Quarterly Reporting Issues
In Mentoring Report, under Summarize Recent Activity: Provide authors, title, target journal, target date for in preparation or submitted paper In Mentoring Report, under Summary of New Goals and Issues: Limit goals to specific actionable items for the next quarter only Don’t be too broad (e.g. repeating specific aims), but provide enough information to track progress. Don’t be too vague (e.g. something like “start recruitment” is not enough)

Examples List all goals the mentee should be working on during the next quarter: Complete testing code in mock data set and begin testing code in real dataset. Identify all three additional clinician raters and establish agreements (MOUs) with them as necessary. Initiate subject recruitment (e.g. who, how) to meet target goal of X% or X number by X date.

Quarterly Reporting Issues
In Mentoring Report, under Recommendations: Please indicate for each goal if it has been met or not met (or partially met) and describe progress of each. Can’t just say “our goals were met”.

Example Instructions: Recommendations from the previous quarter and goals. For each goal, indicate if met or not met. If not met, describe progress, issues, and potential solutions.

Example Response: The EAC (after the meeting in June) has made these five recommendations. Recommend collaboration with Dr. Mike Thomsen (a Center Primary Investigator). MET: I have contacted Dr. Mike Thomsen to get a access to a copy of the mock data. This will help to test the code and iron out major issues before executing code on the real data.

Example David Allison (former External Advisory Committee member) will continue to provide guidance to this specific project. MET: We have had a phone conversation with Dr. David Allison who has given some input and guidance related to this project. We will continue to consult with Dr. Allison as and when necessary.

Example How generalizable is your software or can it be generalized to other types of data? Not MET: The macro that we intend to create is expected to be used with height and weight z-scores in a similar setting. This is because the 'gold-standard' that we expect to obtain on a sample of patients using clinician raters will help us flag outliers by choosing an appropriate threshold.

Example Without a gold standard, it is hard for the program to flag outliers since we do not know where the threshold lies. It is quite possible we will have the macro to flag the top 1% or 0.5% of values identified as outliers but there will not be a way to check if these are really outliers without the gold-standard.

Example Need to clarify plausibility vs likelihood with respect to the outlier analysis. Not Met: Thanks, I will make sure this issue is addressed. Recommend involving 3 additional clinician raters. Not Met: I have identified one rater (Dr. Emir Tas has agreed to be one of the three additional raters). I will continue to look for other clinician raters.

Under RPPR B.2, What was accomplished under these goals: Instructions: For this reporting period describe: 1) major activities; 2) specific objectives; 3) significant results, including major findings, developments, or conclusions (both positive and negative); and 4) key outcomes or other achievements. Include a discussion of stated goals not met.

Instructions Continued: As the project progresses, the emphasis in reporting in this section should shift from reporting activities to reporting accomplishments. Goals are equivalent to specific aims. In the response, emphasize the significance of the findings to the scientific field. Include the approaches taken to ensure robust and unbiased results.
