5 Activating a TIDE Account
When you are initially added to TIDE, you’ll receive an with instructions to activate your TIDE account. This contains your user role, a temporary password, and an activation link. New this year, all users will need to reset their passwords upon the first log-in for the new school year. To activate your account, click the link in the activation . A page will appear with fields to re-enter your and temporary password. Click Secure Login, and a new page will appear prompting you to reset your password. In the Password and Confirm Password fields, type a new password for your account. Passwords have a length requirement and must include different character types; see your TIDE User Guide for details. After entering your new password, click Submit. Return to the Login Page and log in using your and new password. When you log in, a form for adding a security question will appear. Select a security question and enter an answer. You will be required to add three security questions in order to proceed. You’ll need this information in order to reset a forgotten password. Please note that if an account is created for an incorrect address, it will need to be deleted, and a new account created for the user. To log in to TIDE, go to the ISAT portal. Click the appropriate user role or assessment card. On the next page, click the TIDE system card. Enter the username and password you created when activating your account. Click Secure Login to go to the TIDE home page. The TIDE home page appears after you log in. You will notice that TIDE has a new look for administration. The home page is designed to reflect the stages of the testing process as directly and simply as possible. Each of TIDE’s three sections list menus for the tasks available in that section. For example, the Users menu contains options for adding users, viewing/editing/exporting users, and uploading users. To expand a task menu and view its set of related tasks, click the down arrow on the end of that menu. To perform a task, click the name of that task listed in the menu Please be aware the tasks available in the interface will vary depending on your user role. 8 User and Student Management
TIDE organizes Institutions, Users, and Students Institutions via state file Users added by users higher in the hierarchy Can be viewed and edited in TIDE Students added multiple ways: Manual add Mass upload Student settings and eligibility added multiple ways: TIDE organizes users by jurisdiction as well as by role. Each user is associated with a district or school and can only interact with users or students in their jurisdiction. Users may be added to TIDE by a user in their jurisdiction who is higher in the hierarchy discussed previously. They may be added either via file upload or manually. Students are also associated with a school. All student information will need to be entered into TIDE at the district level; no student information will migrate from the previous administration. Students may be added individually or through file upload as well. Student settings are also controlled in TIDE and may be uploaded or changed by authorized users. State policies dictate who are authorized users and what data they can change. For more information on user roles please refer to the User Roles and Access to Idaho Assessment Systems document located in the Resources section of the ISAT portal.

9 TIDE User Roles TIDE is a role-based system
TIDE is a role-based system used for multiple tasks. As mentioned on the previous slide, it is used to manage user accounts and roles for all the AIR systems as well as to manage student testing and demographic data. TIDE associates eligible students with assessments, usually based on the student’s enrolled grade. TIDE also stores accommodations and supports for testing, such as American Sign Language and Closed Captioning. The tasks available to you in TIDE will vary depending on your user role. This table gives an example of the permissions associated with roles for Idaho users. For example, a district-level user may be able to perform tasks that are not available to a school-level user. Permissions also limit the scope of data access. A district-level user can work with data pertaining to that district, and a school-level user can work with data pertaining to that school. As a reminder for a complete list of all the tasks performed by the various user roles, refer to the User Roles and Access to Idaho Assessment Systems document available in the Resources section of the ISAT portal under the AIR Online Systems – User Guides sub-folder. Tasks in the Preparing for Testing section are typically performed before testing begins. This category includes tasks for managing records for users, students, test settings, and rosters. TIDE can also group students into rosters. A roster is a collection of students sharing a similar characteristic who are assigned to a specific teacher. Rosters typically represent classrooms, but can also be used to group students with special needs or students participating in particular activities or programs. Once scores are calculated, users can view how a roster of students performed as a group. Roster management tasks can be done in TIDE or in the Online Reporting System (ORS). Tasks in the Administering Tests section are typically performed during the administration window. District Administrators (DAs), District Test Coordinators (DCs), and School Test Coordinators (SCs) may use