Script: Hello, I am Kelsey here on behalf of Birdville ISD to discuss your upcoming Benefits Enrollment.

: This is the site you visit for Benefit Questions. This is the site you visit to login & complete your benefits enrollment for Script: Have benefit questions? Want to know what benefits are available at Birdville ISD? Need rates or claim forms? All of this can be found at This is also the site you use to enroll in benefits! You can also visit Birdville’s homepage, select Staff, & select employee benefits HUB under quick links.

3 Online Benefit Enrollment
How Do I Login to Complete My Enrollment? Please visit and click Login: Script: Again, you go to and click “Login” to start your benefits enrollment.

4 Online Benefit Enrollment
What is My Username & Password? Username: the first six (6) characters of your last name followed by the first letter of your first name, followed by the last four (4) digits of your Social Security Number. Default Password: your full last name (lowercase, excluding punctuation) followed by the last four (4) digits of your Social Security Number. Example: My name is Thomas Jefferson & my social is : Username: jeffert1234 Password: jefferson1234 Script: This is VERY important! THEbenefitsHUB resets your password! This means, you must follow the log in instructions provided on the left hand side of the login screen. If you try to login to THEbenefitsHUB using your school ID or any other username or password you will get an error. Make sure to READ THE INSTRUCTIONS CAREFULLY! You will then be prompted to change your password for the new plan year. Make you memorize it!

I’m Still Having Problems Logging In: If you are having trouble logging in, click on the “Login Help Video” for assistance. If you continue to experience problems, or are locked out please call: Script: If you have log in problems you can always watch the login video for help. You need to make sure your zip code and are correct in Munis Self Serve. If you’re really stuck or get locked out, call FBS.

6 Annual Benefits Enrollment
Birdville ISD’s Enrollment Window: Annual Enrollment opens in July & closes in August. You must login & complete your benefits enrollment during this time! Update your profile information in MUNIS Self Serve: Home Address, Phone #, , etc. For login assistance call the Help Desk or complete a service request. Update Dependent(s)SSN. Script: Our open enrollment window will begin in July and end in August. You must login using the steps we just discussed and complete your enrollment during this time. Do not wait until last minute in August to enroll as your ID cards and information will be delayed. You also need to make sure your profile information is correct and updated in MUNIS Self-Serve. Lastly, make sure you add your dependents socials to THEbenefitsHUB.

7 Benefit Updates What’s New for : Benefit elections will become effective 9/1/2016 (elections requiring evidence of insurability, such as life Insurance, may have a later effective date, if approved). After annual enrollment closes, benefit changes can only be made if you experience a qualifying event (and changes must be made within 30 days of event). Script: Your benefits will become effective 9/1/15. Once the open enrollment ends in August, you cannot make changes unless you experience a qualifying event and you have 30 days to notify your benefits department of that qualifying event if you want to make changes to your plans.

8 Benefit Updates What’s New for 2016-2017:
Medical: Rates increased for the Scott & White HMO, ActiveCare Select & ActiveCare 2. Benefit Changes for all plans can be found on the Benefits Website. New Carriers! Disability: Cigna Flexible Spending Accounts: If you currently participate in a Health Care or Dependent Care FSA, you MUST re-elect a new contribution amount every year to continue to participate. Cards are good for 3 years! You are not eligible for HealthCare FSA if you are enrolled in a HSA.

DUE TO THE ACA, EVERY EMPLOYEE IS REQUIRED TO ACCESS THEBENEFITSHUB & ELECT OR WAIVE MEDICAL COVERAGE! If you are waiving medical coverage, you MUST complete the online declination. Benefit Changes & Plan Comparisons can be found by visiting: Plan Summaries, Provider Search, Temporary ID Cards & Important Forms are available by visiting: ActiveCare: Scott & White: Script: Again, we will not know anything about our medical plan until mid June. Until then, make sure you are checking your s and also checking TRS’ website for more information. We will try to keep you as updated as possible with any changes made to the plans. 10 Existing Product Updates: Disability
Disability– Cigna Cigna is replacing The Hartford as the Disability provider. If you are currently enrolled in The Hartford’s Disability plan you will automatically be enrolled to the corresponding Cigna Disability plan. Why Do I Need Disability? Disability is designed to provide a monthly income to an employee that is disabled due to an accident or illness. Elimination Periods are the # of days you must be disabled before benefits begin & vary from 0/7 to 180 days. Employees electing an elimination period of 30 days or less, if you are confined to a hospital for 24+ hours due to a disability, the elimination period is waived, & benefits will be payable from the first day of disability. 2 Disability Options: Premium or Select All new or increases in coverage are subject to pre-existing condition exclusions. Visit for more details. Script: When it comes to insurance obviously, your medical plan is most important but, in my opinion the 2nd most important insurance you can have is disability because you never know what’s around the corner! Disability insurance is designed to pay you if you are sick/hurt and cannot work. We like to call it your paycheck protection plan. You choose your elimination period and how long you receive benefits with either the Premium or Select plan. Please refer to the Benefit Summary locate on the HUB for more information on your options. No application is required however, there is a pre-existing limitation if you increase existing coverage or elect coverage for the first time.

