PDS OFFICE: STANDARD REPORTS & BEGINNING SELECTIONS

INTRODUCTION We will go over the different type of reports that PDS has to offer You can access reports under the Family/Member/Contributions Screen or by selecting Reports at the top and then select which sections of reports you are looking for On the top of these screens you can select ALL reports. The we can click on FIND to search for a report as well

STEPS IN RUNNING REPORTS/LETTERS OR LABELS
When you select a report/letter/label you will always have the Overview screen. This screen gives you a description of the report On the Left you can jump to any section of the report or click on the report section in the middle of the screen You can preview and print the report from this screen Clicking next will take you to the printer screen, Next again goes to the Layout Screen, Next again takes you to Select Families or Funds to Print.

WORKING WITH REPORT LAYOUTS
The Letter layout screen controls how the letter is laid out Styles are the various settings of the report In a letter layout you have the Letterhead style, Letter Date style, Inside Address style, Closing style and Margin style Margin styles can be edited to fit your needs From this screen you are able to preview the report and go back to make any changes

SELECTING FUNDS TO PRINT
In Financial reports you are able to select which funds you would like to print and which date range you are looking to run the report for The funds to print depend on the type of report you are running. Some financial reports will allow multiple funds to print or some will only allow one fund on the report You can also print pledge/tuition overpayments as Zero for Balance Due or the Actual Amount Overpaid For each group of activities you can choose how that group prints

SELECT FAMILIES SCREEN & ADDITIONAL SELECTIONS
The Select Families Screen allows you to select how you want your report sorted. You can include Active or Inactive families and under the Family Selections tab you have the option to select particular families by name or ID number Additional Selections are used when you need to choose an item that is not covered in any other tab or prior screen

LISTING REPORTS These reports have a Listing Layout screen that allows you to control the Formatting Styles On the Notes section you can enter in any information you would like to appear on each page of the report The Address Format is the section where you can select how to use the addresses in the program The Date Used in the calculation is based off of what date you would like to use for the addresses The options for the unlisted , phone and addresses allows you to select how to show these items on the report

EDIT THE PAGE STYLE AND FIELDS TO PRINT
In the Listing Layout screen you can select to Edit Style for the Page Style to make changes or create a new style To change the fields that print on your report you can select the button to Modify the List of Fields to Print. NOTE: YOU MUST make a copy of the report first.

LETTER REPORTS Letter reports contain a letter layout screen
You can select a pre-existing Letterhead Style or create a new one You can also select how you want the date to be displayed, the format of the date and the font of the date Inside address has several predefined styles in the report that can be edited or you can insert in a new one Closing Style is the ending of the report. If you Edit or Add a new style here, you will be able to add in a scanned signature for the name of the style

INSIDE ADDRESS ALLOWS YOU
TO SELECT A PRE-DEFINED LAYOUT> EDIT TEXT, OR INSET NEW STYLE EDIT CLOSING STYLE WILL ALLOW YOU TO ADD A CLOSING TO YOUR LETTER YOU CAN EDIT TEXT AND INSERT A SCANNED SIGNATURE THE EDIT LETTERHEAD STYLE SCREEN GIVES YOU THE OPTION TO ADD A NEW LETTERHEAD YOU CAN EDIT TEXT AND INSERT IN A CHURCH LOGO

MODIFYING THE BODY OF THE LETTER
You can modify the body of the letter, choose your font types, size, and add different fields in the report These fields are similar to the list of fields in the listing layout reports The Reload Default Text box will bring back the “original” wording of the letter. We recommend that you make a copy of the letter to keep the “original” in the program for future use

LOGGING LETTER/LABEL REPORTS
When you work on letters and labels in the program it will pop up a screen after your print/ your letters if you would like to log the letters On the Family and Member screen you will see the section of Letters, Visits, Etc. This section holds the information for the letters you log.

LABELS/ENVELOPE REPORTS
On this screen you choose the labels you are using Number of copies for each label If you need to skip Labels You can modify the label layout Address format is similar to the Listing Reports On this screen, choose the type of Envelope you are using The return address style (you can edit this style as well) You can modify the layout of the Letter and the Address Format is also similar to the Listing Reports

INDENTS FOR THE LABELS AND ENVELOPES
When you modify the layout of the label you will see that the label is all the way to the left. This prints at the extreme left of label If you indent with Space bar or Tab button your Labels will look like these labels below

CORRECT INDENTATION FOR LABELS
When you highlight the fields for the labels use the Paragraph Indent (ruler about the main editing window) and drag all fields to indent at the same time When you preview your labels now, all lines of the labels will match up correctly You can select View>Show Formatting Marks to see if you have any spaces before the fields of your label
