Independent Fixed Assets calendars
Microsoft Dynamics 7/17/2018 Independent Fixed Assets calendars Set up multiple calendars Calendar no longer required to match Company Fiscal Periods Independent Fixed Assets Calendars – In GP 2010 and below, the Fixed Assets Calendar looked a lot different, was located under ‘utilities’, and was always built ‘based’ on the company fiscal period setup. In GP 2013 and up, you can set up as many calendar ID’s as you want! For example, one may be a ‘calendar year’, and another a ‘fiscal year’ that may run from July-June (based on fiscal period setup). Define short/long calendar years
Microsoft Dynamics 7/17/2018 Define short/long calendar years Define a year as either a short or long year by marking Short/Long Year box Define the percentage of depreciation for the long/short year YOU have complete control over long/short year depreciation! calculations Define Short/Long Calendar Years – Prior versions GP did the short/long year calculation for you – when the box is not marked GP will multiply the ‘yearly depreciation rate’ by the number of periods in the year divided by 12. Yearly Depreciation Rate * (#Periods in Year/12) Now if need to change your calendar over to a different fiscal setup, need to short/long year for transition If deprecation amounts need to be prorated based on the length of the year, you can check the checkbox and define what % of a full year’s depreciation to be taken for the year All the control is yours This allows more accurate depreciation calculations for those years based on the individual companies needs. © 2012 Microsoft Corporation. Microsoft Dynamics 7/17/2018 Current fiscal year locked down Current Fiscal Year in the book setup is locked down after depreciation has been run for the first time: Ensures depreciation is not overstated at the end of the year: sgp/archive/2016/10/27/mdgp-ye-update fixed-assets Lock the Fiscal Year down on the Book Setup - Flips to next year when you close the current year (always double check to make sure to depreciate to the last day of the year) once you run depreciation for the first time, it gets locked down Was an editable field in prior versions but caused issues with users commonly flipping it to depreciate…..gets doubled. Microsoft Dynamics 7/17/2018 Default Asset ID from Asset Class Set up default asset ID that is unique per class Speeds up asset entry Then in GP 2013 R2 – took that a step further Added it to the Class ID. now can have unique asset id increment per Class Helps to further visually identify assets So in Asset General window, it will look to the class ID first, then company, then blank to key in. Prior versions --One asset at a time – time consuming! Now --All assets or a Group of assets -- with a single click Isn’t that existing? Mark the checkbox, enter the Target Date. Select Book and DEPRECIATE. --finds assets with ‘Depr To’ date past it, and reverses it back to this date. Note: this does not ‘remove’ records as though they never existed. Tip: You can create multiple assets easily via POP!!
Microsoft Dynamics 7/17/2018 Tip: You can create multiple assets easily via POP!! When you order multiples of the same item in Purchase Order Processing, let GP do the heavy lifting FOR YOU by marking the box next to ‘Create Multiple Fixed Assets’ in the FA to PO Additional Information window! If I order 10 processors in POP, then GP will send 10 records to Fixed Assets where you can quickly create 10 assets!! To interface multiple assets from one line item in POP to FA: Mark the box next to ‘Post POP through to FA’ by ‘Receipt Line’ in the Fixed Assets Company Setup window. When you ‘receive’ an item in POP (Transactions >> Purchasing >> Receiving Transaction Entry): Highlight the line containing the items you want to interface to FA. Click on the blue expansion arrow next to ‘Item’ to open the Receiving Item Detail Entry window. Mark the box next to ‘Capital Item’ (this is what tells GP you want this item to flow to FA). Click on the blue arrow next to Capital Item to open the ‘FA PO Additional Information’ window. *This is where you can mark the box next to ‘Crate Multiple Fixed Assets’ to ensure GP creates multiple assets for you. © 2012 Microsoft Corporation. This is because both are ‘user specific’. Points to remember: New assets are not automatically added to existing groups.
