

26 Lastly, to confirm, select Send to Next Approver again.

Now let’s talk about how the requisition is posted.

Completing the Requisition Posting the Requisition Reviewing the Candidates Closing the Requisition Once the approval process for the requisition is complete, the service center staffing specialist will conduct a final review, which includes ensuring required Veterans’ Preference approval, equal employment opportunity language is included and that no words are misspelled. The staffing specialist will then request the posting dates from the hiring manager and post the requisition after receipt.

31 Reviewing the Candidates
Part of the recruiting process includes managing a requisition once candidates begin applying for the position. In this section of the video, we will cover reviewing the candidates.

32 When you access the Performance and Talent Management home page, you will notice that there are three candidates for the Clerk requisition. To view the candidates, you may select the box under My Team or select Recruiting from the Home dropdown menu.

34 Toward the top of the page, you will see that you have three active candidates with four total candidates. By scrolling in the Talent Pipeline, you will see that one candidate has withdrawn. Should you wish to review a candidate's resume and application, you will select his or her name in the list of candidates. For this example, we will select Amanda Ra.

35 The application will be displayed first
The application will be displayed first. You have the option to toggle to the resume or back to the application. By scrolling in the window, you have the option to review the details entered by the candidate, including any additional attachments such as certifications. Once you have completed your review, you may close the candidate from consideration, move the candidate to another status or return to the list of candidates.

36 If you choose to move the candidate by selecting the Move Candidate button, select the appropriate status from the dropdown menu and then select Apply Updates.

37 Candidates can be moved individually to different categories or by selecting multiple and dragging them to the appropriate group. Candidates can also be sorted by group.

38 By selecting the appropriate candidates by placing a checkmark next to their name, you may take bulk actions on candidates by choosing your selection from the action menu.

40 Closing out the requisition
Now that you have identified the candidate you wish to hire, let’s talk about closing out the requisition.

41 Once the candidate accepts your employment offer, the last step is to indicate the hired candidate. Once you indicate the hired candidate, all other candidates will be dispositioned automatically.

42 A warning message will appear indicating that the requisition will be closed and that there will not be any openings for other candidates.
