2 Inventory Materials Inventory materials as soon as possible upon receipt. Keep original boxes. Original boxes will be used to return test materials. Request additional materials, if needed. Check district and school overage before placing an additional order. Specific ordering windows are listed in the DAC/BAC. For any materials discrepancies follow the directions in the DAC/BAC. 3 Requesting Additional Materials
PearsonAccess Online orders must be submitted and approved prior to 1:30 p.m. ET to be included in that day’s shipment. Requests for additional test materials can be made through June 7. Only one order per school, per grade can be processed in a single day. Request additional return shipping materials for a school through June 15. Orders should be collected from schools early enough in the day to allow the order to be submitted and then processed by Pearson staff before 1:30 p.m. ET. This does not imply overnight shipping. 4 NON-PARTICIPATION / EMERGENCY
Medical Too fragile to test Recent illness or accident Undergoing chemotherapy Cannot be filed based solely on a handicapping condition Chronic condition with acute changes relative to the testing window is appropriate for filing a request Homebound instruction is not a basis for filing a request Extraordinary Circumstance Used for situations that don’t fall under medical or emergency Recent traumatic experience Protective custody Traveling out-of-state due to death of family member Sole caregiver for parent Medical Emergency Can test with accommodations Broken eye glasses Recent surgery on writing hand NON-PARTICIPATION / EMERGENCY Attention should be paid to what the student needs in order to test and not what can be done/written to get a non-participation. Homebound students can be on a different schedule and allowed breaks. Certain accommodations can be used without the student having an IEP. For example, a student who may not be able to comfortably sit up may have a scribe to complete the work. Homebound students who are passing their courses should be able to be assessed. Medical and Extraordinary Circumstance Non-participation forms are to be completed on paper and requested in SDRR. DAC/BAC Manual for K-PREP School Test Materials Security Checklist (keep a copy on file at the school and send the original to the DAC to keep on file for 12 months) Test Administrator’s Manuals/Scripts Unused School ID Header Sheets Extra Paper Bands Reference Sheets Unused constitutes anything that is not to be scored. 6 Voided SRBs Possible reasons:

13 Test Booklet Security Barcode
Each test booklet has an unique security barcode, located in the upper right corner of the back cover of the test booklet. Using this barcode, Pearson assigns test booklets to specific districts/schools. This provides an accurate means of tracking secure test booklets that are shipped to and returned from the school. 14 Test Booklet Replacement
If a Test Booklet needs to be replaced for any reason, contact Pearson with School name Grade Security barcode Test booklet should not be returned, if damaged with bodily fluids. Destroy according to local OSHA requirements. Contact Pearson with above information. Directions for handling the original damaged test booklet can be found in the DAC/BAC Manual. 15 Student Response Booklet
Correct pre-printed SRB Use SRB as is. Incorrect pre-printed SRB Void the SRB. Assign a new SRB following gridding instruction in the script portion of the TAM. Enter correct information into IC. No pre-printed SRB Follow gridding instruction in the script portion of the TAM. Voided SRBs should be returned to BACs and DACs for secure destruction. You should not receive a pre-printed SRB for Alternate K-PREP students. If you do receive an SRB for an Alternate K-PREP student, void and make corrections in IC. 17 Who Takes the K-PREP? Required to Test Not Required to Test
Students in grades 3-8 and 10-11, including those with disabilities Students who are retained Students who move within the state during testing Students with a minor medical emergency EL students in their first year are required to attempt mathematics (4 multiple choice). EL students in their second year and later participate in all content areas. Students in the Alternate K-PREP Student’s skipped grade Foreign Exchange students Students enrolled at Job Corp centers Students with medical or extraordinary circumstance non- participation requests Students expelled without services Directions for handling materials of students who move within the state during the testing windows are located in the manuals. 19 K-PREP Scheduling Testing is to be 5 consecutive instructional days during the last 14 instructional days of the district calendar. The 5 days are to be done by school level (elementary, middle, high), not by separate grade levels. Any day a regular test session is scheduled is considered one of the 5 testing days even if only one session is done on that day. All students in a grade/school must take each part of the test at the same time. Each part is to be given as a separate session with a break in between. Allow for breaks when developing schedule. Breaks may be short (i.e., stand and stretch) or long (i.e. lunch) with appropriate monitoring. Example: A school testing Reading Part A on Monday, Part B on Tuesday, and Part C on Wednesday has used 3 of the 5 allowable days. If schedules change during the window, ensure that all teachers are made aware of the changes so as not to lead to an allegation. KDE:OAA:DAS: jb&pp 1/31/2017