OneAmerica: Life & AD&D OneAmerica Voluntary Life & AD&D Birdville ISD offers $10,000 of Basic Life w/AD&D coverage to every eligible employee. Voluntary Life*: New Hires: You may elect up to $250,000 (cannot exceed 7 times annual salary) with no health questions required! Existing Employees: If you currently have coverage you may increase it by one $10,000 increment with no health questions (not to exceed the New Hire guarantee issue and/or 7 times annual salary). All increases above these amounts will require an evidence of insurability (EOI). Voluntary Spouse Life*: New Hires: You may elect up to $50, (cannot exceed EE’s amount) with no health questions required! Existing Employees: If you currently have coverage you may increase it by one $5,000 increment with no health questions (not to exceed the New Hire guarantee issue and/or EE’s amount). All increases above these amounts will require an evidence of insurability (EOI). Voluntary AD&D: You can elect Accidental Death & Dismemberment coverage for you and/or your family *Must meet Actively at Work Requirement.

14 APL MEDLink IV® - Medical Gap
MEDlink® IV is designed to help supplement your medical insurance plan & can help cover some of your out-of-pocket expenses. You must be enrolled in a TRS medical plan. You are not eligible for MEDlink® IV if any of the following apply: You (or your dependents) are not covered under the school’s major medical plan. Covered by TRS-Care (retiree plan), Medicare, Medicaid. Have a Medical Savings Accounts (an actively funded HSA) . Are non-residents of the United States. Employees not actively at work on the plan effective date are not eligible. Script: Let’s talk MEDLink Gap! The gap plan does exactly what it says it does, fill in the GAPs of your TRS medical plan for in-hospital expenses. This plan will look at your in-hospital expenses, see what you & your medical plan paid for, and then reimburse you up to a certain dollar amount for that hospital confinement. It also has great outpatient benefits that reimburses you up to $500 for treatment like diagnostic testing, urgent care’s etc.

PPO High Plan Rates Employee Only $36.12 Employee + Spouse $70.47 Employee + Child(ren) $80.75 Employee + Family $116.23 PPO Low Plan Rates Employee Only $25.55 Employee + Spouse $50.66 Employee + Child(ren) $57.14 Employee + Family $82.23 DHMO Plan Rates Employee Only $11.66 Employee + Spouse $22.15 Employee + Child(ren) $23.31 Employee + Family $36.12 You will receive new ID Cards in the mail towards the end of September, early October. 15

Customer Service Vision Tier Monthly Rates Employee Only $9.23 Employee + Spouse $18.28 Employee + Child(ren) $17.93 Employee + Family $27.24 Script: Next is Vision! There is a $10 exam co-pay $ 25 materials copay. Frames have a $125 retail allowance which means the plan will pay up to $125 for frames with an in-network provider. You get the best discount going in-network but you do have options out-of-network. You can also print your vision ID card online at SuperiorVision.com.

17 APL - Cancer Many major medical insurance policies do not cover all of the expenses related to the treatment of cancer, which could leave you & your family with unexpected expenses. 4 Plan Options. All new or increases in coverage are subject to a 12-month pre-existing condition exclusion. A $50* Diagnostic Testing Benefit Rider is available! *1 per person, per calendar year (30 day waiting period). The $50 Wellness Claim Form can be found on under the “Cancer” section. Script: Unfortunately, we all know someone undergoing or has undergone cancer treatments and if you need additional coverage for you or your family Birdville ISD has options! We like to refer to Level 1 as the “Low” plan and Level 2 as the “High” plan. The plan pays benefits directly to you! There are also ICU rider options for an additional premium. Pre-existing conditions do apply but you will not have to complete an application to add coverage.

18 ID Watchdog- Identity Theft
Identity theft can strike anyone, at any time. IDWatchdog Identity specialists will work on your behalf to resolve issues. Monthly Reporting Alerts Full Resolution Services are included should your identity ever be compromised while utilizing ID Watchdog’s services. You must include social security #’s in the enrollment system to utilize this service. Script: With all the recent data security breaches, identity theft is more important than ever! Birdville ISD offers an identity theft program through ID Watchdog for you and your family that includes full resolution services if your identity is stolen. If you enroll in this plan be sure to add social security #’s for each participant enrolled. ID Watchdog cannot monitor your identity if they don’t know who you are.

19 Hyatt Legal - MetLaw MetLaw provides you with telephone & office consultations for an unlimited # of matters with the attorney of your choice. The attorney will review the law, discuss your rights & responsibilities, explore your options & recommend a course of action. Examples of Legal Representation: Free Will Preparation Estate Planning Documents Financial Matters Real Estate Matters Family Law Document Preparation $16.50 Per Month & Covers Employee, Spouse & Dependents. Script: Birdville ISD also offers a legal service through Hyatt Legal called MetLaw which provides you with telephone and office consultations with an in-network attorney. For 1 low rate you can cover yourself and your entire family! This plan also provides a free will preparation!