this section to create test improprieties such as: invalidate a test, reset a test, or reopen a test. Please be aware all Test Improprieties tasks will not be available in TIDE until the spring 2017 test administration windows. AIR and SDE will plan to conduct a webinar regarding Test Improprieties before the spring 2017 test administrations. Beginning this year, TIDE can also monitor test progress and generate test participation reports. This feature was previously available in the ORS. In the After Testing section, you can perform data cleanup operations, such as entering codes to explain student non-participation. Please be aware tasks under the Data Cleanup drop-down will be available shortly before the spring 2017 test administrations. A banner appears at the top of each TIDE page showing the current test administration and your current user role: On the left, there is a drop-down list for accessing other AIR applications, such as the Online Reporting System (ORS), the Test Administration (TA) Training Site, the Test Administration (TA) Interface and the Teacher Hand Scoring System (THSS). On the right, you will find helpful resources: In General Resources, the Julie Voice Pack can be downloaded for online testing when students need to use the Text-to-Speech accommodation. The Help button displays the Online TIDE User Guide. 15 Online TIDE User Guide Every page in TIDE has access to an Online User Guide. To access it, all you need to do is click on the Help button and a new window will open with information about that page. The Online User Guide is particularly helpful when having to enter user, student, or roster information via a file upload. By selecting the Help button on the Upload Users, Upload Students, or Upload Rosters pages a new window will open with a table that includes all acceptable values for each corresponding field.

16 Navigation Toolbars SUPPORTING SCHOOLS AND STUDENTS TO ACHIEVE
When you enter any task page, a navigation toolbar appears at the top of the page. This toolbar allows you to access each task and action that was available on the dashboard. To view the task menus for a particular TIDE category, click the icon for that category above the toolbar. Some pages in TIDE are divided into multiple panels. Each panel contains a group of related settings and fields that you can edit. You can click the minus sign in the upper-left corner of a panel to collapse it, or click the plus sign in a collapsed panel to expand it. Additionally, a floating Go To Section toolbar appears on the left side of pages with multiple panels. This toolbar includes a numbered button for each panel in the form. You can hover over a button to display the label of the associated panel and click the button to jump to that panel. Before testing begins, and throughout the school year, TIDE is used to manage user accounts for TIDE itself, the TA Interface, ORS, and other AIR systems. The Users task menu allows you to add users; view, edit, or export users; and upload users from an external file. 19 Add User SUPPORTING SCHOOLS AND STUDENTS TO ACHIEVE
DAs, DCs, and SCs can add new users. Please keep in mind, DAs, DCs, and SCs users can only view, add, or modify the users in their district and/or school who have a lower role level. For example, DAs cannot add or modify other DA users, and SCs cannot add or modify other SCs or any district-level. In order to add a District Administrator role to your district, please contact the State Department of Education. There are two ways to add users in TIDE. This task can be done manually from the Add User page. Fill out the information in the form, and click Save. The fields marked with an asterisk are mandatory. Please be aware the new user’s address will serve as their username when logging in to any AIR system and cannot be edited later. Ensure that you enter it correctly. If you need to update an address you will need to go through the ISAT Help Desk for assistance. Please note: A user’s account can be deleted as long as the user is below your role in the hierarchy and the user is in your district or school. In order to delete a user(s) you must retrieve his/her account(s) manually and mark the checkbox for the account(s) you want deleted. 20 Upload Users SUPPORTING SCHOOLS AND STUDENTS TO ACHIEVE
A second way to add new users in to TIDE is to use the Upload Users page to compose an upload file in Excel or CSV format and then upload that file. This method is easiest if you have many new users and you don’t want to add them one at a time from the Add User page. The easiest way to compose an upload file is to download an available template by clicking Download Templates. Open the template, enter information for the users you wish to add, and save the file in Excel or CSV format. If you are unfamiliar with CSV, we recommend using the Excel template when uploading user information. For a list of the acceptable values on the User Upload template refer to the Online User Guide by selecting the Help button or in table 4 of the TIDE User Guide available on the ISAT portal under the Resources section. Once you return to TIDE, click Browse, and select the file you just saved. To see a list of the files you have previously uploaded, first click the blue plus sign to expand the Upload History panel. Click Next to upload the file. A file preview page will appear, allowing you to verify you uploaded the correct file. If the preview is correct, click Next to continue. Next, TIDE