20 K-PREP Scheduling Extended time is allowed only for students with IEPs, 504s or PSPs specifying extended time. Make arrangements for extended time in a manner that allows other students to go back to instructional activities. Extended time is limited to time and a half or double time. For example—if standard time is 30 minutes and a student is allowed time and a half, then after the student requests to use extended time, the student would be given an additional 15 minutes (half of the original 30 minutes). At the end of the school day, students with regular and extended time need to have finished the same parts of the test. KDE:OAA:DAS: jb&pp 1/31/2017

21 Make-up Schedule Make-up sessions can be done during the 5- day window or during the 4 days after the window ends while test materials are prepared for shipping. Schedule make-up sessions as soon as is reasonably possible after the missed test session. Seating charts are required for make-up sessions. If packing is not done until all make-ups are completed at the end of the nine (5 regular + 4 make-up days) total days, four days of the return shipping window have been used. 24 Classroom Materials/Walls
Materials used during direct instruction, containing content or strategies/processes should not be displayed on classroom surfaces including walls, workstations or clothing. Classroom materials shall not provide a testing advantage to any student. Please cover or remove any instructional materials from walls, workstations, ceilings, etc. prior to test administration. 26 Test Material Resources
Mathematics Reference Sheets Writer’s Reference Sheets Rulers Calculators Protractors or Angle Rulers (provided by the school) Classroom supply of protractors/angle rulers in grades 4 and 7 should be on hand. 27 Rulers Rulers are provided by Pearson and are included in the test materials shipment. These rulers must be used for testing. The rulers may not be modified. The rulers may be kept and used after testing is completed. Grade 3 – ¼ inch and centimeter increments Grades 4-6 – 1/8 and centimeter increments Grades 7-8 – 1/16 and centimeter increments Double check ruler increments to ensure that the appropriate rulers are distributed to the appropriate grades. 30 Reminders for Teachers
Teachers should be strongly encouraged to follow TAM directions about entering the student’s name on test booklets. Teachers should verify that each student receives his/her own test booklet and SRB for each testing session. It is imperative that multiple students do not record answers in a single SRB. Transcribe answers into new SRB. The new serial number from the front of the SRB may be annotated into SDRR, but it is not mandatory. Securely destroy original SRB. Same as with the Test Booklet, a Student Response Booklet soiled with bodily fluids should be destroyed using OSHA guidelines and not returned to Pearson. 35 Room Number Bubble on the SRB indicating the room where each student takes the test. Zeros need to be entered for any blank space for a room number. If the room number is 9, the student will enter 0009. If a classroom does not have a number assigned the school will need to assign one. Letters can not be entered for a room number. The key for the room location numbers needs to be maintained in the district. Use the number where the student started. Do not change if the student finishes elsewhere. The room number where the student finishes should be recorded on the seating chart. 36 Seating Charts Seating charts are required for both individual and group testing. The room location must be recorded on the SRB. A single chart can be used for multiple sessions; if seating arrangement and room location do not change, mark the date for each session. Templates are available in TAMs and on the KDE website. A customized form may be created to reflect the room arrangement. Printed or electronic seating charts should be maintained in the district for one year. KDE:OAA:DAS: jb&pp 1/31/2017

38 Collecting Secure Materials
The test administrator is responsible for collecting and verifying that all secure materials are accounted for after the testing session ends. Test booklets and SRBs are to be counted or names matched for every student before anyone leaves the testing room to ensure that no materials are left unsecured. KDE:OAA:DAS: jb&pp 1/31/2017

39 Reminders For Students
Review with students the Administration Code rules around use of electronic devices. Social media of all types: Facebook, Twitter, Instagram, Snapchat, Vine, etc. and are not secure and can lead to disciplinary issues. KDE:OAA:DAS: jb&pp 1/31/2017
