8 Components of the Re-Approval System
Submissions must follow the scheduled dates (cannot submit early/late) Districts submit the Program Re-Approval Application by the due date of January 31 of the calendar year. The submission window will be open January 1 through January 31 of that calendar year. Applications may not be submitted prior to or after the 31-day calendar window. If a district misses the 31-day window, all courses must be submitted through the New Course Application process. If the course does not show up in the re-approval system, a new course must be applied for within the existing EDS system. Errors in your initial course approval (in existing EDS system) may result in the course not showing up in the new re-approval system. OFFICE OF SUPERINTENDENT OF PUBLIC INSTRUCTION

9 Prior to the Program Re-Approval Process, Each District:
Reviews the Program Re-Approval Process. Identifies their 5-Year Re-Approval Group. (CTE website under Topics A–Z) Reviews the 5-Year Cycle Proposal submission dates and the program applications that they will submit during that time frame. Submit any courses that do not have current approval through existing EDS system PRIOR to submitting the program re-approval application. OFFICE OF SUPERINTENDENT OF PUBLIC INSTRUCTION

10 Course Re-Approvals Reminder
The Re-Approval process does not set aside the federal requirement for frameworks. Frameworks need to be updated to the most current standards, i.e., Industry and Academic (Washington State Learning Standards) Frameworks need to align with most current rules, licensures requirements, etc. Updated frameworks are maintained on file locally OFFICE OF SUPERINTENDENT OF PUBLIC INSTRUCTION

11 Prior to the Program Re-Approval Process, Each District:
Reviews and validates in EDS, all courses that are currently approved in the program application area prior to the re-approval process beginning. Is there a change to the CIP code? Yes No Is there a change to the Course Delivery Method (HS/MS)? Is there a change to the Hours of Instruction? Is there a course missing from the Re-Approval Program? Is there a course that has not been submitted prior or is new? Any “Yes” responses require the course to be submitted as a New Course. OFFICE OF SUPERINTENDENT OF PUBLIC INSTRUCTION

12 Frameworks Have the Washington State Learning standards been revised, updated or changed since the last submission? (i.e., Next Generation Science standards [ ]; Health and Fitness Standards [ ], Financial Education K-12 Learning Standards [ ]; Computer Science K-12 Standards [2017]) Is there a change to the Industry standards? (i.e., National Health Science Standards; Nursing Certified Assistant WAC; ANFR standards?) Any “Yes” responses require a district to assure that frameworks have been updated locally to reflect the most current learning and industry standards by Jan. 31 of the program submission date. Frameworks will be reviewed during federal and state monitoring visits. Frameworks that have not been updated correctly will be grounds for an out-of-compliance finding. 13 Now to the Program Reapproval System!
Sign in the EDS system Select CTE application Select Submissions Tab Review all of the uploaded approved courses in the Program Re-Approval Application. Edit the list of all courses/CIPS in the program area row by row, marking with a check those courses still offered. Any courses not checked will be expired. Any courses that are no longer offered should not be checked. They will be expired, and will not pre-load in future program reapprovals. OFFICE OF SUPERINTENDENT OF PUBLIC INSTRUCTION

Leadership Documentation Upload: If “CTSO” is selected, district must upload proof of affiliation, i.e. invoice, roster, charter, letter of intent If “Equivalent” is selected, the OSPI Extended Leadership Document for the equivalent leadership program must be uploaded. The Student Leadership document must be kept on file for review. Districts should upload all appropriate documentation to be consistent with what is selected in the row-by-row section of the program reapproval systems. 26 Tips Access the system when it opens: early experience means more time to troubleshoot potential issues Read everything: the instructions are meant to be comprehensive If an issue arises: Determine if the system is broken or if a validation error is triggered (incomplete data) Determine the appropriate contact: IT Customer Service or CTE Issues with the system? CTE cannot fix – the IT Customer support information is at the bottom of all EDS applications Best practice: review frameworks with teachers ANNUALLY.
