Welcome to Employee Self Service
First we will show you how to log in to an MCPS network terminal. Press the right arrow key to begin To navigate this tutorial use the left and right arrows on your keyboard.

If you are not familiar with logging on to the MCPS Network when you initially power on a terminal, the next three slides will show you the process.

The first time you log in, your user name will be the same as your network log-in. Your default password is the last four of your Social Security Number. You will be prompted to change this after logging in with a new 6 character, case sensitive, easily remembered password.

Once you have logged in, you will see the Home menu on the left and any important messages will be displayed in the center of the screen. Employee Self Service (ESS) is our focus but you may find MCPS job postings under the Employment Opportunities tab.

The ESS landing page provides an overview of commonly searched and needed information including paystubs and leave balances.

The “Time off” window shows you leave balances, including
earned versus currently available. Any leave requests that have been submitted, even if not approved will subtract from your currently available amount. In this case 83.6 hours of vacation has been earned but only 76.1 hours are available. This is because 7.5 hours have either been requested or used.

The “Paychecks” window shows past paystubs
which you can print from anywhere if needed. Click on “details” to review your past checks/stubs. You can also use the simulator to see how changes to deductions will effect your net pay. The same information may be accessed with the “Pay/Tax Information” tab in the upper left menu.

The “Personal Information” tab allows you to update your information
The “Personal Information” tab allows you to update your information. Simply click “change” to update any information. Changes are not immediate and may take up to 10 days, so if you change your address, your check/stub may go to your old address.

Time Off Prior to entering regular hours, all leave requests must be entered using the “Time Off” tab in the main menu. Hours entered will automatically transfer to your time card in the time entry screen. Clicking on “Time Off” takes you to the next screen.

The “Time Off” landing page provides an overview of your leave balances. Selecting the type of leave from this page will provide a break down of leave earned and used by pay period as shown below.

Click on “Continue” to proceed.
To enter a request for leave, select “Request Time Off” from the menu on the left. This will bring up a calendar to select the days. In this case September 18th-22nd has been selected. Click on “Continue” to proceed.

This screen shows available leave types
This screen shows available leave types. Here you must select which type of leave you are requesting. In this case, vacation has been selected. Click “Continue” to proceed.

This screen allows you to enter the specific amount of hours you are requesting off each day. When the correct number of hours has been entered click “Continue” to proceed.

The final screen allows you to verify your leave request and provide a comment about why you have requested the leave. If correct, click “Make Request.”

After making your request, you will be taken to the “My Requests” page
After making your request, you will be taken to the “My Requests” page. This screen shows all of your requests and the status of your requests. In this case Vacation has been approved for the fair while other requests are in progress. This screen also allows you to cancel a request if not needed.

In the next section you will learn to add your regular hours in ESS.
Your leave request is then automatically transferred into your time entry grid. Once approved, a check mark will appear In the next section you will learn to add your regular hours in ESS.

Time Entry Next we will learn how to enter hours worked using the “Time Entry” tab in the main menu. Hours should be entered daily but may be entered any time prior to the end of the period when time card information is due. Clicking on “Time Entry” takes you to the time entry grid.

Before we actually begin entering time there are a few items to take note of on the time entry grid header. If you have multiple positions with MCPS you must select the position you are entering hours for first from the drop down menu before entering any time. You must change prior to entering each individual job’s hours. When entering your time you may click submit as many times as you would like, if your hours have been submitted, they will not be resubmitted. If you are unsure of upcoming hours you can click save for later and change your hours at a later time. You cannot make changes to submitted and approved hours. Once you submit you will see an acknowledgement at the top.

As noted earlier in requesting leave, your leave hours automatically import from your requests. You should not be entering Sick or Vacation leave directly into the time entry grid. This may result in a doubling of leave hours in turn falsely decreasing your amount of available leave. Shown above, 2 hours have imported from a leave request.

Select the box in the grid that corresponds to the correct date and type of hours to enter your time. You can Tab between fields. You should add notes explaining why you have overtime, your relationship to the deceased for bereavement, or other important information. When you are finished entering your time be sure to hit “Save for later” if you will be coming back or “Submit” if your timecard is complete.

Always make sure you select “Log Out” when you are done using ESS
Always make sure you select “Log Out” when you are done using ESS. This will protect your information from others who may share your computer. If asked by your web browser to store your username and password on a district computer, the answer is NO! If you have trouble logging in or forget your password, please contact IT at extension 3046.