will validate the file and display any errors or warnings according to the legend on the page. Click the orange error icons and blue warning icons in the validation results to view the reason a field is invalid. If a record contains an error, that record will not be included in the upload. If a record contains a warning, that record will be uploaded, but the field with the warning will be invalid. To complete the upload, click Continue with Upload. To upload a different file, click Upload Revised File. To cancel the upload, click Cancel. If your file contains a large number of records, TIDE will process it offline and send you a confirmation when complete. While TIDE is validating the file, do not press Cancel, as TIDE may have already started processing some of the records. To view a PDF file listing the validation results for the upload file, click Download Validation Report in the upper-right corner. When the upload is complete, a confirmation page will appear with a message that summarizes how many records were committed and how many were excluded. If a user’s role changes within the administration, for example a Teacher (or TE) becomes a School Test Coordinator, then a higher level role, such as a District Administrator will need to delete the user’s former role and add his/her new role as shown in the screen capture above. There is rarely a need to have two or more roles for a user associated to a single district. If a user needs to transfer to a different district or school he/she will need to get deleted from his/her former school and then added to his/her new school. If a user requires a user role for two different districts and/or schools then a higher level user role associated with both districts will need to add this user. Alternatively, two higher level users within each district would need to add this user to their respective districts. 23 Uploading Files Troubleshooting Tips
Ensure all leading zeros are maintained in the files. Note: If the original document is a CSV file, opening the document in Excel will cause the leading zeros to be wiped out. To retain them, continue to open the file using CSV format. Ensure the dates are formatted properly using MMDDYYYY and there are no spaces or dashed included Ensure all values contain only acceptable values for the field you are trying to enter. For additional reference, select the Help button in TIDE to be directed to the Online TIDE guide. If further issue persists when trying to upload a user file into TIDE, please contact the ISAT Help Desk via telephone ( ) or via Follow the Troubleshooting steps indicated on this slide to avoid error messages when uploading files. Make sure you use the “Help” button to access the Online TIDE guide previously discussed to refer to the “Valid Values” allowed on the file uploads. The View/Edit/Export User page includes a form for setting selection criteria to retrieve users. In this example, the required criteria are the user’s role, district, and school. Other criteria are optional, such as the first or last name. Your particular version of TIDE may have other fields by which you can retrieve users. Click Search to continue. 25 View/Edit/Export User
After clicking Search, TIDE will display all the users satisfying the search criteria. If your user role permits, you can edit a user’s information by clicking the green pencil icon. Another page will appear where you can edit and save information. To export user information, mark the checkboxes next to the users you wish to export and click the green export button above the search results. To delete users from TIDE, mark the checkboxes next to the users you wish to delete and click the orange trash can button above the search results. To make the search form re-appear and search for additional users, click the plus sign in the Search for Students to Edit panel, which appears as a blue bar. TIDE manages student information and keeps track of which assessments students are eligible to take. The Students task menu allows you to add students; view, edit, or export students, and upload students from an external file. You can manually add students from the Add Student page. This page contains six panels: Student Demographics, Interim Eligibility, Race and Ethnicity, Test Settings and Tools, Performance Tasks, and Test Eligibility. A second way to add new students into TIDE is to use the Upload Students page to compose an upload file in Excel or CSV format and then upload that file. This method is easiest if you have many new students and you don’t want to add them one at a time from the Add Student page. The easiest way to compose an upload file is to download an available template by clicking Download Templates. Open the template, enter information for the students you wish to add using Excel or another program, and save the file in Excel or CSV format. Detailed instructions for composing an upload file can be found in the TIDE User Guide. Note: When Adding Students via the upload template, AIR recommends using the Excel format. The Help button on the top banner will also provide an Online TIDE User Guide with detailed instructions for composing an upload file. Once you return to TIDE, click Browse, and select the file you just saved. To see a list of the files you have previously uploaded, first click the blue plus sign to expand the Upload History panel. Click Next to upload the file. A file preview page will appear, allowing you to verify you uploaded the correct