20 Flexible Spending Accounts (FSA)
Your FSA is administered by NBS (National Benefit Services). FSA’s allow you to pay for qualified expenses on a pre-tax basis, thereby reducing your taxable income.   You determine the monthly contribution amount. Funds allocated to a FSA must be used during the plan year as they are Use-it-or-Lose-it! You must re-enroll in your FSA’s each year! Your contribution will not roll over! HealthCare FSA: Pay for eligible medical expenses like deductibles, co-payments, prescription drugs, & other expenses not covered by TRS ActiveCare & dental or vision expenses.   Cards are good for 3 years! You cannot enroll in a HSA if you have this plan. DependentCare FSA: Pay for child or elder day care expenses. If you participate in this plan, make sure to sign up for direct deposit so you can get reimbursed each month faster! Script: We talked a little about FSA but let’s go into more detail. Your FSA is use it or lose it so you need to make sure you use all the funds in your account before August 31st each year. Funds do not roll over year to year so you have to re-elect your contribution each open enrollment. The HealthCare FSA allows you to pay for medical, dental, vision & prescription drug expenses for you and your family members! You receive a MasterCard that’s good for 3 years. You always have the option to pay your expenses with a paper claim form too. Remember, you do not have to be enrolled in the TRS medical plans to use a FSA. The Dependent Care FSA allows you to pay for child care expenses. You do not get a card with this plan and have to file for reimbursement each month. Make sure to apply for direct deposit so you can get your funds even quicker each month.

21 Health Savings Account (HSA)
A HSA is a unique tax-advantaged account you can use to pay for healthcare, dental and/or vision expenses. Funds contributed to your account never expire & can accumulate year after year. You must be enrolled in a High Deductible (HD) medical plan to qualify for a Health Savings Account (HSA). 2015 Maximums are $3,350 for individual & $6,750 for family. Ages 55+ have an additional “catch-up” contribution of $1,000. If you enroll in a HSA you are not eligible for the MEDLink Gap plan or a HealthCare Reimbursement (Flex). Health Savings Account Plan (HSA) High Deductible Insurance Savings Account Protects you from big medical bills Helps pay your deductible Tax-deductible deposits Tax-deferred growth + Scripts: You should have a better understanding of the changes this year so let’s move on to the remaining benefits. If you decide to enroll in TRS’s High Deductible plan you are eligible for a HSA. A HSA is an awesome way to save money for medical, dental, vision & prescription drug expenses. Funds roll over year to year but remember, this is a savings account so you can only withdrawal what you’ve deposited. If you want to make changes to your contribution amount open enrollment is great time to do so.

22 FSA and HSA Comparison What’s the Difference Between FSA & HSA?
Participants with a Flexible Spending Account (FSA): 1. Funds are up fronted. 2. Funds do not roll year to year. 3. Can participate in a MEDLink (Gap) Plan. 4. Cannot have a HSA. 5. Can be enrolled in any medical plan. Participants with a Health Savings Account (HSA) : Funds are NOT up fronted. You can only withdrawal what you have contributed to your account. 2. Funds will roll year to year. 3. Cannot have a MEDLink (Gap) plan. 4. Cannot have a FSA. 5. Must be enrolled in a High Deductible (HD) Plan. Script: Now, a HSA looks and feels like a FSA but there are some key differences as you can see. For example, if I contribute $100 in my HSA account I will have $100 at the end of Sep., $200 at the end of Oct., $300 at the end of Nov., etc etc. If I have a medical bill of $1,000 come up in Dec. I can only use $300 of my HSA to pay this off since this is all the funds I have in my account. Now, if you were enrolled in a FSA and decided to contribute $100, you would have $1200 up fronted to you in Sep. It’s really important you understand that if you decide to participate in a HSA, you cannot enroll in FSA or MEDLink.

24 Section 125 Cafeteria Plan Amendments
There are special rules & requirements to receive the pre-tax benefit election plan privileges: Birdville ISD must set a plan year. The plan year is: September 1 – August 31 of each year. Although coverage is voluntary, every employee is required to review their current elections & make changes as desired by completing the Birdville ISD online enrollment. Any pre-tax elections will remain in effect unless you have a qualified event change in family status Qualifying event benefit changes must be made within 30 days of the event & changes must be consistent with the event. Qualifying Event Examples: Marriage, Divorce, Birth or Adoption, Death, Change in Dependent Eligibility Status, etc. Script: We talked about a lot of different options for you at Birdville ISD and while this video was hopefully educational it is just a summary. As a Birdivlle ISD employee you are responsible to review current elections and confirm the elections in THEbenefitsHUB are correct and what you want each year. Even though there are a lot of tools for you to use when it comes to your benefits it is your responsibility to educate yourself on your options to make sure you are selecting the plan that best fits your needs. It is also your responsibility for you to verify deductions on your paycheck. Don’t forget, that once the August enrollment ends you cannot make changes to your selections until next plan year OR if you have a qualifying event.
