The Need For a New Type of NetID
Majority of non-MUSC employed research staff need access to a limited number of MUSC research systems to perform study related activities Demand for a faster, more streamlined, no-cost NetID process for non- MUSC study personnel Improve security by limiting access to unnecessary MUSC systems Document clear sponsorship of the NetID Associates External Affiliates with a research protocol or project Able to easily identify External Affiliate users within systems

Who is an “External Affiliate”?
Any Non-MUSC research personnel working under the direction of a MUSC Principal Investigator who, for study purposes, needs access to commonly used MUSC research systems Community Partners Off-campus Staff Collaborators at other Institutions NOT Research Monitors Increasingly more common with community-based research projects

“Traditional” vs. External Affiliate NetIDs What’s the Difference?
External Affiliate NetIDs: Allows access ONLY to eIRB REDCap SPARCRequest CITI training “Traditional” NetIDs via HR: Allow access to ALL systems requiring MUSC authenticated access (e.g. Shibboleth) Can receive an MUSC Background check performed Obtaining a “Traditional” NetID from HR always remains an option

What’s on the REDCap Form?
Required External Affiliate Information: SPARCRequest ID# First Name, Last Name Date of Birth (required for authenticating people with the same name) Address Required Sponsor Information: Attestation checkbox Signature

Converting Existing Affiliate NetIDs
Follow the same process as requesting a new External Affiliate NetID Submit SPARCRequest Complete and submit REDCap form(s) Existing NetIDs will be extended for 1 year The NetID itself will not change Instruct your Affiliates will be instructed on how to authenticate

Requesting an Extension
6 weeks prior to NetID expiration the sponsor of the External Affiliate NetID will receive reminder from OCIO to request extension if required will contain a link to SPARCRequest and REDCap form requesting extension of NetId Renewed NetIDs will be activated for 1 additional year

Your Responsibility as a Sponsor
Associate the External Affiliate NetID request to a protocol or project in SPARCRequest Any study staff with “Request/Approve Services” rights on a SPARCRequest protocol or project as delegated by the PI may request an External Affiliate NetID. Remind affiliates to activate new accounts within 60 days Instruct affiliates to select “MUSC External Affiliate” option on the WAYF screen in order to authenticate into the system (Beginning June 1st). Request annual extension via SPARCRequest and REDCap if appropriate Communicate any changes in sponsorship as appropriate

Instructions and links included in notification eIRB account registration auto created Identified in eIRB system as “MUSC-External Affiliate” NetIDs automatically expire in 1 year unless request to extend expiration date is submitted by sponsor Obtaining a “Traditional” NetID from HR always remains an option