file. If the preview is correct, click Next to continue. Please remember if you upload a file that contains information for a student not enrolled in your district or school, TIDE will reject the file. Because not all columns can fit on the screen at once, you may need to click the blue arrow on the right side of the screen to scroll right and display more information. English Language Proficiency Level has been updated in TIDE. This field has been renamed LEP Category which accepts the codes listed below. LEP Category is a required field and LEP Status remains as a Yes/No field. Further Details about these codes can be found in the EL Guidelines found on SDE’s website L1: Receiving LEP Services and new to a US school in the last 12 months LE: Continuing LEP Services EW: English Learner; services waived or refused X1: Exited – 1st Year X2: Exited – 2nd Year FL: Was formerly receiving LEP services, no longer monitored NO: Does not / has not received LEP Services SO: Screened Out SHERRI YBARRA, SUPERINTENDENT OF PUBLIC INSTRUCTION SUPPORTING SCHOOLS AND STUDENTS TO ACHIEVE

30 View/Edit/Export Student
The View/Edit/Export Student page includes a form for setting selection criteria to retrieve students. Required criteria, such as the district and school in this example, are marked with asterisks. Other criteria are optional, such as the EDUID, the student’s first or last name, and the grade level. If available, you can further refine your criteria by entering additional demographic information or test settings in the Advanced Search panel, if it is available. The students you can retrieve on this page are limited by your role’s scope. For example, if you are a district-level user, you can retrieve students enrolled within your district. If you are a school-level user, you can only retrieve students enrolled within your school. Click Search to continue. 31 View/Edit/Export Student
TIDE will display all the students satisfying the search criteria. You can edit a student’s information, including test settings and accommodations, by clicking the green pencil icon. Print or export student information or delete students from TIDE by selecting the desired students and clicking the Print, Export, or Delete button above the search results. To make the search form re-appear and search for additional students, click the plus sign in the Search Students panel, which appears as a blue bar. 32 View/Edit/Export Student
A student can also be moved to a different school. This task can now be performed by state-level and district-level user only. This can be done by pulling up the student information via the View/Edit/Export page, selecting the student, and by clicking the Move to Other School button and following the steps prompted in the screen. The user must be associated with both schools to perform this task. For example, if the user has a DC role, they can move students between any schools within their district. If the user has a DC role with two districts, they can move students between any schools within those districts. NOTE: Any district user that has access to more than one school or district will have access to move students between schools or districts. 33 Processing Large Upload Files
If your file contains a large number of records (more than 1000 records), TIDE displays the validation results for the first 20% of records, and then completes the processing offline. As part of the processing, TIDE displays a page with your name and default address, and prompts you to provide a phone number and optional alternate . TIDE will send you an when it completes the validation, and a second after it commits the records to its databases. If you commit the file: TIDE validates the remaining records offline, and sends a validation report via . TIDE then commits the error-free records, and sends a report listing all errors and warnings via . Please note: if you do not want your file to process overnight make sure you upload less than 1,000 records at a time. If your file contains a large number of records (more than 1000 records), TIDE displays the validation results for the first 200 records, and then completes the processing offline. As part of the processing, TIDE displays a page with your name and default address, and prompts you to provide a phone number and optional alternate . TIDE will send you an when it completes the validation, and a second after it commits the records to its databases. TIDE keeps track of student test settings, such as font size, and accommodations, such as text-to-speech. The View/Edit/Export Test Settings and Tools page includes a form for setting selection criteria to retrieve a student’s test settings and tools. Required criteria, such as the district and school in this example, are marked with asterisks. Other criteria are optional, such as the EDUID, the student’s first or last name, and the grade level. You can further refine your criteria by entering additional demographic information or test settings in the Advanced Search panel, if it is available. The students you can retrieve on this page are limited by your role’s scope. For example, if you are a district-level user, you can retrieve settings for those students enrolled within your district. If you are a school-level user, you can only retrieve settings for those students enrolled within your school. Click Search to continue. TIDE will display all the students satisfying the search criteria. You can edit a student’s test settings and accommodations, by clicking the green pencil icon. To make the search form re-appear and search for additional students, click the plus sign in the Search Students panel, which appears as a blue bar. Rosters are used for student management in TIDE and in ORS. Rosters are groups of students associated with a teacher in a particular school. Rosters typically represent entire classrooms in lower grades, or individual classroom periods in upper grades. Rosters can also represent special courses offered to groups of students. The Rosters task menu allows you to add rosters; view, edit, or export rosters; and upload students from an external file. Once test scores are calculated, roster information is used to generate reports of how students in the roster performed as a group. DAs, DCs, and SCs can create rosters for any students associated to their district or school (respectively). Once students are assigned to Teachers via this roster feature, users with the TE (teacher) role can create additional rosters within those groups of associated students to further manage data needs. This feature is extremely valuable when looking at data in ORS. Please be aware that creating rosters with a large number of students (over students) will hamper efforts to analyze data effectively. You can manually create a roster on the Add Roster page. To add a new roster, select the district and school to which the roster belongs. Enter a roster name and select the name of the teacher who should be associated with the roster. In the Test Settings and Tools panel and Additional Filters panel, refine the list of available students by selecting additional criteria from the drop-down lists and checkboxes. In the Add/Remove Students to the Roster section, the students in the left column are available to be added to the roster, and students in the right column are currently in the roster. To add a single student to the roster, click the green plus sign next to a student in the left column. You can add multiple students to the roster by marking checkboxes next to the students you want to add, and then clicking Add Selected. Add all available students to the roster by clicking Add All. To remove a single student from the roster, click the orange X next to a student in the right column. You can remove multiple students from the roster by marking checkboxes next to the students you want to remove, and then clicking Remove Selected. In the Administering Tests section of TIDE, the Test Improprieties task menu allows certain users to view pending test improprieties; create new test improprieties; view, approve, and upload test improprieties. In the normal flow of a test opportunity, a student takes the test in the Test Delivery System (TDS) and then submits it. Next, TDS forwards the test for scoring, and ORS reports the test scores. Test Improprieties are a way of interrupting this normal flow. Reasons for Test Improprieties can vary. For example, a student may need to have their test reset if test settings are not in place at the start of the testing session. Or a district- or school level administrator may need to invalidate a test because of a hardware malfunction or an impropriety. Rejected by System Test Delivery System was unable to process the impropriety request. Requires Resubmission Impropriety request must be resubmitted. Retracted Originator retracted the impropriety request. Submitted for Processing Impropriety request submitted to Test Delivery System for processing. Resolved Impropriety was resolved. A test impropriety’s status can change throughout its life cycle. Many of the statuses have a corresponding reason or description that you can view in the Comments column of the View Test Impropriety page in TIDE. To create test improprieties: Retrieve the result for which you want to create a test impropriety by doing the following: Click the Test Impropriety tab. The Create Test Impropriety page appears. Select the Request Type. From the drop-down list and in the text field, enter search criteria. Click Search. TIDE displays the found results at the bottom of the Create Test Impropriety page. For each result for which you want to create a test impropriety, enter the reason in the text box, and then click Create. 47 Creating a Test Impropriety
Columns in the Test Improprieties Upload File Type of Test Impropriety: Invalidate a test, Reset a test, Re-open a test, Re-open a test segment, Restore a test that was reset, and Grace Period Extension. Search Type: EDUID, Result ID, and Session ID. Search Value: Up to 1,000 alphanumeric characters. The value must exist in TDS or TIDE. For example, specifying a result ID of requires that this result ID exist in TDS. Reason for creating a Test Impropriety: Up to 1,000 alphanumeric characters. If you have many test improprieties to create, it may be easier to perform those transactions via a file upload. To submit a test improprieties upload file: Click the Test Impropriety tab, then Upload Test Impropriety. The Upload Test Impropriety page appears. Download one of the file templates by clicking Download Excel Template or Download CSV Template. Open the file in a spreadsheet application and add a row for each test impropriety you want to add. Save the file on your computer. In the Upload Test Impropriety page, click Browse, and navigate to the upload file you created. Click Upload File. TIDE displays a preview of the uploaded file. Use this preview to verify you uploaded the correct file.

48 Test Progress Management
The tasks available in the Progress Management task menu allow you to generate various reports that provide information about a test administration's progress. These reports were previously available in ORS. Several types of participation reports are available: The Plan and Manage Testing Report details all of a student’s test opportunities and the status of those test opportunities. The Test Completion Rates Report summarizes the number and percentage of students who have started or completed a test. Plan and Manage Testing reports detail all of a student’s test opportunities and the status of each test opportunity. Because the report lists testing opportunities, a student can appear more than once on the report. To generate a report from the Plan and Manage Testing page, first go to the Step 1: Choose What panel and select a test and a test administration. Optionally, you may also choose a test name, enrolled grade, or filter by specific settings. Next, in the Step 2: Choose Who panel, select a district and school, if applicable. Optionally, you may also choose a teacher from the Personnel (or Teacher) drop-down list. Finally, in the Step 3: Get Specific panel, choose one of the three available options as desired and select parameters for that option. Click Generate Report to view your Plan and Manage Testing report, or click Export Report to open the report in Excel. Which students have not yet tested? Which students have paused tests? Did all the students in a test session submit their tests? This slide illustrates some common questions that can be answered using the options available in the Step 3: Get Specific panel. To find students who have not yet tested, select the first radio button and search for students who have completed their first opportunity in the selected administration. To find students who have paused tests, select the second radio button and search for students on their first opportunity in the selected administration with a status of paused. To find out if all students in a test session submitted their tests, select the third radio button and search for students by test session ID between the dates when the test session took place. The Test Status Code report displays all the non-participation codes for a test administration. To generate a report from the Test Status Code Report page, select the current test and administration from the drop-down lists. To view the report on the page, click Generate Report. The report will appear below the Report Criteria panel. To open the report in Excel, click Export Report. 55 Non-Participation Codes
A non-participation event occurs when a student does not take a test as scheduled. You assign a code to explain the non-participation. Non-participation codes persist until they are changed. Types of non-participation codes: Absent New Non-English Proficient Refusal – Student Refusal – Parent Medical Withdrawn Invalidated There are circumstances in which a student did not participate in an expected test or participated in a test but in a non-standard way. Examples could include a student being absent for the entire test window, a parent opt-out, or student withdrawal. In such instances, you need to assign a non-participation code to the student’s test so that Participation Reports in TIDE can accurately explain the non-participation. Once you apply a special code, that special code persists for that specific test until it is changed by the user. Special codes will need to be applied to all tests the student is registered to take. For example, if you select “parent-refusal” for the Summative ELA CAT the special code will only persist on this test; the user will need to also select the Performance Task, assuming the special code applies to both tests. To view or edit a student’s non-participation codes from the Non-Participation Codes page, select a district and school from the drop-down lists, if available. You may enter a student’s first or last name, EDUID, or grade if desired. You can further refine your criteria by entering additional demographic information or test settings in the Additional Search panel. Click Search to retrieve a list of students matching your selected criteria. Click the pencil icon for the student whose non-participation codes you want to edit.
